You are an important part of making the 2019 Cookie Program possible; for your Girl Scouts, your Troop and the Council. Adult/Troop Recognitions and Cookie Program Marketing ToolS are available. 2 Initial Cookie Orders: Work with girls/parents to determine girl estimates to help with the troop s Initial Order. GIRL Initial Cookie Order Estimate and TROOP Initial Cookie Order Worksheets are on our website to assist with these calculations. These are only estimates! Girls ARE NOT TO take orders before FEBRUARY 1, 2019.»» Returning troops can use their previous year's Initial Order to calculate their 2019 Initial Order.»» New troops can use the council Per Girl Average (PGA) of 213 to help calculate their Initial Order.»» Troops are advised to order 75% of last year's initial order. Initial Orders are by variety in FULL CASES ONLY (12 pkgs. per case). Initial Cookie Orders must be committed in Smart Cookies, and your PSC notified by JANUARY 8, Planned Orders: For additional Direct/Door-to-Door and Cookie Booth sales. Cookies are distributed through Cookie Cupboards. Cupboards are open February 7 to March 14, 2019; exact hours vary by Cupboard. Orders are in Packages (not cases). Troops get ONE Planned Order per week, entered by end of day Sunday (11:59 pm - MST) to be available by the NEXT weekend. Orders cannot be edited or deleted by the troop. The Cupboard Manager can assist with changes. Once entered troop must contact Cupboard Manager to confirm pick-up date and time. Choices in Smart Cookies do not guarantee your selection is available at the Cupboard. You MUST contact the Cupboard to schedule an appointment. Gluten Free Caramel Chocolate Chip are not available from any Cupboard. Troops are financially responsible for all cookies from all Cupboards throughout the sale. COOKIES CANNOT BE RETURNED OR EXCHANGED An adult must sign the M-9 Inventory Control Sheet AND receipt accepting financial responsibility for cookies received from the Cupboard. Once picked up, the Cupboard Manager approves the order in Smart Cookies to create a Cupboard to Troop Transfer Order. Transfer Orders: 1 HOW TO ORDER COOKIES Breakdown by Variety: Thanks-A-Lots = 6% S Mores = 10% Lemonades = 10% Shortbreads = 6% Thin Mints = 24% Peanut Butter Patties = 16% Caramel delites = 19% Peanut Butter Sandwich = 9% Cupboard to Troop Transfer Orders in Smart Cookies come from Initial and Planned Orders to create Troop inventory available for transfer to the girls. All cookies in the Troop s Inventory must be transferred to girls via Troop to Girl Transfer Orders in Smart Cookies. All transfers must be made BEFORE creating the recognition order. Transfer Orders are entered by variety. Troops are financially responsible for all Cupboard to Troop Transfers. THERE ARE NO RETURNS, REFUNDS OR EXCHANGES ON COOKIES. Transfer Order options in Smart Cookies include: Troop to Girl Transfer Order, Girl to Girl Transfer Order, Girl to Troop Transfer Orders and Troop to Troop Transfer Orders. Details regarding Transfer Orders can be found on page 10.

