1 Navigating My Timecard- Student With Workforce Central, you can use the My Timecard widget to view your time entry data, make edits, and address or view exceptions within your timecard. Accessing the My Timecard widget If the My Timecard widget is in a secondary position, click the gear icon. Log in using your network credentials for the institution you are logging hours for. Click Pop-out to promote the secondary widget to a primary widget. You can only make edits in the My Timecard widget when it is a primary widget. If the My Timecard widget is in the Related Items pane, click the link and the widget will open in a new workspace.
2 Navigating My Timecard Navigating the My Timecard widget A B C D E F G H I J K L M A Top section of My Timecard: View basic time data such as your in and out punches, shift totals, and scheduled hours. H Minimize/Maximize: Click to expand a widget or restore it to its original size. B Approve Timecard: Use this to approve or remove approval of the data on your timecard. I Gear: Promote a secondary widget or close and return to Related Items pane. C Sign Off: Use this to sign off or remove sign off of your timecard. J Save: Click to save your changes. D Accruals Actions: Use this to Reset Accruals or Move Accruals Amount. K Editable cells: Depending on your access, you may be able to edit information in the timecard (example: In/Out punches or perform job transfers). E F Print: Click to print timecard data to a printer. Refresh: Click to refresh data after timecard changes. L Visual indicators: Alert you to items that need your attention. For example, if you have missed a punch, you will see a red line in the cell that needs to be addressed. Hover over the indicator icon to view the indicator details. G Time period drop-down list: Select from a preconfigured list to view a specific time period. M Bottom section of My Timecard: Includes daily timecard data related to the day selected in the top section of the widget.
3 Entering punches As an hourly employee, you need to keep track of the hours that you work each day. With your Workforce Central Navigator, you can record the hours that you work using the My Timecard widget. Entering In and Out Punches You can abbreviate times in the application. For example, if you are punching in for :0 AM, enter 0a. Log in using your network credentials. Access the My Timecard widget Double-click an empty In cell. Enter the time you began working, and then press Enter. Click Save. Entering an Out Punch Double-click an Out cell for a day that has a populated In cell. Enter the time you ended work, and then press Enter. Click Save. If a scheduled shift requires you to work hours that cross the day divide, enter time in the In cell for the day your shift starts. Enter the time that your shift ends in the corresponding Out cell. The application recognizes that these punches go together.
4 Punching in and out Correcting a missed punch For each day, there should be a pair of punches; and in punch and an out punch. When one of these punches is missing within a timecard, the cell that is missing the punch is indicated by turning red. Locate the missed punch within the timecard. Missed punches occur when: You attempt to add time in an Out cell for a day where a start time was not entered in the In cell. You attempt to punch in for a day, and did not punch out of your last shift. Click inside the cell. Enter the missing time detail, and then press Tab. After the time detail is entered into the missed punch cell, the cell stays red until you save your changes. Click Save.
5 Performing job transfers when Multiple Jobs Exist If you have more than one job at an institution, your worked hours need to be applied to the appropriate job. You will need to perform a job transfer to ensure that your hours are added to the correct job code. Performing job transfers full shift Log on using your credentials. If the selection you need is not available to you in the Select Locations window, contact your manager. Select a day in the timecard grid. In the In cell, enter the time you started working, and then press Tab. In the Out cell, enter the time you stopped working, and then press Tab. Double-click the Transfer cell; from the drop-down list, select Search. 8 In the Job Transfer tab, select the applicable job. 9 Click Apply. 0 Click Save. Click Refresh to see daily totals.
6 Performing job transfers Performing job transfers partial shift In the In cell, enter the time you started working, and then press Enter. In the Out cell, enter the time you stopped working, and then press Enter. Click Plus in that row. In the In cell of the newly added row, enter the start time for the transfer. Click the Transfer cell. If you have recently performed a job transfer, those options will be available within the drop-down list. From the Transfer drop-down list, select applicable job. If the job you need is not listed, click Search and locate the job. 8 In the Out cell of the newly added row, enter the end time for the transfer. 9 Click Save.
