1 Inventory Reports Overview There are several different types of reports in the DPHS Inventory application. Following is a description and sample of each. Page 1 of 22
2 Stock Reports Cost Analysis by Storeroom This report provides Month to Date and Year to Date totals for units, cost, and average cost for all items within a storeroom. Fields Include items with Zero On Hand? Yes No Items that have no on-hand quantity will be displayed in the report Items that have no on-hand quantity will not be displayed in the report Post Month/Year The default is the current month and year of the application. Click Continue to select run time options and run the report. Page 2 of 22
3 Sample Cost Analysis by Storeroom Report Cost Analysis by Item Class This is a summary report of Month to Date and Year to Date totals for units, cost, and average cost by Item Class. Page 3 of 22

6 Inventory Valuation This report prints a detail listing by Storeroom of each item, the On Hand quantity, and the extended value of the item. Fields Select Report Click the radio button for the report to print. As-Of Date Enter the as of date for the report. Click Continue to select run time options and run the report. Page 6 of 22

8 Inventory Interface This report prints a list of all Inventory Interface transactions. Report Selection Export Transfer Report Displays a list of all Inventory Export transactions Import Transfer Report Displays a list of all Inventory Import transactions Vendor Catalog Import Report Displays a list of imported vendor catalog items Export Transfer Report One or more export batches can be selected to display in the report. Selected batches are marked with an asterisk (*) in the left column. Right-click to select or deselect all batches. Click Continue to select run time options and run the report. Page 8 of 22

10 Vendor Catalog Import Report One or more import batches can be selected to display in the report. Selected batches are marked with an asterisk (*) in the left column. 11 Posted Transaction Journal This report prints all of the posted transactions for the month by Batch ID. The report includes Requisitions, Transfers, Adjustments, Production Orders, and Physical Inventory postings. Select run time options and run the report. 12 Stock Status Report This report gives Summary counts of Inventory Items available by Item Class by Stocking Location, and also places *** next to items that should be reordered. Fields Property ID (multi-property only) Click the drop-down arrow to select the Property ID for which to run the report. Storeroom ID Click the drop-down arrow to select the Storeroom ID for which to run the report. If this field is left blank, all storerooms will be included. From Date/To Date Enter the date range for to run the report. Summary or Detail? S D Summary Detail Include items with Zero On Hand? 14 FIFO Transaction Detail This report produces a transaction history report for each Item that is used to determine cost, if FIFO (First In-First Out) is the selected Costing Method. This report is available only if the system is set up to use the Costing Method F (First In/First Out) is set in the Parameters file. Select run time options and run the report. Sample FIFO Transaction Detail Report Vendor Inventory Valuation for Single Source Items This report prints a detail listing by Storeroom of each Single Source Item. Field Detail or Summary? 15 Click Continue to select run time options and run the report. Sample Inventory Valuation for Single Source Items Report Unused Items This report produces a listing of all items for which there has been no stock movement activity for a specified period of time. Upon selecting this report, the following screen will appear: Fields Include items with Zero On Hand? Yes No Items that have no on-hand quantity will be displayed in the report Items that have no on-hand quantity will not be displayed in the report Number of Days Item Has Been Unused Enter a number to see all items that have been unused for at least that many days from the date the report is run. 17 Retail Detailed Sales Analysis Fields Select Report Click the radio button for the report to print. Property ID (multi-property only) Enter/Select a Property ID for which to run the report; leave blank for all. Storeroom ID Enter/Select a Storeroom ID for which to run the report; leave blank for all. From Class ID To Class ID Enter/Select a single Item Class or a range of Item Classes for which to run the report; leave blank for all. From Date To Date Enter a date range for which to run the report. Click Continue to select run time options and run the report. Page 17 of 22
18 Detailed Item Report This report will display detailed sales data, by Storeroom and Item Class. 19 Food & Beverage Sales & Cost Analysis This report is currently only available for Food & Beverage sales. This report displays Actual and Budgeted cost and percentages for all storerooms with items in the Group chosen. Upon selection of this report, the following screen will appear: Fields Group ID (required) Enter/Select a Group ID for which to run the report Date Through Enter the date through which the report is to be run. Click Continue to select run time options and run the report. Sample Sales & Cost Analysis Report Page 19 of 22
20 Sales Mix & Target Cost This report is currently only available for Food & Beverage sales. This report will display Actual costs and percentages for all storerooms with items in the Group chosen. Fields Select Option to use Click the radio button: Cost at time of sale Current cost Generates report using item s cost at the time of sale Generates report using the item s current cost Group ID (required) Enter/Select a Group ID for which to run the report From Date/To Date Enter the date range for which to run the report. Click Continue to select run time options and run the report. Page 20 of 22
21 Sample Sales Mix and Target Cost Report Usage Analysis This report will display Usage of an item for a given range of dates. Fields From Group ID/To Group ID Enter/Select a range of Item Class Groups for which to run the report. To select a single Group enter it in both fields. From Date/To Date Enter the date range for which to run the report. Click Continue to select run time options and run the report. Page 21 of 22