3 Initial Troop Cookie Distribution: Troops may want to retain some inventory from the initial troop cookie order to have on hand before their weekly Planned Order can be placed. Distribution of the INITIAL troop cookie orders begins statewide JANUARY 28, 2019 but girl may not sell cookies until FEBRUARY 1, Please arrive at your scheduled time and come prepared with an appropriate vehicle(s). Count your order and sign a Troop Cookie Delivery Agreement as the receipt for cases received and money due for initial cookie order. Two ACH withdrawals for 50% of the Amount Due to Council from the Troop Cookie Delivery Agreement will be processed on FEBRUARY 21, 2019 and March 13, Additional Troop Cookie Distribution: Troops pick up cookies for additional sales by girls and troop Cookie Booth Sales from the Cookie Cupboards using Planned Orders. Troops are financially responsible for all cookies transferred from all Cupboards throughout the sale. COOKIES CANNOT BE RETURNED OR EXCHANGED! A final ACH withdrawal for all cookies from Cookie Cupboards will be MARCH 29, Initial Girl Cookie Distribution: Schedule pick-up times and sort each order. Complete first line of COOKIE PICK UP RECEIPT section of the 2019 Cookie Program Participation Permission & Receipts form. Complete the Amount Due field of the PAYMENT RECEIPTS section and remind parent/ guardian of due dates and provide a money envelope. Parent/Guardian counts the order and signs the COOKIE PICK UP RECEIPT section. Additional Girl Cookie Distribution: COOKIE DISTRIBUTION Additional orders are placed based on additional packages actually sold by each girl. Require payment for cookies already received BEFORE distributing additional cookies. Refer to previously PAYMENT RECEIPT section for amount due and write in the AMOUNT DUE for the additional cookies. Parent/Guardian counts the payment and signs the receipt with you. Complete the next line of the COOKIE PICK UP RECEIPT section of the 2019 Cookie Program Participation Permission & Receipt form. Have parent/guardian count the order and sign the COOKIE PICK UP RECEIPT section. REMEMBER: Enter Troop to Girl Transfers for all cookies distributed to girls to track girl and troop inventory, money due and recognitions earned. 4 Parent/Guardian Payments: Troops determine their payment plan and due dates for parents/guardians. Clearly communicate these deadlines to the parents/guardians. Girls are ENCOURAGED to accept ONLY CASH, If a girl accepts a check, the check must be made payable to the parent/guardian. TROOPS SHOULD NEVER ACCEPT CHECKS FROM A GIRL'S INDIVIDUAL CUSTOMERS. Parents/Guardians must pay for Amount Due on each signed Cookie Pick up line on the 2019 Cookie Program Permission and Receipt form. Require payment for cookies already received before distributing additional cookies. When money is received, count it WITH the parent/guardian. Complete the Amount Paid, Balance Due (if applicable) and Payment Date fields of the Payment RECEIPT section on the 2019 Cookie Program Permission and Receipt form. Enter Girl Financial Transaction to track a girl's financial transactions in Smart Cookies Troop Payments: Payments to the council are via three ACH withdrawals from the troop account. Bank Account Information must be submitted to the Finance Department to be used to process troop ACH withdrawals. Troops determine the dates payments are due from the parents/guardians and what form of payment will be accepted for deposits into the troop account. Troops are STRONGLY ENCOURAGED to accept ONLY CASH OR CHECKS FROM PARENTS/ GUARDIANS. All money is deposited into the TROOP ACCOUNT as soon as received. Deposit checks FROM parents/guardians (if allowed) into troop account at least 5 business days BEFORE the ACH withdrawal dates. Checks must be payable to Girl Scout Troop # and have a valid driver s license number and phone number written on the face of the check. If a check is returned, the troop should contact the person who wrote the check and attempt to obtain payment for the amount of the check and any bank fees. If troop has problems collecting money, print the Collection Report from our website and follow the Collection Procedures on the back. Collection Reports may be submitted to the Product Program Manager at any time during the program, to adjust the next scheduled ACH total. To make adjustments, Collection Report(s) must be submitted 7 days prior to the ACH date. Troop ACH withdrawal schedule: FEBRUARY 21, 2019: 50% of the Amount Due to Council for troop s initial order. 3 PAYMENT PROCEDURES MARCH 13, 2019: Remaining 50% of Amount Due to Council for troop s initial order. MARCH 29, 2019: Amount Due to Council for ALL packages received from Cookie Cupboards between February 7 and March 14, NOTE: The exact time an ACH withdrawal will be processed through an account cannot be determined. Do not rely on funds from a deposit on the day of the withdrawal to be available to cover an ACH.

