2 Global DMS Release Summary for etrac Version 7.1 General System Enhancements: Compliance: There were no compliance updates included in this release. Enhancements: BYO Web Services App: Updated to now support access to custom fields (i.e., the Custom Fields app is no longer a requirement to access custom fields via BYO Web Services). Added access to the Mail Hard Copy to Borrower order level flag. Company Documents App: Added a Custom Invoice document type: When configured, this document type will be substituted in all areas of existing invoice functionality, including: Invoice related system settings (excluding settings limited to specific invoice options). Preview Invoice link (Order Details screen): Attach Invoice check box (Files Available for Download screen): page 1

3 Send to RealEC button (Files Available for Download screen; requires the RealEC Integration app): Deliver Files Workflow Item, when the Invoice is selected as part of the package (requires the Workflow Engine app): This document type overrides the following settings: Client Profile Select the invoice you would like to use: (new in 7.1) System Setting Select the invoice you would like to use: Added accounting fields to the Merge Fields List (available for use with the Company Documents and/or Workflow Engine apps). See Appendix C for field list. The Vendor Registration Agreement window now features auto-resizing. Previously, Vendor Users had to scroll not only up and down, but left and right to view all the text (depending on their monitor s resolution). Now, the window will fit to the resolution size so that users will only need to scroll up and down. etrac Report Builder App (ERB): Added accounting data fields to the following report types: General Report (see Appendix A for field list). Payments Report (see Appendix B for field list). etrac-to-etrac (e2e): Added e2e Product Mapping Configuration screen: Report Types 2-5 can now be transmitted to the e2e Vendor Company. page 2

4 Once an e2e connection is established with a Vendor, e2e product mappings are accessible via the Vendor Profile screen: Displays both the Company and the e2e Vendor Company Product Lists (for mapping). Feature is disabled until configured by a Staff User. It is recommended that the e2e Client and Vendor companies discuss product mapping selections prior to use. (requires the e2e Data Mapping Configuration app): Added an e2e Data Mapping Configuration screen: Once an e2e connection is established with a Client, mappings are acessible in the e2e Settings section of the Client Profile screen: This feature is only compatible with the Standard Residential Order Form at this time. It is recommended that the e2e Client and Vendor companies discuss which fields should be overwritten when each company updates an e2e order prior to use. Click here to view more information on the e2e Data Mapping Configuration feature. Staff Module: Created an Invoice 2015 invoice option: Uses the Invoice Chrome style. Compatible with the following browsers: Internet Explorer Chrome Firefox page 3

5 Compatible with the following apps: Show Vendor Fee on Invoice State Regulations This invoice is available for selection within the existing Select the invoice you would like to use: system setting. Navigation: Setup System Settings Configure Accounting This invoice display can be customized by the following system settings: Display Ordered By on Invoice? Note: This setting only applies to Invoice This setting allows the following information to display on the invoice: Client User Name (default) Ordered By Name None (hides the Ordered By invoice label). Display Appraiser name on Invoice? Note: This setting only applies to Invoice When enabled, displays the name of the Vendor assigned to the order (default = No). Display Extra Fee on Invoice? Note: This setting only applies to Invoice When enabled, the text in the Extra Fee and Extra Fee 2 order form fields (where applicable) is displayed on the invoice. Display Client Payments on Invoice? Note: This setting only applies to Invoice 2015: (default = No): Displays the Payment Type that was selected for each posted payment. Payments are displayed in the Payments section on the invoice. Display Invoice Additional Notes? Note: This setting only applies to Invoice 2015 (displays the text found in the Additional Notes field on the Invoice Order screen). page 4

6 Display Check Memo on Invoice? Note: This setting only applies to Invoice 2015 (displays the text found in the Memo field on the Payment History screen). Added an Invoice setting to the Client Profile: Setting is available in the Billing Information section: The Client Profile setting will override the existing company level version of this setting (Setup > System Settings > Configure Accounting) for the target Client. This setting includes the following options: Classic Invoice 2008 (Legal) Invoice 2011 (Legal) Invoice (big font) Invoice Chrome Invoice 2015 When the default value -- Select an Invoice -- is selected, the company level invoice selection will be delivered to the target Client. Staff Users can run a report on which invoice was selected for each Client (requires the etrac Report Builder app): Added a UsingCompanyInvoice field to the Clients Report type: Displays Yes if the Client is using the System Setting invoice selection. Displays No if the Client is using the Client Profile invoice selection. Added an InvoiceName field to the Client Report type. This field displays the name of the invoice selected in the System Settings or Client Profile (as appropriate) for each Client. page 5

