5 Chapter 1: Getting Started The Griffin Training Enrollment Website is available to make it easier for everyone to request access to Griffin and enroll in Griffin training classes. As a Supervisor s Assistant you can fill out the enrollment form for an employee, register employees for classes, see employees course transcripts, and do the same for yourself. The Site To access the website open an internet browser and go to this address: Logging In You will need your CNetID and password to login to the enrollment site. If you do not have a CNetID and password, please get one by going to this site: Enrollment Site Menu Once you are logged in, you have many options on the menu to choose from: Account Manager Add a user to your list and view the list of staff. Register staff for classes, edit their user information and view or print their transcripts. Enrollment Report Online report that allows you to see the course enrollment of your staff. (i.e. Enrolled, Completed, Absent, Cancelled, etc.) Course Listings The upcoming courses in list format. From here you can register yourself or your staff for courses. Course Calendar The upcoming courses in calendar format. From here you can register yourself or your staff for courses. My Current Course Schedule List of upcoming courses that you are scheduled to take. My Transcript Full listing of all the courses in which you were ever enrolled back to January Logging Out When you are finished with the site, please logoff by clicking on the Log Out link at the top of each page. 6 Chapter 2: User Enrollment You may be asked to fill out the enrollment forms for a new employee. If necessary, you may download copy of the enrollment form to send to the new employee. Downloading the Enrollment Forms For your convenience, you may download a Word or PDF version of the enrollment form to send to an employee that has not yet started. When the employee sends the form back to you follow the instructions for Requesting Griffin Access. To download the form: 1. Log into the enrollment website. 2. Click on Account Manager. 3. Click on the MS Word or PDF link. 4. Save the file somewhere on your computer. Requesting Griffin Access Griffin access needs to be requested before you can complete any of the other steps for the individual. 1. Log into the enrollment website. 2. Click on Account Manager. 3. Click on the click here link where it says To add a user to the list, please click here. 4. Fill in the form and click on Add New User. What Happens Next? Griffin User Access and Training will take over from here and complete the individual s Griffin enrollment. You will receive an when the individual s enrollment is complete. At that point you will be able to register the individual for courses. Your Supervisor will need to go in and sign the employee s password form. The Employee Needs a CNET If the new employee does not have a CNetID, you will need to instruct him or her to visit the CNet website at There are instructions located at 2 Revised 09/12/11

7 Chapter 3: Registering for Courses As a Supervisor s Assistant, you will be able to register yourself and the staff for Griffin courses. Registering Yourself for a Course Or 1. From the menu, click on Course Calendar. 2. Navigate to the date of the course in which you would like to enroll. 3. Click on the link to that course. 4. Click on Register. 1. From the menu, click on Course Listings. 2. Click on the name of the course in which you would like to enroll. 3. Go to the section that works the best for you and click on the Register for this section link. 4. Click on Register. Registering Others for a Course Or Or 1. From the menu, click on Course Calendar. 2. Navigate to the date of the course in which you would like to enroll other users. 3. Click on the link to that course. 4. To register other users, click on the Click here to register a group for this section link. 5. Check the box next to each the individual s names that you want to register. 6. Click on Register. 7. Click on Confirm Registration. 1. From the menu, click on Course Listings. 2. Click on the name of the course in which you would like to enroll other users. 3. Go to the section in which you would like to enroll other users and click on the Register for this section link. 4. Click on the Click here to register a group for this section link. 5. Check the box next to the individual s names that you want to register. 6. Click on Register. 7. Click on Confirm Registration. 1. From the menu, click on Account Manager. 2. Click on the name of the individual that you would like to enroll in a course. 3. Click on the Register User for Courses link. 4. Click on the name of the course. 5. Click on the Register for this section link. 6. Click on Register User Name. ( User Name will be the name of the individual you are registering.) Canceling a Course To cancel a course for a staff member, please send an to griffinhelp@uchicago.edu requesting that the enrollment status be updated to cancelled. To cancel for yourself, click the My Current Course Schedule button in the menu. Click the Cancel Enrollment link for the course you wish to cancel. Revised 09/12/11 3

8 Chapter 4: Reports and Transcripts As a Supervisor s Assistant you may access the Enrollment Report and transcripts for the staff. Course registrations are available from January 1, 2000 to the posted upcoming courses. Enrollment Report The Enrollment Report allows you to see the class enrollment status of the staff by the Enrollment status. To use the Enrollment Report: 1. Click on Enrollment Report. 2. Select an Enrollment status from the drop down box. 3. Select a Start Date and an End Date. 4. Click on Submit. Employee Transcript You may also look at the course transcript for an individual staff member. To do this: 1. Click on Account Manager. 2. Click on the name of the employee whose transcript you want to see. 3. Scroll down to see the transcript. The transcript also has a print version. Click on the Print Transcript link in the top, right-hand side of the page. 4 Revised 09/12/11