5 CUMULATIVE RECOGNITION PROGRAM Standard Recognition Plan: Based on total packages sold between FEBRUARY 1 and MARCH 10, Girls who sell 25+ packages earn the Theme patch. At 60 packages, girls earn cumulative recognition or 2019 Cookie Dough. Choices are detailed on the recognition page in the cookie order card. Recognitions are submitted to TCM by MARCH 11, TCMs enter recognition orders based on TOTAL Troop to Girl Transfers. Recognition order entry opens FEBRUARY 27, Recognition orders are to be entered in Smart Cookies by MARCH 14, Recognitions, patches and 2019 Cookie Dough are earned; they cannot be purchased. RECOGNITIONS MAY NOT BE RETURNED OR EXCHANGED 2019 Cookie Dough may be redeemed for any council sponsored program, camps, Travel Bucks or destinations (excluding required cash deposits); or purchases in any Juliette s Boutique or camp trading post statewide Cookie Dough is not transferable, redeemable for cash or national membership Cookie Dough expires and cannot be redeemed after APRIL 1, /1000 Club: The 500/1000 Clubs rewards top cookie sellers with additional recognitions and rewards. These additional rewards are ordered by the council. 500/1000 Club members are sent their choices from the council, with ordering instructions. The troops DO NOT order the additional 500/1000 recognitions. Family Patch: The Family patch is for girls within the same household who sell a COMBINED TOTAL of 300 packages of cookies between FEBRUARY 1 and MARCH 10, All other recognitions are based on the number of packages sold by each individual girl, NOT THE COMBINED TOTAL. Parents must complete a Family Patch Order Form, found on the council website, for each girl in the household and submit to their TCM by MARCH 11, BONUS RECOGNITION!! TWO WAYS TO WIN ONE OF TWO JUMBO NARWHALS!! EVERY girl who sells 300+ packages of cookies, OR 12 packages of cookies online, between February 1 and March 10, 2019, receives one entry in the statewide drawing for ONE OF TWO Nellie the Narwhals. The statewide winners will be announced at the end of the 2019 Cookie Program. 4

6 Gift of Sharing: Gift of Sharing can be a Take Action project or community service activity. Troops choose a charity to donate Girl Scout Cookies; then contact the charity for donation and delivery. It is the responsiblity of the troop to donate cookies to their cchosen not-for-profit organization. How it works: Girls may ask customers to purchase packages to be donated. Customers write a NUMBER, NOT A VARIETY, in Gift of Sharing column on the order card. Girls collect money for Gift of Sharing when they take the orders. Gift of Sharing sales are transferred in Tracked Cookie Share, via a Troop to Girl Transfer. Online Gift of Sharing sales are automatically entered as a Virtual Cookie Share, and credited to the girl. Any Direct Shipped Gift of Sharing Online orders will be fulfilled by the Council. Troops use the troop s remaining inventory to fill Gift of Sharing orders. Troops who sell more than their remaining inventory, will contact a Cookie Cupboard for additional cookies from their remaining inventory, available between MARCH 11 AND 13, Troops may also sell Gift of Sharing cookies at Cookie Booths. These purchases are divided among the girls as part of normal Cookie Booth sales totals. Each girl selling 3 packages of Gift of Sharing cookies receives the Cookie Share patch. Specialty Patches: GIFT OF SHARING & SPECIALTY PATCHES Set your goals in Smart Cookies and work towards them to earn the Goal Getter Patch NEW! Sell 10 or more packages of online cookies and earn the Online Patch Participate with your troop and sell 5 packages of cookies at a Cookie Booth to earn the Cookie Booth Patch 5

7 Cookie Booth PROGRAM Cookie Booths are open to all levels. Daisies should sell at family/friend familiar locations. What to Order: On average, troops sell 1-1/2 to 2 cases per hour at Cookie Booths. Troops need a mix of every variety, as suggested by Breakdown of Variety on page 1. Cookies for Cookie Booths must be ordered with your weekly Planned Order. Cupboards do not have a large inventory for additional orders. To obtain cookies during a Cookie Booth, contact a Cupboard Manager to coordinate a Transfer Order, if possible. Troops may have to contact more than one Cupboard for cookies needed outside the Planned Order. To credit a Booth sale to girls for their recognitions, divide total packages sold by the number of girls working the shift. Booth sales are entered as a Troop to Girl Transfer, by variety, in the Booth, grid. REMEMBER COOKIES CANNOT BE RETURNED OR EXCHANGED. Selling Success: Two adults are required at every Cookie Booth. Cookie Booths must have more girls than adults present. Girls need to know how to present cookies, handle money, and be safe when in public. We are GUESTS at all Cookie Booth locations. Girls and Parents need to be trained on appropriate behavior to represent the troop, the council and the Girl Scouts organization. In the rare event of scheduling conflicts or miscommunications, adults should resolve any conflict in a Girl Scout manner. Girl Scouts should not disrupt normal business at the location. Troops must supply their own table and chairs, cash box with change and receipt books. Parents and Troops should sign receipts for cookies and money, both when taking the items, and when returning as well. Participating Girl Scouts should wear membership pins, uniform, sash, vest or other Girl Scout indentifying clothing. 6

