1 Guide for Alaris CQI Users: How to Upload Alaris CQI Reporter Alert Logs to Infusion Pump Informatics (IPI) Revision 2 September 1 st, 2015

2 Revision 2 September 1 st, 2015 Purpose Statement This document is intended to assist users of Alaris pumps to upload their alert log files into Infusion Pump Informatics (IPI) system. This training is modeled on a typical healthcare provider; however, specific processes may vary by provider. This document provides instructions on how to export the data from Alaris CQI Reporter and upload it to IPI. 5 Revision 2 Create CQI Report September 1 st, 2015 Create Alaris CQI Reporter Report Use the Alaris CQI Columns report. Reporter system to generate the All Available Note Thanks to Cindy Gaston for providing the instructions Create a CSV File from the Alaris CQI Reporter Tool Log into your hospital s Alaris CQI Reporter System Choose Start Programs Cardinal Health Alaris Products CQI Reporter Report Viewer Alternatively, select the Report Viewer desktop shortcut A splash screen appears, and then the Report Viewer Tool main screen opens. The left side on top of the dialog box includes two tabs: o Use Reports tab to enter settings for reports o Use Charts tab to enter settings for charts. Note If users attempt to access a function not authorized for, system displays error message and exits Select the Report tab to enter Report settings Select Report Type to All Available Columns Enter start and stop dates of report Select profiles in report Note All profiles are selected, but some institutions have training profiles which may be excluded Select drugs in report - Select all drugs Select resolutions in report - Select all resolutions Select alert types - Select all alert types Select threshold - Set limits to include all thresholds, above maximum, below maximum Output Select CSV (Comma delimited) (*.csv) Page 3

6 Revision 2 Create CQI Report September 1 st, 2015 Advanced Tab Dialog box to set filter to control report contents, 6 tabs to enter advanced settings: o Infusion Device - Use to enter settings for serial numbers to include in report, generally all. o Alert Include All Guardrail limits, programming types, actions taken, limit types, times limit o Patient Generally include all, including unspecified o Clinician Use to select clinicians to include in report; generally include all o Order Use to select order IDs to include in report; generally include all. Include all dosing methods o Therapy Use to select therapies included in report. Some may want to exclude anesthesia therapies since these have different limits Click Display to run report. Assign file name Select Save Note DO NOT OPEN your file in Excel; Save direclty to CSV format Page 4

7 Revision 2 Remove Patient Data September 1 st, 2015 Remove patient data from CSV file The exported CSV file may contain patient data (E.g., patient ID). If the hospital desires to not share this information, a program is provided to filter out the information prior to uploading to the IPI site. Running the program to remove patient data Download the FilterPatientID desktop java program from This program is used to filter out any hospital patient information from the All Available Columns CSV file before uploading to IPI. Select Note This application was last updated September 22, Select the Download (JAR) icon Save to desktop Click the application icon to start. The Choose CSV file to filter popup appears. Choose the.csv log file you want to filter. Page 5

8 Revision 2 Remove Patient Data September 1 st, 2015 After removing the patient information, the Processed File pop-up will appear and indicate the file has been processed and what the processed file is called. This is the file you will upload to IPI. Select OK to exit the FilterPatientID program. Note NEVER OPEN YOUR CSV FILE IN EXCEL. If you open your file in Excel, you will be prompted to save the file. If you save the file, your timestamp seconds for every alert will be lost. IPI will not allow Alaris alert log files without timestamp seconds to be uploaded. Page 6

Upload Alert Logs Note If the CSV file is greater than 90 MB, please ZIP the file prior to uploading to IPI Log into and navigate to the IPI Dashboard Select Logs Upload Select Alert Log Uploader Page 7

10 Revision 2 Upload CSV File to IPI September 1 st, 2015 For the Upload Files (CSV) dialog your hospital should already be selected. Select the Choose File icon to select the CSV files for uploading to IPI Use the Comment field, if desired Page 8

Note: Your files will typically be loaded into the IPI database within 24 hours, and you will then see your new data in IPI In the My Uploads section you will see the history of all files uploaded by your hospital If there are errors in processing your log files, these will be noted in the file upload history. Reminder: NEVER OPEN YOUR.CSV FILE IN EXCEL. If you open your file in Excel, you will be prompted to save the file. If you save the file from Excel, your timestamp seconds for every alert will be lost. IPI will not allow Alaris alert log files without timestamp seconds to be uploaded. Page 9
