1 HealthConnect User Guide HealthConnect Quoting For Tri-State Area medical quotes, BenefitMall proudly offers HealthConnect to provide you with accurate efficient quotes. To access HealthConnect, login to your BenefitMall Broker Workspace from the BenefitMall homepage; click on the HealthConnect logo, located in the gray Run a Quote Menu on the right side of your Broker Workspace. This link will direct you to the user login for HealthConnect. Enter your HealthConnect user name and password and click login. 1
2 Section One: Quoting New Client To begin a new quote for a new client, select Add a Company from the Client Management drop down menu or Add Company from the Gray User Profile Menu Bar located at the top of the screen. Existing Clients To begin a quote for an existing client/company, select the client from the My Company List and proceed to Step 2. Step 1- Company Details Fill in the following information (all other information on this page is optional): Company Name Effective Date Zip Code (press tab to automatically fill in County and City) Number of Employees in each tier of the Census* o Status o Gender o DOB or Age For New Jersey enter the total number of employees in the census Next enter your Census Data 2
3 For New York enter a total of 2 employees Step 2- Select Quoting Tool To select plans choose the Plan Wizard option from the Quoting Tools menu. This is the preferred quoting tool and will guide you through each step of the quoting process to ensure an accurate quote is produced for your client. To quote using previously defined plans search the My Plans options. New Jersey and New York have several pre-set My Plan options that have been created by the BenefitMall sales teams that reflect the most popular plan designs of its carrier partners. This area is considered your home base. Anytime you need to go back click on this, not the back button on your browser. Step 3- Choose Carrier & Select Criteria The fields will auto-populate based on what is available. 3
4 To select a plan, choose from the list of carriers provided. To complete the plan selection, choose the plan options offered by each carrier. For a New York group the plans will populate without clicking Apply, but for New Jersey, click apply to view the plans. After all options have been selected the plan will appear in the bottom section of your screen. To review the plan, click the eyeglass icon to the left of the plan. To confirm the plan(s), click the box on the left and choose select, you will then see on the right side of your screen the number of plans selected. To generate proposals, click Next in the gray box at the top right of the screen. Limited Medical and Ancillary Options Please select any limited medical or ancillary options that you wish to include in your proposal. If you do not want to include limited medical or ancillary options in your proposal, click Next. Step 4- Proposal Generation 4
5 To create proposal documents select the plan(s) and click Next. To generate reports check the corresponding box and click Next. (If you choose landscape format vs. portrait, you will see an abbreviated benefit summary.) The report is defaulted to print as a PDF, but can also be printed as an Excel document. To view the reports click the link of the report you wish to view. To send a report by fax or , complete the fields and click Send. 5
6 Section 2: Advanced Quoting Features My Plans My Plans allows a broker to save frequently quoted plan lists to use for their clients. This is not required to run a quote, but will save you time if you continuously quote the same plans. Creating a New Plan List To create a Plan List, select plans using the same directions that are provided under Choose Carrier & Select Criteria To add the select plans click on the Add to My Plans link. To save the plans select the Add a New Plan List radio button: o Name the list o Check the Add box next to the plan(s) in the Selected Plan section and select the Update link. o The newly created list will appear in the My Plans drop down menu. o Up to 10 plans can be added to a each list and an unlimited number of lists can be created. Editing a Plan List To manage a plan list, select the Manage My Plans link and choose the Modify and Existing radio button To modify a list, select the list and check the modification you choose to make. You can delete plans, add new plans from the selected plan list and inactivate or delete a list. 6
7 Using Your Plan List To utilize a plan list, select the list from the drop down list. Select the plan(s) that you wish to include in the proposal. Notes Riders will not remain with a plan once it is in a plan list. You will need to reapply the rider each time you quote that plan. Expired plans will not be included in the plan list, but will be listed in the Manage My Plans portion with an expired label. Plans in your My Plans list that are not available in the zip code you are quoting will not appear. Section Three: Client Profile Screen 1. All group information 2. Plan Manager: Shows all plans quoted 3. Group Census: Shows census information entered 4. Generated Reports: Shows all reports (including physician reports and generated quotes) 5. Documents: Shows any documents you loaded outside of HealthConnect 6. Communication Log: Shows the history of any faxes or s generated from site 7. Client Notes: Allows multiple people to work in the same group and write notes 8. HRConnect Options: Input the required fields in order to create a Human Resources administrator and a Generic EE account login for the HRConnect. 9. Other Tools a. Network Analysis b. Report Generator c. Proposal Center Section Four: HealthConnect Tools Network Analysis: Allows you to view the number of doctors in a specific network. 7
8 To view participating physicians of a specific network, choose the network and click the right arrow to bring it to the box to the right. Once all networks have been selected, click submit and calculate to view the results. Net vs. Net: Compares 2 networks and provides the same information as the Network Analysis report. Physician Disruption Analysis: Allows you to see which networks specific doctors participate in. 8
9 Contracted Hospitals: Displays the names and addresses of all hospitals in a selected network. Please note that all of the tools in this section of the site are updated on a quarterly basis. If you are in a situation where doctor selection will affect which carrier is chosen, please check with the carrier or doctor directly. Forms Warehouse Please refer to the Carrier Information Library in your BenefitMall Broker Workspace for the most current carrier plans, forms, and guidelines. Rate Status Rate status for individual carriers is sorted by state. This information is displayed beneath Add a Company, Step 1, in the quote process or it can be accessed by selecting the Rate Status link above the client menu bar.