8 Troop Scheduled Cookie Booths: Cookie Booth PROGRAM Troops are responsible for contacting locations to secure Cookie Booths; EXCEPT SAM S CLUB, WALMART AND WALMART NEIGHBORHOOD MARKETS IN OMAHA, LINCOLN, COLUMBUS, NORFOLK, SEWARD & YORK which are coordinated by the council; troops MAY NOT contact these locations directly. For all other Cookie Booths, troops will work directly with the location to establish dates, times and details for their Troop Secured Cookie Booths. Contacting the Store Manager or Director is the best way to secure a Cookie Booth. You should receive written confirmation from the location to confirm Booth details, as well. We are guests in these facilities. You must respect their schedules and guidelines. Following up with a thank you in some manner, is recommended. Entering TROOP SCHEDULED Cookie Booth information in Smart Cookies is required to ENSURE inventory is available AT Cookie Cupboards, AND to promote YOUR Cookie Booths in the Booth Locator. Sam s Club, WalMart & WalMart Neighborhood Markets in Omaha, Lincoln, Columbus, Norfolk, Seward & York: In support of the national agreement between GSUSA and WalMart Corporation Girl Scouts Spirit of Nebraska schedules ALL Cookie Booths at Sam s Clubs, WalMart Supercenters and WalMart Neighborhood Markets in these areas. Any Sam s Club or WalMart SupercenteR store outside of these specified locations may be scheduled by the troops within that community as Troop Scheduled Booths. Troops may begin scheduling shifts at the Sam s Club, WalMart & WalMart Neighborhood Markets in Omaha, Lincoln, Columbus, Norfolk, Seward & York on JANUARY 18, 2019 AT 6:00 AM CST via the Booth Scheduler. There is no limit to the number of shifts, or the number of shifts per day a troop can schedule at these locations. These Cookie Booths are available on a first come, first served basis. ALL SCHEDULED BOOTHS MUST BE COVERED. NOTE: ALL SAM S CLUB, WALMART SUPERCENTER and WALMART NEIGHBORHOOD MARKET COOKIE BOOTHS are OUTSIDE - NO EXCEPTIONS!! IF YOUR TROOP CANNOT COMMIT TO AN OUTSIDE BOOTH, REGARDLESS OF WEATHER, PLEASE DO NOT SCHEDULE AT ANY OF THESE LOCATIONS. 7

9 SMART COOKIES (https//: The Smart Cookies website is designed for girls AND volunteers to manage their 2019 Cookie Program. Once logged in, volunteers and girls will have all of the information and tools needed to help ensure a successful 2019 Cookie Program in one place. SMART COOKIES supports these browsers: Google, Chrome, Mozilla Firefox and Safari. SMART COOKIES Dashboard The Dashboard page includes primary troop information such as Order Tracking, Important Dates, Messages, Stats and Financial Summary. There are Headers along the top, to manage your sale. Troops will be uploaded into SMART COOKIES beginning NOVEMBER 27, Troop Information: Volunteers will receive an from noreply@abcsmartcookies.com to set up their user file in Troop Information. Click on the link in the to go to Troop Information. Your basic information will be pre-populated. Contact the Council for corrections. In the Primary Info, enter First and Last name and address (this is the for your login, and to contact you throughout the sale). Confirm the level of your troop. If your troop has submitted a 2019 Cookie Recognition Opt Out Contract, in the Proceed Plan and Main Recognition Plan select Opt Out Plan. Please note, once an initial order has been placed we cannot change your status. Set your password. Click Submit. You will receive an confirmation. Troop Roster: The girls' information will be uploaded in SMART COOKIES January 21, To manage girls in your troop: Hover over the My Troop tab. Click on Troop Roster. Click on Add New Girl located at the bottom of the page. Enter all the required information in the fields: First and Last name. DO NOT enter GSUSA ID. Grade level. Parent Information. Click Save when complete. To edit a girl's information, click on the pencil icon, make the changes and click Save. To delete a girl's information, click the trash can icon by her name. No girl's profile can be deleted if any orders have been created under her name.

