2 Global DMS Release Summary for etrac Version 5.9 ENHANCEMENTS Enhanced User Permissions Requires User Permissions App A new "Assign Vendors" Enhanced User Permission has been created under the Main Menu section to restrict Staff User access to assigning orders on the Staff Module Order Form. The following order assignment options will be unavailable if the Assign Vendor option is unchecked: Vendor field (the dropdown menu will be disabled) or Vendor search (the link will not be displayed) Find Vendor link (the link will not be displayed) Auto Assign link (the link will not be displayed) View Bids (the link will not be displayed) - Requires Commercial Bidding System app Order Form with Vendor Search Link page 1

3 A new "Update Client Fee" Enhanced User Permission has been created under the Main Menu section to restrict Staff User access to entering or updating Client Fees on the Staff Module Order Form. The following Client Fee fields will be unavailable if the Update Client Fee option is unchecked: Report Type Fee field (the input field will be disabled) Report Type 2 Fee field (the input field will be disabled) Report Type 3 Fee field (the input field will be disabled) Report Type 4 Fee field (the input field will be disabled) Report Type 5 Fee field (the input field will be disabled) Extra Fee field (the input field will be disabled) Extra Fee 2 field (the input field will be disabled) page 2

4 A new "Update Vendor Fee" Enhanced User Permission has been created under the Main Menu section to restrict Staff User access to entering or updating Vendor Fees on the Staff Module Order Form. The following Vendor Fee fields will be unavailable if the Update Vendor Fee option is unchecked: Vendor Fee field (the input field will be disabled) Fee Percentage % field (the input field will be disabled) Fee Table field (the dropdown menu will be disabled) Additional Fee field (the input field will be disabled) - Requires Sub-Vendor App Order Form when Sub-Vendor App is Enabled page 3

5 Staff User Profile The following modifications have been made to the User Profile screen: A new Completion Date date picker sub-setting has been added to the existing Has the user taken the 15 hour national USPAP class? User Profile setting. A new Has the user taken the 7 hour national USPAP update class? User Profile setting has been added. A new Completion Date date picker sub-setting has been added to the new Has the user taken the 7 hour national USPAP update class? User Profile setting. etrac Report Builder Requires etrac Report Builder App A "Reports" field has been added to the User Profile to control Staff User access to etrac Report Builder queues on the View Queues screen (Main View Queues). New and existing etrac Report Builder queues will be available to all Staff Users by default. To restrict access to a specific queue, select the report and click the << Remove button. page 4

6 The selected report(s) will no longer be displayed in the Report Builder Queues dropdown menu listing on the View Queues screen. NOTE: Access to a specific queue will not be restricted if the Staff User is associated with a Staff User Group (requires Staff User Groups App) that has permission to view the report. To restrict Staff User access to a queue, the report must not be selected on the Staff User Profile nor selected for any associated Staff User Groups. page 5

7 An "Edit Reports" button has been added to the Edit Staff User Group screen (requires Staff User Groups App) to control Staff User Group access to etrac Report Builder queues on the View Queues screen (Main View Queues). Click the Edit Reports button to view selected reports. New and existing etrac Report Builder queues will be available to all Staff User Groups by default. To restrict access to a specific queue, select the report and click the << Remove button. page 6

8 The selected report(s) will no longer be displayed in the Report Builder Queues dropdown menu listing on the View Queues screen. NOTE: Access to a specific queue will not be restricted if a Staff User has permission to view the report via the User Profile setting. To restrict Staff User access to a queue, the report must not be selected on the Staff User Profile nor selected for any associated Staff User Groups. page 7

10 Staff Users Report HasTakenUSPAP7Hour USPAP15HourCompletionDate USPAP7HourCompletionDate Appraisers Report OfficeName State Regulations Requires State Regulations App The following modifications have been made to the State Regulations Info screen: A selection in the States dropdown menu field is now required. A new State Registration Name text input field has been added. A selection in the Registration # text input field is now required. The Certificate Received Date date picker field has been renamed Effective Date and a selection is now required. A selection in the Expiration Date date picker field is now required. The Office Notes multi-line text input field has been renamed Additional Notes. State regulation information for each state can now be edited via the corresponding state abbreviate link in the State column of the State Regulations Info table. page 9

11 A new Licenses section will display on the Edit User screen to save license information for Staff Users if the State Regulations app is enabled: License # State Expiration Date Certification Year Certified Year Licensed page 10

