1 How to Submit Student Grades in FAST Overview The Instructor: Accesses the Grade Entry page from the Student Grades menu Enters grades individually or imports an Excel file with grades list Submits the grades to the appropriate approver The Approver: Receives an notification that grades are available to approve Accesses the Grade Approval report from the Student Grades menu Approves Grades or sends them back to the instructor for further review Office of the Registrar: Approved grades are transferred from FAST to Banner and then pushed to the student record by Office of the Registrar staff. More grading information for instructors is available on the Office of the Registrar s Grades website. Questions? stutrain@uvic.ca Accessing the Grade Entry Page The Grade Entry Page is available from 2 locations in FAST: 1 From the Quick Launch tab on the Student Reporting Home Page a direct link to an instructor s gradable courses 2 From the Student Grades menu
2 Entering Grades Individually Click on the Course List drop-down menu and select your course. You can enter the course reference number (CRN) directly in the box or scroll through the list. Click the x to get a blank field. Type in the CRN. On the Grade Entry page, place your cursor directly in the grade field to type in the grade, or select the grade from the drop-down menu. *For grades between 0-49 you are required to select an F or N in the F or N column before you can save or submit grades. This step is required to identify the equivalent letter grade: F-Completed and Failed or N-Incomplete and Failed Save, if you are not ready to submit grades for approval. Select the grade approver and submit the grades for approval. Save
3 Possible errors when manually entering grades Required fields missing This error message is displayed if a percentage grade between 0-49 is entered but an F or N is not chosen from the F or N column. E Grades Starting Summer Session 2014, E grades (signifying the option to write a supplemental exam) can no longer be assigned directly in FAST. Instead, instructors will assign a grade of 0-49% and an F indicator (F Completed and Failed) and submit an application for a supplemental exam to their Associate Dean for approval. DEF Grades The temporary grade of DEF (deferred status granted) is added to a student s record by the Grading Clerk in the Office of the Registrar upon the student s request and subsequent instructor approval. A DEF grade cannot be entered in FAST. To initiate this process, the student must submit a Request for Academic Concession (RAC) to the Office of the Registrar. For more information please access Academic concession options and procedures. In FAST (as the DEF grade is not an available option), If the student achieves a grade of 0-49% on the course work completed, the instructor will assign the grade achieved and an N-Incomplete and Failed indicator. If the student achieves a grade of % on the course work completed, the instructor will assign the grade achieved. If the student achieves a grade of % on the course work completed, but does not complete an essential course requirement, as outlined in the syllabus as being required in order to pass the course, the instructor will enter a grade of 49% and an N-Incomplete and Failed indicator. Read the memo sent to all Deans, Chairs and Directors from the Associate Vice-President Academic Planning, Catherine Mateer, on Mar 21, 2012 that outlines this specific scenario. The instructor will also be required to note this percentage grade on the Request for Deferred Status or Aegrotat Grade form sent by the Office of the Registrar and a specified completion date which can be no later than the end of the following term.
4 Courses that are not graded using standard grades (0-100%) These courses are still graded in FAST. The grades will be available to enter manually, to select from the drop-down menu or to import from an Excel spreadsheet. Entering Grades Using Excel Import Use the Import icon to add an entire list of grades to FAST from an Excel file. The spreadsheet you import must have the following, or you will receive and import error: a column for student IDs, a column for grades a column for the F or N indicators (for grades between 0-49%) grades must be listed as whole numbers (no decimal places) so you might need to round the grades to whole numbers in Excel first. For instructions please see the tutorial How To Round Values in Excel. On the Grade Entry page, click the Import link. Match the FAST column name on the left with your Excel column name on the right, using the arrows. *If you are importing a spreadsheet you created or if you modified the spreadsheet you exported from FAST, your spreadsheet might not have a column for Comments, Graded Date Day, Graded Date Month or Graded Date Year, in which case leave them blank. The Student ID, Grade, and F or N columns are the only columns required to match. Click Import. Import Errors You may see this error message associated with one of the following types of import errors: There were errors during import. Hover over the highlighted cells in the grid below for additional information. 1. Invalid grade
5 This error is displayed if the spreadsheet has a grade(s) that is: not appropriate for the grade mode of the course (e.g. a COM grade is used for a course that uses the standard percentage grading). not appropriate for the student. This can happen if a graduate student is taking a 100 or 200 level course for no credit on their graduate program. The student must be graded with a grade preceded by NC. not rounded to a whole number. not enabled in FAST grading (e.g. DEF, CIC). *HINT: if you are unsure of the eligible grades for the term, course or student, return to the Grade Entry page and click on the blank Grade field for one of the student IDs shown as having an import error. The list of appropriate grades will appear. 2. Must be either F or N for grades < 50 percent This error is displayed when: a grade from 0 49 percent is given but an F or N is not entered in the F or N column. the F or N is entered in lower case (e.g. f, n). 3. An invalid value has been entered This error is displayed when: an F or N is added to the F or N column but the percentage grade is greater than 49 percent. Only grades between 0-49 percent require a value in the F or N column. an F or N is added to the F or N column when the grade mode for the course is non-percentage. For example if the grades possible for the course are COM, F, or N and the grader enters an N grade and also adds an N to the F or N column. Questions? stutrain@uvic.ca