7 Entering pay codes The hours you enter into your timecard are automatically allocated to a default pay code. If you need to add hours to your timecard that require a different pay code, for example, California sick, you can manually add the applicable pay code and the associated hours to your timecard. Students only have access to California sick (CASICK). In this job aid, you will learn how to manually enter pay codes to your timecard. Entering a pay code Log on using your network credentials. In the timecard grid, select a day and click the Pay Code cell. From the Pay Code drop-down list, select the applicable pay code. 8 Click the Amount cell for that day. Enter the number of hours taken i.e. 8. Click Save. After you save the timecard, an exception may be generated. Click the cell with the exception, and access Add Comments to add an explanation of the exception.
8 Adding comments When there is an exception within your timecard, you can add comments to justify or explain the difference in your schedule. Your manager will be able to review the comments and either approve the timecard, or contact you for more information. In this job aid, you will learn how to add comments to your timecard. Adding comments Log on using your credentials. Right-click the applicable In or Out cell. To add a comment to the In or Out cells, the cell must be populated with a time. Click the Comments option in the Punch Actions Call Out. Select the applicable comment(s) from the drop-down menu. Click OK. 8 Click the Save button within the timecard. 9 To view the comment(s), hover over the comment icon within a cell.
9 Adding comments Adding additional notes to a comment When you add a comment your timecard, you may have the option to add additional notes and provide more details associated with a comment. Right-click the applicable In or Out cell. To add a comment to the In or Out cells, the cell must be populated with a time. Click the Comments option in the Punch Actions Call Out. Select the applicable comment(s) from the drop-down menu. In the Type a note (optional) field, add additional information. Click Add button. Repeat as needed for each additional note. 8 Click OK. 9 Click the Save button within the timecard. 0 To view the comment(s) and notes, hover over the comment icon within a cell.
10 Adding comments Editing an existing comment to add a note After you add a comment and a note your timecard, you may have the option to add additional notes and provide more details associated with a comment. Right-click the applicable In or Out cell with the existing comment. To add a comment to the In or Out cells, the cell must be populated with a time. Click the Comments option in the Punch Actions Call Out. Click Add another note. In the Type a note (optional) field, add additional information. Click Update button. Repeat as needed for each additional note. 8 Click OK. 9 Click the Save button within the timecard. 0 To view the comment(s) and notes, hover over the comment icon within a cell.
11 Viewing Accrual Balances Access the Accruals by opening the tray at the bottom of the timecard and then by clicking on the Accruals tab. Students will only have CASICK. I
12 Approving timecards As an employee, you have a responsibility to approve your timecard. Before approving your timecard, it is important to review the data for accuracy, and make adjustments as needed. After you approve a timecard, you may have permissions to remove the approval. In this job aid you will learn how to approve your timecard and remove approval from your timecard using the My Timecard widget. Approving your timecard Log in using your credentials. Access the My Timecard widget Your organization will determine how often you will be required to approve your timecard. To select specific dates or time periods to approve, use the Time Period drop-down list. In the Time Period field, verify that you are viewing the relevant time period. Click the Approve Timecard button. Select Approve Timecard from the drop-down and verify that your timecard is approved by reviewing the Timecard is Approved notification. The background of the timecard will now be colored yellow. Be sure that you make all required edits to your time card before approving it. After you approve a timecard, unless you have permissions to remove approval, you will not be able to make any further edits.
13 Approving timecards Removing approval from your timecard Log in using your credentials. If you are unable to remove approval from a timecard and need to make changes, contact your supervisor. Access the My Timecard widget Using the Pay Period drop-down list, navigate to the applicable approved time frame. Click the Approve Timecard button. Select Remove Timecard Approval. The Timecard Approval removed by notification will appear and the timecard will no longer have a yellow colored background. Make the necessary adjustments to the timecard, Save and then approve the timecard when you are finished. After your manager approves your timecard, you will not be able to remove approval and make edits to your timecard.