10 SMART COOKIES Orders ALL Cookie (Initial, Planned, and Transfer) orders, recognition orders and Cookie Booths must be entered into Smart Cookies. Initial Cookie Order: In Orders, click Troop Initial Order. Initial Orders must be placed by January 8, Enter your 5 DIGIT TROOP NUMBER in the order notes field at the bottom of the page. Enter the number of CASES (12 pkgs. per case) for each variety, including Gluten Free Caramel Chocolate Chip. Use the tab key to move through the fields. Slide the Ready For Review toggle. You will be prompted to select a delivery station location. Select one and click Save. To submit your Initial Order, select Manage Orders under Orders. Select Initial Order and click on the blue bar Apply Search Parameters. Your initial order will appear. If the order is correct you can submit your order, using the three dots on the right side. To edit the order, click on Edit Order to go to the initial order screen. Make the changes needed and click on Save. Use the 3 blue dots to save changes. Once your order has been submitted you can no longer change your order. If changes are needed contact your PSC or the Product Program Manager. Planned Orders: The Planned Order process allows troops to obtain additional cookies for door-to-door direct sales and booth sales. Placing a Planned Order is required to make sure cupboards are appropriately stocked. Troops can place ONE Planned Order per week BY SUNDAY 11:59 PM (MST) for pick up IN TIME FOR THE WEEKEND. Hover over Orders, click on Planned Order and view the Troop information and the Cupboards that are available to fill Planned Orders. Choose a Cupboard, click Continue. Select a date, click Continue. You will see the hours available at the Cupboard. Select an hour (this is NOT your pickup time. You MUST contact the Cupboard for final scheduling). Click Save. The varieties will be shown beneath the cupboard information. Enter your planned orders in PACKAGES. In the Order Notes field enter your 5 DIGIT TROOP NUMBER and click Save. A confirmation appears when you click Save and a Planned Order number will appear. The order can be printed with Print Receipt This confirms the location, date and time you selected, along with your order details. If you try to create more than one Planned Order you will see a message that says: Can t Create Order. Maximum number of allowable Planned Orders is exceeded for the week. Once you pick up your Planned Order from the Cupboard, the Cupboard Manager will approve the order and it becomes a Cupboard to Troop transfer. 9

11 smart cookies Transfer Orders: Troop to Girl: Troop to Girl transfers are used to transfer cookies from the Troop to a Girl. This is critical to maintaining accurate inventory. REMEMBER: ALL COOKIES RECEIVED BY THE TROOP MUST BE TRANSFERRED TO GIRLS BY THE END OF THE PROGRAM. THERE ARE NO RETURNS TO THE COOKIE CUPBOARDS OR COUNCIL. Hover over Orders, click on Transfer Order. Select Troop to Girl from the drop down menu. The Troop will be pre-populated. Click on which girl will receive the transfer and click Apply. Two types of transfers are entered; Packages and Booth Packages In "Package" column, enter the packages by variety for door to door sales. Financial responsibility is now assigned to the girl. Use Booth Packages to credit girls for packages sold at booth sales. The girl gets credit towards her recognitions, but she does not assume financial responsibility. Enter the DATE and TYPE OF TRANSFER in the "Order Notes" Click Save. Once the transfer is saved, you can print a receipt as a confirmation if wanted. Girl to Troop Transfer Orders: If you allow girls to return cookies TO THE TROOP create a Girl to Troop Transfer Order. Hover over Orders, click on Transfer Order. Select Girl to Troop Transfer from the Type drop-down box. Select the girl from the drop-down in the From box. The troop will