12 MAINTENANCE Staff Module Order Form The timestamp for the Status Last Updated field will no longer be rounded to the nearest minute. Staff Module Order Form: Get County Links Clicking the Get County or Get City/State/County links in the Subject Property Address Info section of the Staff Module Order Form will no longer return the county value in all capital letters. Staff Module Order Form: Download ACI Button The Inspection Scheduled date has been updated to display in MM/DD/YYYY format when order form information is downloaded as an ACI software file. Client Module Order Form: AVM/Data Analytics Button The AVM/Data Analytics button will now be hidden on the Client Module Order Form if either the Client-level setting: "Allow Client Users to order AVM/Data Analytics products?" or the Client User-level setting: "Allow user to Add AVM/Data Analytics Orders" are set to "No. etrac to etrac Resolved an issue with etrac to etrac order status updates in the Parent Company that were not respecting the system setting: Would you like to hide Appraiser Status Comments from Clients? Note: the status will be displayed, just not comments. page 11

13 Accounting: REProf Payment List Unpaid Orders The List Unpaid Orders function of the REProf Payment screen has been updated to only display vendors with at least one unpaid order within the selected date range. Accounting: REProf Payment Calculate Total Outstanding balances for appraisers, supervisors, and reviewers are now correctly calculated on the REProf Post Payment screen. Accounting: REProf Payment - Receipt to Vendor The body of the sent to vendors when forwarding payment receipts has been modified to read, Please see attachment to view pending payment(s). You should receive payment shortly. when the " Receipt to Vendor" option is utilized on the REProf Payment Confirmation screen. Master Fee Tables Requires Master Fee Tables App Resolved performance issues when editing Master Fee Tables. MARS Review Requires MARS App Updates have been made to the logic of the following MARS rules: GDMS-2707: Effective Date must be the same as or later than Date of Signature and Report The MARS rule has been updated to read Date of Signature and Report must be the same or more recent than the Effective Date, and the logic has been updated to confirm that the Date of Signature and Report is either the same as or more recent than the Effective Date. GDMS-2871: FNM0080: The "as of" date of the appraisal is outside the expected range (between 4 and 12 months old) The MARS rule logic has been updated to determine whether the "as of" date of the appraisal is older than 3 months. page 12

14 GDMS-2900: FNM0094: Supervisor license state does not match subject property state The MARS rule logic has been updated to pass the rule if there is no supervisor information in the report (i.e., all supervisor fields are blank). etrac Report Builder: General Report Requires etrac Report Builder App The etrac Report Builder General Report has been updated to exclude NULL (blank) values when filtering by either the SupervisorLastName or ReviewerLastName fields. etrac Report Builder: Status History Report Requires etrac Report Builder App The etrac Report Builder Status History Report has been updated to display the value of the DateEntered field in the appropriate company time zone. etrac Report Builder: Files Report Requires etrac Report Builder App The etrac Report Builder Files Report has been updated to include orders not assigned to a vendor. etrac Report Builder: Completed Orders (Delay Time Included) Report Requires etrac Report Builder App The etrac Report Builder Completed Orders (Delay Time Included) Report has been updated to allow filtering on the ClientName field. Company Documents: Special Instructions Document Type Requires Company Documents App Filters established when configuring a Special Instructions Company Document Type will now be applied to orders that are created via the Client Module or any custom order forms. page 13

15 RealEC Integration Requires RealEC Integration App RealEC orders will now be auto-assigned based on the selection made for the system setting: Would you like orders to be auto-assigned to an appraiser when entered by a client or uploaded?" when Event Code 100 (Appraisal Order Request) is received. RealEC Integration Requires RealEC Integration App Additional support has been added to handle the transmission of larger files in Event Code 537. RealEC Integration Requires RealEC Integration and Workflow Engine Apps Workflow Engine functionality has been modified to trigger workflow actions when the order status changes to Unassigned as a result of incoming Event Code 100 (Appraisal Order Request). The "Trigger Workflows from order status changes via incoming mapped event codes from RealEC" checkbox must be checked on the RealEC Configuration screen. NOTE: If RealEC orders are auto-assigned to Vendors, the Workflow Engine action should also be configured on either the Waiting for Acceptance or Assigned status, in addition to Unassigned (for instances where auto-assignment is not possible). page 14