7 Extended the character limit of the Check# field in the Payment Details screen from 15 to 25: NOTE: This character limit does not apply to the number of characters the user can enter, only the number of characters saved. Additional characters will not be saved to the database. Added the following Product Categories: Title - Closing Title - Deed Title - Other Title - Tax Certification Title - Clearance Product Categories are available for selection in the following areas: Vendor Profile (Residential Product Types Performed) Add Product (Product Category drop down) Edit Product (Product Category drop down) Staff Module Order Form: Modified the Order Form Order Details screen as follows: Added the ability to update Office Notes from the Order Details screen (requires the User Permissions app). Added a User Permission to show/hide the Edit Order Details link. Permission is located in the Main Menu branch of the permission tree: page 6

8 This permission must be checked to display the Edit Order Details link. When the permission is checked: The Office Notes label will display as a link: Clicking this link opens the Edit Office Notes screen: When the permission is unchecked, the Office Notes label will display as text: This permission is disabled by default. page 7

9 Added a link to a Bird s Eye view map of the subject property (also available on the Order Form Update screen): Clicking this link will open Google Maps (Satellite view is available by clicking the icon): When orders are cloned in the Staff or Client Module, the name of the user who performed the action is logged in the cloned order s Status History. page 8

10 This update is available only for the following order forms: Standard Residential Order Forms (Staff and Client) Commercial Order Forms (Staff and Client; requires the Commercial Order Form app) NOTE: Logging also applies when the clone link in the Staff Module Super Search is used. User Permissions App: Modified the Update Engager and Order Status screen to remove the date cancelled date when a previously cancelled order is opened or completed (i.e., updated to a status other than Cancelled). Previously, orders that were cancelled via this link and later reopened were still displaying in the Cancelled Orders by Client queue. The Update Engager and Order Status screen is accessed via the Update Engager/Status link on the Order Details screen: Workflow Engine App: Added support for non-order Status triggers. This update allows external submission statuses for the following services to be selected as triggers for existing actions: AVM/Data Analytics (requires AVM app) UCDP (requires UCDP app) EAD (requires FHA EAD app) Risk Profiler (requires Collateral Review app) RealView (requires Platinum Data Agreement, RealView, and MARS apps) NOTES: The existing "When Status Notifications are ed to your clients, where should the come from?" system setting is used to set the FROM and REPLYTO headers when selecting non-order status triggers. This setting allows the following addresses to be selected: Company (Company Profile ). Office (Office Profile ). page 9

11 Status Notification (The address stored in the "Enter the address you would like the notifications to be sent to:" system setting). Staff User (The Staff User that updated the order). CSR/Engager (The staff user ID in the "Engager" field on the order form). Since the system is not able to determine the Staff User ID on events triggered by the Windows Service, we introduced the following substitutions: Staff User - If this option is selected, use the Office address (if not blank) in the FROM and REPLYTO headers. Otherwise, use the Company address. CSR/Engager - If this option is selected: Use the address of the Staff User selected in the "Engager" field on the order in the FROM and REPLYTO headers. If an Engager is not assigned to the order, use the Office address (if not blank) in the FROM and REPLYTO headers. If an Engager is not selected and an Office is not assigned to the order (or the Office is blank), use the Company address in the FROM and REPLYTO headers. Added e2e Data Field Update as a trigger. This option allows Staff Users to configure notifications and other actions when an e2e order change outside the organization results in an update to the company order (requires the e2e Data Mapping Configuration app). Trigger is available for all Workflow Engine Actions. Allows a user to select a specific field or all fields as the trigger. Maintenance: BYO Web Services App: Brought the Send Appraiser functions up to date with the current etrac library. Previously, Workflow Engine items were not always triggered on order insertion. Brought the Company Documents function up to date with the current etrac library. Configured Vendor Attachments were not always attached to the Vendor New Order Notification . page 10

