1 MANAGER TIMECLOCK URL:apps49-test:8080/manager30/login.aspx Type in your Novell ID (10 characters only) and 1234 (general password) To reset your password click on the View tab

2 Click on Change Pin Enter the default password, enter new password which can be the same as your Novell password, alpha and numeric, minimum of 8 characters, with 1 digit. Click OK

3 Now you are at the main Manager screen On this screen you have 3 main tabs that you will be using: EMPLOYEE TAB

4 PERIOD TAB TOOLS TAB

5 TOOLS tab: to see the status of employees, click on Who s Here. The different tabs provide a variety of scenarios for managers to see employees status, from if employees have clocked in, gone to lunch, or clocked out. The Request Manager is under the Tools tab and is where managers will approve requested leave:

6 This shows you who has leave that is pending and needs to be approved. On the right side be sure that all the Request Status boxes are checked so that you will see everything. Using the Manual Entry drop down you can control how many days you want to look at. Always click on the UPDATE tab to bring in whatever dates you want to see. There is also a Calendar tab if you ever want to look at it. If you hover over the leave with cursor, you can see whose leave it relates to.

7 You can approve each leave request one at a time, or multiple leave requests at one time. To approve multiple requests at one time, highlight all of them, click Detail at bottom; a window pops up asking if you would like to approve all leaves at one time. On this approval screen you change the Status from Pending to Approved using the drop down. Also on this screen you have a tab to see the employees Accrual Balances. You want to always double check this and make sure they have enough time to take.

8 The check box next to it is automatically checked, this will show up in the schedule information box on the Edit hours screen. This is for VACATION ONLY for NON-EXEMPT. If you don t want it to auto populate the timesheet, simply uncheck the box and the employee will have to manually put the dates in through the Time Sheet Entry tab. All leave requested by EXEMPT employees should be made through the Request Leave tab. It will automatically post to their time records during the current week of their leave.

9 Click on the generate button and the leave info will automatically fill in for you. You will also need to send the employee an letting them know you have approved their time off. If you have more than one day to approve, it s not necessary to send multiple s. There is a DO NOT SEND in the drop down that you can click on until you get to the last one that you approve. It is advisable to send Exempt employees the message via to their groupwise ; since Non-Exempt employees log in daily to Timeclock Plus, notification can be made through Timeclock Plus and/or . Messages sent through TimeClock Plus will alert employee they have a message the next time they clock in or out.

10 Click on APPLY. After clicking Apply, an Edit Segment screen appears allowing you to edit the request. The default from 9 to 5 is intentional in order to create an eight hour segment for the employee. If the employee is requesting eight hours of leave, do not change the time. The only time this should be changed is if the request is less than 8 hours. For less than eight hours, put in the precise start and end times.

11 Click OK. Click OK, then Close. EMPLOYEE Tab: Missed Punches Look at missed punches before the Manager approval process. Even though the employee can fix a missed punch, you as the MANAGER have to approve them. Missed punches appear in blue.

12 Be sure you click on TimeClock Week>Update so date reviewing and approving is the current time clock week. All UNAPPROVED missed punches show up in blue and approved are green.

13 If you have to correct a segment, right click and go to Edit hours and correct the error. If all segments are correct, right click and approve selected missed in or missed out punch, whatever is applicable. EMPLOYEE-APPROVAL MANAGER

14 Click on TimeClock Week, click UPDATE. This will be for the current week you are approving. Managers approve employee time under Employee/ Approval Manager tab. There are three approval columns: Manager approval is a green check mark under the O column; Proxies/AA s/ad s approval is a red check mark under the M column; and Employee approval is a blue check mark under the I column. The employee (BLUE check) is able to approve his/her own time; managers will approve after employees approve their time. When an employee is absent and time sheets approvals are due, the Proxy or Other should approve their time. Proxies should approve for Managers as M, and O. They will check off for each other when one is absent.

15 Approving from the Approval Manager screen be done 2 different ways. (1) if all days are correct for one person you left click on the first day, hold down the control and shift keys and left click the last day; the entire week is highlighted. Right click, approve selected and click on O for manager, M for proxy, or I if you re employee is out and you need to approve their time. (2) If you want to approve one day at a time you simply right click on that day, approve selected and O, M, I, depending on your status as approver. Make sure you don t have any missed punches before you approve. You can only approve with black and green on the segments.

16 If you ever have to unapprove anything you do that on this screen also. When you are done approving you should have 3 check marks, green, red, blue. EMPLOYEE-EDIT HOURS On Edit Hours you will see all your employees listed. You can see employees hours from this screen at any time. At the bottom between Options and Shift you will see a very small arrow, click on that and it opens up 2 more boxes that you need to

17 see. You can see employee Accrual Information, and time off they have requested in the Schedule Information box. You can have the default view set to always include the accrual and schedule boxes by clicking on options, checking the bottom box contained in the pop up selections labeled Show Accrual and Schedule Panels. During the week the leave is taken by the employee, it will show up in the schedule panel: right click on the day and add segment; this will take you to the Edit Segment box.

18 In the Edit Segment box, click OK and it will show up in the time sheet.

19 PERIOD-REPORTS On this page there are several different reports that you can run. Check the box if the report you want to run. Click on the Criteria button if you want to run a report for only one employee. In this box you can sort by the individual employee by their CWID. Click OK.

20 You will be taken back to this box, right click on the report and then click on Print Payroll Detail to HTML. A small box will popup with the exception list, always look at this to see what you have to still do.

21 The exception box shows unapproved missed punches. So with this list you can go approve those. After looking at this list simply click the Close button. This is what your report will look like for the Payroll Detail. You can print or save this on this screen.
