2 Creating order lists To create an order list: 1. From the home screen, hover over Order Lists and click Create Order List. 2. Choose to allow items from all suppliers, or restrict the order list items to specified suppliers. If you choose to restrict suppliers, select the second button and begin typing each supplier in the box below. This is an auto-complete form, so be sure to select each supplier individually. Note: Supplier catalogs must be less than 500 items to be added to the order lists. 3. If you choose to check the Add All Available Supplier Items checkbox, then all of the catalog items you have from that supplier will be loaded into the order list by default. 4. Click Create. 5. The Create Order List screen appears with a some default information loaded. Review these setting. Order List Setting Details Name Identifies the order list to all users that have permission to view it.

3 Order List Setting Details Which Suppliers May Be Added To This Order List Any Supplier: Allows items from all suppliers on the list. Only these suppliers: Restricts items to those available from only the selected suppliers. Note: You can add only supplier catalogs with less than 500 items. Who Can See This Order List Everyone: Allows all Coupa users to see the order list. Only Me: Only you will be able to use this order list. Use base values for adjustment sliders Set up the slider to work off of a base dollar value, rather than a percentage. Lock this order list, preventing others from editing it If you've enabled other users to view this order list, you can restrict their ability to edit it by selecting this checkbox. Admins will not<> be able to edit this list.

4 6. Click Add Line to add new items to the list. Use the filtering option to search for the item more easily. Choose the item from the dropdown. Note: If you can't see any items from a specific supplier, it could be because you've already added all of that supplier's catalog items to the list. 7. For each item, choose the quantity you want to order or the par level to use. The total amount will update automatically. 8. After you've added multiple items to the list, you can organize it by using the Sort by dropdown at the top-right of the screen. 9. Review the items in your list and click Save.

5 Editing order lists To edit an order list: 1. Go to the order list you want to edit. You can get to it from the home page, under Order Lists > [Your order list]. 2. If you have permission to edit the list, you'll see these buttons to the right of the par level bar: o behalf. <> Delete: deletes the entire order list for your account only. If others have access to the order list, you can't delete it on their o Edit: opens the edit order list page. o o Copy: creates a new order list, using this one as a template. Print: opens the print view for this order list. 3. Click the edit button,, in the top right of the window. 4. Make your changes. Check the order list settings table for details on each setting. 5. Click Add Line to add items to the order list. Start typing the items name. Coupa searches your catalogs for the item. You can filter by supplier to help make sure you get the right item. 6. Click Save, when you're done. New items If you've chosen to add all items from a supplier catalog and a new item is added to the catalog, after you set up your list, you'll see these items at the top of the page for 30 days. You can choose to add them to the list directly.

6 Order Lists Find this screen in Coupa: Setup > Purchasing Tools > Order Lists. From here, you can manage your Order Lists table in Coupa. Users with access to this table can view and edit order lists that are otherwise locked to other users. You can also create order lists directly from this screen. If you have sufficient privileges, you can edit these global order list settings: Disable setting par levels. Disable suggested order amounts. Disable adjustment sliders. Set the minimum and maximum percentages for the sliders. Disable use base value for adjustments slider. Disable ability to make order lists visible to everyone (allow only personal order lists).

7 Using Order Lists Use order lists to create a list or set or kit of frequently requested items within a supplier catalog. To use an order list, click it from the order list drop-down on the Coupa home screen, just below the main search bar and on the right. You can use the slider to automatically adjust the par level and update the quantities you want to add. Adjust the desired quantities you want for each item. and then click Add to Cart.

8 The slider bar The slider bar allows you to adjust your standard par levels quickly. For instance, let's say you've created an order list for your monthly computer laptop purchases from Apple where you buy 10 MacBook Airs and 20 MacBook Pros. But you have more new hires than usual this month, so you want to order 20% more. You adjust the slider up by 20% and 10 changes to 12, while 20 changes to 24. You can change the percentage up by 150% or down by 75%. Coupa rounds all fractions up.

9 Sorting You can sort your order list in several ways by using the Sort by: dropdown in the top right of the screen.

10 Actions menu The actions menu allows you to delete, print, edit, copy and share your order list.

11 New items Any new items for that supplier that currently aren't on the order list will appear at the top of the page and you can choose to add those items to your order list. If you don't, the new item will disappear after the item is available for 30 days.

12 Par setting Instead of setting a standard order amount for an order list, you can set a par level. This option has to be enabled by your Coupa administrator before it is available to you as an end-user. For those not familiar, par is an inventory control method where you set the standard amount that you want to "order up to". For example, you always want to have 20 MacBook Airs after delivery of the order. You may have 6 in stock, so you want to order 14.
