1 Girl Scouts of Southeastern Michigan 2018 Fall Sale Troop Manager Checklist of Important Dates CHECKLIST OF IMPORTANT DATES SEPTEMBER 24 ONLINE EARLY SALES q Receive your kick-off to setup your troop online account. q Girl information will be in the Fall Sale online system ( if your troop is registered. q Parents and girls begin sending s to friends and family for magazine, nut and candy orders. OCTOBER 1 SALE STARTS q Setup your online account and take orders! q Girls begin taking in person candy and nut orders. BY NOVEMBER 1 q Enter troop candy and cut in-person and booth extras into online fall sale system by 11:59 p.m. The online order system will calculate the rewards earned for each girl, however, selections need to be made at levels where there are choices or sizes. q If your troop is not opting out of rewards, be sure that you have assigned any extra product to girls for credit for rewards. q You will be prompted to select your pick-up date, time, and location for your nuts, candy, and reward items upon logging in to the system. NOVEMBER q Pick up Troop Candy and Nut in-person and booth extras at your confirmed date, time and site. You will also pick up your troop rewards order at this time. NOVEMBER q Hold Candy and Nut booths q Girls deliver product and collect money. DECEMBER 4 q Troop money must be available in the troop bank account (checks cleared) DECEMBER 7 q Electronic withdrawals of the council portion for the fall sale begin. 1

The ACH Authorization form must include a copy of a voided check. 2

3 TWO WAYS TO EARN MONEY WITH THE FALL SALE There are two parts to the Fall Sale: Nuts/candy and magazines. Your troop can participate in one, or both programs. Our partner for the candy and nut portion of the fall sale is Trophy Nut Company and our partner for the magazine sales is M2 Media Group. Troops earn 95 cents per candy and nut item sold and $1.50 for each magazine subscription. ONLINE ORDERING SYSTEM You can manage your troop s fall sale account for candy, nuts, and magazines at To get access to this system, you will receive a registration around September 21, Please follow the steps in this . If you do not receive your , please productsales@gssem.org to receive your login credentials. Click the link to setup your password and get started. Once logged in, you will be able to manage your troop s dashboard. This dashboard provides a snapshot of the participation and sales for the entire troop. If you manage more than one troop, you will be able to select the troop you want to view. PART 1: NUT & CANDY SALE Taking In-Person Orders: You have received one nut/candy order card per girl. It lists all products available this year. It also has color pictures of the various rewards available and the levels at which the girls can earn them. Girls should use these cards to record in-person orders from family and friends. Taking Online Orders: Girls can send s to friends and family asking them to order candy, nuts and magazines online. Parents will go to the site. Then follow instructions on the site with their daughter to create their own webpage and send s. Customers can either order directly from Trophy Nut and have items shipped to them for a fee, or may choose to have the item delivered by the girl, and pay by cash/check upon delivery. Online sales will automatically show up in your troop s online account. Girl-Delivered online orders will automatically be added to your order to pick up at your delivery site. Included in your packet is one Online Order Information Sheet for each girl. The girl and her parents should follow the instructions to begin taking online orders. Troop product sales managers will be able to view online orders in their troop account. Booths: Troops are welcome to make their own arrangements for nut/candy booths with local stores in their area, at their schools, places of worship, and local community events (crafts fairs, school events, etc.) Please do not contact WalMart, Lowe s, Sam s Club, or Kroger for Fall Sale booths, as they have expressed that they will only host cookie booths. Failure to honor this policy may prevent us from being able to set up booths with these stores during the cookie program. Fall product orders will be delivered to troops on November 15, 16 and 17, 2018, and you may begin to host booths any time after you pick up your products. The last day to host fall sale booths is November 30,

4 Extra Product: If you need extra products for booths, it must be ordered as part of your initial order. There are no other opportunities to get products. Extra items should be assigned girls as you complete your initial order. Since you will not yet know who sold them at the booth, you may wish to divide them evenly, or opt out of rewards. There are no returns. Care to Share: Girls can participate in the Care to Share donation program. It gives customers a chance to support Girl Scouting and military troops. There is a column on the order card labeled Care to Share and the price is $6.00. The customer donates $6.00 for the purchase of items to be sent. The troop inputs these as Care to Share items as part of their initial order. These are virtual items. They are not picked up, but are held at the warehouse for distribution by GSSEM. Girls earn the Care to Share patch for selling 5 Care to Share items. Picking up your Order: Set a date to collect the order cards from your girls. These in-person orders, girl-delivered online orders, and any extra product that you want for booths and events must be ordered online by November 1 at 11:59 p.m. Remember, you don t need to manually add Girl Delivered Online Orders, they will automatically be added for you. Be sure to select reward options as needed. The orders, along with your rewards, will be picked at selected delivery site locations on November 15, 16, and 17. A list of Delivery Sites with dates and expected times is included in the back of this handbook. You will be prompted to select the pick-up time upon loggin in to the system. If your count is correct, you and the site manager will sign the delivery form and the transaction is complete. Transferring Product: If you wish to transfer product to another troop, you may give them the product and they should pay your troop directly. Remember to deposit the funds in your troop account, as you are still responsible to pay GSSEM for this item. Transfers in the fall sale ordering system are not available. Receipts: You should make a receipt for every money and product transaction. 4