default in the To box. Enter total PACKAGES by variety transferred to the troop in Packages and click Save. Girl to Girl Transfer Order: If you allow girls to transfer cookies between themselves, track these transfers with Girl to Girl Transfer Orders in Smart Cookies. Hover over Orders, click on Transfer Order. Select Girl to Girl Transfer from the Type drop-down box. Select the girl giving the cookies from the drop-down in the From box. Select the girl receiving the cookies from the drop-down in the To box. Enter total PACKAGES by variety, transferred in the "Packages" field, and click Save. Troop to Troop Transfer Orders: If you transfer cookies between troops, create at Troop to Troop Transfer. Troop to Troop Transfer orders are entered in Smart Cookies to have cookies in the correct troop s inventory for transfer to girls. ACH withdrawl will NOT be adjusted for Troop to Troop Transfrs. The troop giving the cookies will create the Troop to Troop Transfer order. Select Troop to Troop Transfer from the Type drop-down box. The troop entering the transfer defaults in the From column. Select the SU/PSC (get this from the receiving troop) and troop in the To column from the drop-down menus. Enter total PACKAGES by variety transferred to the other troop and click Save. An is generated and sent by Smart Cookies verifying the Troop to Troop Transfer Order. 10

12 Smart cookies Recognitions Troops can begin entering Recognition Orders February 27, 2019; ONLY AFTER all packages sold BY THE TROOP HAVE BEEN TRANSFERRED TO GIRLS. Hover over Rewards, click Recognition order. Select Main for the type of recognition order to create, when you click Main the order will automatically be created. Each girl will be listed will be labeled as unread until you open each girls order and reviewed it by clicking on the girl s name. Girl orders requiring size or choice selections will be marked with a red warning symbol. Sizes and choice selections must be completed before the order can be submitted. Click on the extras tab to see patches automatically awarded and to manually select any extra items that have been earned. To manually select a patch for a girl. Click on the box within the item to select it. When all selections are made and extras selected, click Save to go the next order. Once a recognition order has been created, updates to a girls total sales (+/-) will be automatically reflected in her recognition order. Once all the steps are complete, click on the Submit button in the upped left corner. SMART COOKIES Reports (Current/Archive) Hover over the Reports and select Current or Archived. Select Summary Reports in the Reports Categories box. In the Reports Section scroll down to find report needed and select. Leave all fields at the default or blank, EXCEPT for Unit of Measure ; choose Packages. In Select View Type leave as PDF and click View Report. Print or save a copy of the report. There are NO reports to be submitted to your PSC or Product Program Manager. If you wish to have reports for your records, you can save or print them. Some popular reports: Girl Cookie Order Summary details cookie orders for each girl. Recognition Order Summary by Girl will list each girl and the recognitions she has earned. Troop Sales Summary lists cookie orders by variety for the troop. Transfer Order Summary lists transfer orders by variety for the troop. Girl Balance Summary details cookie transfers, money collected and money still owed. Troop Balance Summary details transfers, troop profit and money owed council. SMART COOKIES Finances Hover over Finances, click on Financial Transactions. Select Girl Transaction. Click Add Girl Transaction. Select the girl from the drop down menu. Enter the type of payment, date and amount of payment. Use notes and reference field for your own information. Click Save and you can enter another transaction. 11
