3 Client Benefit Plan Import - Location The import utility is run in HRP Operations Management > Process > Import Processing > Benefits Import Processing

4 Client Benefit Plan Import File Format You can download the template from our website/crc Must adhere to our file format and definitions outlined in the import document First column(a) contains the action code Valid Action Codes ADD CHANGE DELETE Make sure you leave the headers on your excel file for import. We use these to validate the imported data When done creating the import file in excel you will need to save the file as a Tab Delimited Text File

5 Client Benefit Plan Import Running the import When running the import it will ask you for the location of the file Enter your local pc folder path Enter the file name of the import you created

6 Client Benefit Plan Import Error Reports The next screen will either show an Error Report button or an Update button You CANNOT import any records if you receive at least 1 error message

9 Employee Benefit Enrollment Imports Allows you to do the following using an import file Create a new benefit enrollment for an employee Change the plan type/coverage level of an existing enrollment Terminate an existing enrollment for an employee Add a covered dependent to an existing enrollment Remove a covered dependent from an existing enrollment

10 Employee Benefit Enrollment Imports Import Definition First step - we need to create the import definition that will match your import file (Your import file can be completely custom. No standard format needed) The import definition is setup in HRP System Administration > File > Import Export Definition > Benefit Import Definition

11 Employee Benefit Enrollment Imports Import Definition Create the import definition first Definition ID should be something that makes sense(bcbs,aetna_dependen T) TAB or CSV delimiter 009 = TAB 044 = CSV Review Y/N Options

12 Employee Benefit Enrollment Imports Import Definition Import Fields F5 Define each column from your file Best practice is to start at 1 and work to the end of all the columns Use SKIP to not use a column. Use F3 to get a list of field names available Field Mask is used to modify the imported data during the import

13 Employee Benefit Enrollment Imports Import Definition F6 Translation Tables Translation Tables are used to translate codes from your source file into PRISM during the import Actions Company Plan IDs Plan types Networks

14 Employee Benefit Enrollment Imports File Format Valid action codes for the import file DEPEN+ will also create the dependent if it does not already exist

15 Employee Benefit Enrollment Imports Location Run the Benefit Import Operations Management > Process > Import Processing > Benefits Import Processing Press F3 to pull up your definition ID you created previously Review the import reports before posting Test in your Demo Account first