12 Commercial Bidding System App: Addressed issues with the Insert Template feature in Chrome and Firefox browsers: Chrome: The Insert button (Insert Templates screen) was previously unresponsive in certain scenarios. The selected template was not attached to the Engagement Letter . Firefox: The selected template was not attached to the Engagement Letter . etrac Report Builder App (ERB): Updated database to improve performance of the General Report type. Global Kinex: Addressed the following issues in the UCDP Account Setup screen display (requires the UCDP app): Display a confirmation message once the Client data is successfully updated (e.g. <ClientName> account information successfully updated). Display the entered text. Clear out the fields below the "Search Client Names:" field when a new search string is entered. Staff Module: Modified the Vendor User Last Name field to support the use of apostrophes ( ). If the last name contained an apostrophe, the Last Name was truncated when displayed in the Manage Vendor Users and Edit Vendor Users screens. Workflow Engine App: The edit function now requires the user to select a Workflow Trigger prior to saving a Workflow item. Users were previously allowed to save an item without selecting a trigger. This resulted in the following error message: Conversion from string "Select a Status..." to type 'Integer' is not valid. Modified the Scheduled Notification action s logic to address an issue triggering Workflow Engine items upon order insertion. Modified the add and edit functions to maintain selected filters when uploading a file to a workflow item. page 11

13 Addendum A: Accounting Data added to the etrac Report Builder General Report Type CompanyTaxID This field will display the information entered into the What is your company tax ID number? field on the Company Profile (editcompany.aspx). SalesTax This field will display the number entered into the If you charge your clients Sales Tax, enter it here system setting. CCFullName This field will display the Name entered into the Full Name field on the Payment Details screen (clientpayments.aspx). CCBillingFullAddress This field will display the Billing Address, Billing Address 2, Billing City, Billing State, and the Billing Zip from the Payment Details screen (clientpayments.aspx). CCBillingAddress This field will display the Billing Address from the Payment Details screen (clientpayments.aspx). CCBillingAddress2 This field will display the Billing Address 2 from the Payment Details screen (clientpayments.aspx). CCBillingCity This field will display the Billing City from the Payment Details screen (clientpayments.aspx). CCBillingState This field will display the Billing State from the Payment Details screen (clientpayments.aspx). CCBillingZip This field will display the Billing Zip from the Payment Details screen (clientpayments.aspx). CCBillingCSZ This field will display the Billing City, Billing State, and Billing Zip from the Payment Details screen (clientpayments.aspx). CCExpiration This field will display the Expiration date from the Payment Details screen (clientpayments.aspx). CheckPostedBy This field will display the value stored in the Posted By field on the Payment Details screen (clientpayments.aspx). InvoiceAdditionalNotes This field will display the Additional Notes from the Preview Invoice screen (invoice_update4.aspx). Subtotal This field will display the sum of all Report Type Fees and Extra Fees (Extra Fee & Extra Fee 2). DateCreditCardLastCharged - The date the last credit card payment was applied to the Client Fee Balance on the order (DD/MM/YYYY). page 12

CCBillingAddress2 This field will display the Billing Address 2 from the Payment Details screen (clientpayments.aspx). CCBillingCity This field will display the Billing City from the Payment Details screen (clientpayments.aspx). CCBillingState This field will display the Billing State from the Payment Details screen (clientpayments.aspx). CCBillingZip This field will display the Billing Zip from the Payment Details screen (clientpayments.aspx). NetProfit This field will display the Net Profit for the order. ExtraFee This field will display the Extra Fee on the order. ExtraFee2 This field will display the Extra Fee 2 on the order. ExtraFeeSubtotal This field will display the extra fee subtotal (Extra Fee + Extra Fee 2 = Subtotal). ProductFee This field will display the Fee associated with Product 1 on the order. ProductFee2 This field will display the Fee associated with Product 2 on the order. ProductFee3 This field will display the Fee associated with Product 3 on the order. ProductFee4 This field will display the Fee associated with Product 4 on the order. ProductFee5 This field will display the Fee associated with Product 5 on the order. ProductFeeSubtotal This field will display the sum of all product fees. TotalClientFee This field will display the sum of all product fees, plus the sum of all extra fees (existing field - update calculation to include sales tax). page 13