5 PART 2: MAGAZINE SALE Your troop can participate in the magazine portion and help make the fall sale more profitable for the troop and girls. Troops earn $1.50 for every magazine order. Our partner for the magazine portion of the Fall Sale is M2Media Group. All magazine orders are online, making it easier for girls, parents and troop volunteers. Parents will go to the site. Follow the instructions on the site with their daughter to create their own webpage and send s. Girls can create their own avatar, uniform, and choose background. They can customize hair color & style, skin color, even add glasses or braces. The girls, with their parents, send s to friends and family asking them for support by purchasing magazines, candy or nuts. Parents get s notifying them of purchases. Check back throughout the sale to track their progress and enter additional addresses to meet their goals. Reward and Patch Program Girls earn rewards and patches based on the number of candy/nut items sold and the number of magazine subscriptions sold. Specific information about the patches and recognitions is on the Candy and Nut Order Card. Troop Rewards Order Instructions: The online system will calculate the patches and rewards each girl earns, but there may be choices or options that need to be made. You are responsible for submitting your troop s reward order. Late reward orders cannot be accepted. Please note that there is NO submit button for the rewards. Simply make all choices needed by the deadline and you are done! Fall/Sale & Cookie Avatar Patch: Girls can earn a special avatar patch again this year! To earn this patch, girls must setup a website, send 12 s during the fall sale AND have an initial cookie program order of 180+ boxes. Opt out of Rewards: Troops may choose an additional 10 cents per item in troop proceeds for candy, nuts and magazines instead of receiving recognitions for each girl. This is a troop decision to be voted on by the girls in the troop prior to the start of the program. Parents should be informed of the troop decision before the program starts. You must opt out online. Financials Your troop must submit the Troop ACH Authorization Form before the program begins. Troops must notify the GSSEM Finance Department of ANY changes to their bank information during and after the sale. Troops will deposit all Fall Sale Program funds into their individual troop bank accounts promptly and frequently. Personal use of troop/group funds at any time is illegal. Personal funds and troop/group funds should never be mixed. All product sales monies due to GSSEM Finance Department will be collected from troops via ACH debit. 5

6 Troop money must be available in the troop bank account (checks cleared) by December 4, Electronic withdrawal of the council portion for the candy and nut product, and Magazine orders will begin on December 7, ACH debits will continue to be deducted from your bank account until the amount due to the GSSEM Finance Department has been collected. Bank NSF charges ($20) incurred by GSSEM Finance Department will be added to the troop debt for each ACH rejection. Delivery Sites Information current as of 8/1/18. 7 USING THE ONLINE ORDER SYSTEM Getting Started: You can manage your troop s fall sale account for candy, nuts, and magazines at To get access to this system, you will receive a registration around September 21, Please follow the steps in this . Once you have set up your online account, when you return to the online ordering system, simply click the pink volunteer button at the bottom of the landing page. TROOP DASHBOARD SCREEN 7

8 PAPER ORDER ENTRY INSTRUCTIONS 1. Point of Entry link is available after parents are locked out. To get to this screen, please click Paper Order Entry on the troop dashboard. 2. To enter girls in-person orders, choose paper order entry from your troop dashboard. Click the pencil to the left of the girl s name whose orders you want to enter and enter her orders from the order card only. All Girl Delivered Online orders (promise orders) placed online will automatically be entered into her totals. 3. Click the Rewards link on the dashboard. View the rewards girls can earn and indicate choices where necessary if the girls have not. 4. For the girls who earn the personalized patch, check to see if they entered their address. If not, please enter their address or yours and it will be mailed to you for delivery to the girls. PAPER ORDER ENTRY SCREEN 8

9 PICKING A DELIVERY SITE 1. Troops are promted to make a selection upon login. 2. Choose site from drop-down menu. 3. Available times will display. 4. Troops who aren t ready to make a selection can choose the Product Pick-Up link from the troop dashboard. SELECT DELIVERY SITE SCREEN 9

10 ORDERING EXTRA PRODUCT To order extra products, choose, Manage Troops and Girl Scouts from the dashboard. Click the + to the left of your troop number and chooose, Add Extra Products from the pop-up menu. Enter the extra units/pieces you would like to add to your troop s order. You will see a pop-up once the order is entered with a printable confirmation of the extra products you ordered. MOVING PRODUCTS From troop extras 1. Troop dashboard: Choose manage troops and Girl Scouts link 2. On troop tab, click + to the left of your troop number to open the hyperlink menu 3. Choose, Move products 4. Select direction of move from drop-down menu, Move to 5. Select girl name from drop-down 6. Enter units by variety of products you want to move 7. Click the pink button, move products to complete the transfer. 8. You will be able to print a receipt as confirmation of this move, if desired From girl to girl 1. Troop dashboard: Choose manage troops and Girl Scouts link 2. Click on girl tab 3. Click + to the left of a girl name to open hyperlink menu 4. Choose move products 5. Select direction of move from drop-down menu, Move to 6. Select type of move from drop-down menu, girl 7. Choose girl name from drop-down 8. Enter units by variety of products you want to move 9. 11 HOW TO OPT OUT OF REWARDS: To opt out of rewards, select the turn off rewards button on your troop administration page. You won t be able to change this choice. 11
