Ariba Network Support The Introduction County of Santa Clara (SCC)partners with Ariba Your customer, the County of Santa Clara, selected the Ariba Network as their electronic transacting provider. As their preferred supplier, Santa Clara invited you to join the Ariba Network and start transacting electronically with them. The Registration Guide shows new suppliers how to register on the Ariba Network and existing users how to incorporate Santa Clara in their already existing accounts. Please note that the County of Santa Clara has prepaid for their Ariba transaction fees, hence you will not be charged for transacting with them. This guide also deals with the SMP fees and describes how to access supplier support. 3

Ariba Network Support Ariba Discovery Ariba Discovery is the business matchmaking service that helps you find leads among thousands of large companies on the Ariba Network. Postings made by any Ariba Network registered buyer are matched to you based on the commodities and sales territories you select. That is why commodity selection is an important part of creating and maintaining an Ariba Discovery profile. You ll receive relevant business opportunities in a form of Leads, or as notifications. Ariba Network Support Review Invitation Letter - Trading Relationship Request (TRR) An containing the Invitation Letter will be sent from ordersenderprod@ansmtp.aria.com. Select the Click here link to be redirected to the Ariba Network Landing page (see next slide). If you did not receive the Invitation Letter/ , check your spam folder and enable the above address as a trusted source. 9

Ariba Network Support Supplier Registration (For First Time Users) Step 1: Company information Information pre-populated on this page was provided by your customer. Please review the information for accuracy and completeness. For instructions on how to select the commodities, please see the next slide. 11

Ariba Network Support Supplier Registration (For First Time Users) Product and Service Category Selection You can assign product and/or Service Category(ies) for your company by either the Search or Browse options on the Product and Service Category Selection page. Multiple product categories may be selected from the list. Selections are displayed in the My Selections field. 12

Click on Add to access the Product and Service window. 2. Type in a keyword which would describe in general what your company provides and click on Search if no matches are found, use a different expression. 3. Select the area of business and click on Add or Browse the Categories to find more precise matches. 4. Selected commodities appear in My Selection section. 5. Click on OK or Add to add more commodities. 6. After the Commodity Selection window closes, the chosen commodities are displayed in the Commodities section. 13

Define your company s business geography/sales territory by clicking on either Global or Select Shipto or Service Locations. 2. Clicking on Select Ship-to or Service Locations allows you to further refine your territory on a regional, state states/provinces level (3 rd column). 3. When your territory is highlighted, click on Add button. 4. Sales Territories appear in My Selections

15 Supplier Registration (For First Time Users) Administrator information + Accept Terms of Use Complete the information (fields marked with an asterisk are mandatory). Username can be identical with your address. Password must consist of at least 8 characters containing letters and numbers. Passwords are case-sensitive. Once logged in to your account you have the option to give a more detailed description of your company s profile. This information is optional but we advise you to complete as much information as possible as this will give your buyers a more detailed overview of your activities. 20 1. Introduction Account Configuration Welcome to the Ariba Network The Ariba Dashboard contains links and helpful info to help you complete the registration process. 1. Getting Started with Ariba - video information on registration and the Ariba story. 2. Review Ariba Fee Structure- The County of Santa Clara (SCC) has pre-paid transaction fees for all between SCC and your company 1. Confirm Billing Contact - establishes invoice and finance correspondence 2. Add User to Your Account - allows for multiple users at a company 3. Introduction Account Configuration Network Settings The Enablement Tasks tab contains the Supplier Enablement Tasks that will allow SCC to fully conduct purchasing activities with your company through the Ariba Portal. Ariba Network Support For Change Orders and Other Document Types select Same as new catalog orders without attachments or set according to your preference. Specify a method for sending Order Response Documents (Confirmations and Ship Notices) Specify a User to receive notifications. NOTE: For New Orders, select Document Type = Catalog Orders without attachments= . Then check Include document in message to receive PO as an attachment 23

Ariba Network Support Electronic Invoice Routing allows your company to a method to send invoices to SCC Online (PO Flip) cxml EDI Configure Notifications to s (the same way as in Order Routing). Supplier Registration Account Configuration Create and Activate your Test Account To set up your Test Account, you need to be on the tabular view of your Ariba Network Production Account. Click your name in top right corner and then Switch to Test ID. The Switch To Test Account button is only available to the account Administrator. Administrator can create test account usernames for all other users needing access to the test account. Create Username and Password for your test account. Your Test account should be configured to match your Production account. This will ensure the testing results are consistent with what will result in Production. Once you have set up your test account, you are ready to receive a test purchase order. 4. Ariba Network Support Note:Test account transactions are free of charge. Note: The Network will always display which mode you are logged into, (Production or Test). Your Test account ID has the suffix -T appended to your Ariba Network ID (ANID). 25

Once logged in to your account you have the option to give a more detailed description of your company s profile. This information is optional but we advise you to complete as much information as possible as this will give your buyers a more detailed overview of your activities.
