3 Partner Product Announcement Dear SpeechLive partner, We are happy to announce the release of Philips SpeechLive 8 the next major step of Philips cloud dictation solution. This time we focused on usability improvements in all areas: from the registration process over the web clients up to the administration area the usability improvements can be found everywhere. We simplified the trial registration process and we provide additional functionality to small business package customers, to authors and transcriptionists. Additionally we implemented some strongly demanded features into the dictation management web client, fulfilling the needs of our customers. Related products A part of the simplified trial registration is the option to register to SpeechLive from within the Philips voice recorder apps. Information about these projects can be found in separate product announcements. About this document: This document is designed to give you a high level overview about the enhancements in SpeechLive 8. 5 Partner Product Announcement HIGHLIGHTS SIMPLIFIED REGISTRATION Especially for trial users the registration process has been enormously simplified. The now single trial option will provide all features to the end users The registration dialog is simplified and has a more appealing look and feel During trial registration there are less steps, eliminating potential hurdles for the customer hardly used or confusing options have been removed at all: o For self-service trials the supporting partner will be automatically selected based on the proximity of the partner location o The selection of transcription service trials is no longer mandatory o The Get a quote window after purchase has been removed o The SpeechExec purchase option has been removed since Feb 2017 o Automatic forwarding to the workflow configuration page after registration NEW TUTORIALS FOR ADMINS AND USERS Whenever new users log in to SpeechLive they have the option to watch a brief explanation tutorial in the web client. Tutorials are available for: The Dictation management web client The User administration The Relationship management Additionally we provide access to new tutorial videos in the Philips voice recorder apps and with the SpeechLive user invitation s. 5 June 2017

6 Release Announcement ENHANCED BROWSER SUPPORT SpeechLive 8 will support following browsers: Windows 7/8/10 Mac OS X Internet Explorer 11 (with Java) Google Chrome (Java free) Mozilla Firefox (Java free) new Google Chrome (Java free) new Note: From SpeechLive 8 onwards the support for the Safari browser (with Java) will be stopped. GENERAL USABILITY IMPROVEMENTS All business packages will get access to the full web player: o Typists with foot control support o Authors without foot control support For failed payments, customers will receive reminder s every 2 nd day until the payment transaction was successful or the account was suspended Support of 80 users for self-service ABP customers since 8th March 2017 All system s have been reworked (e.g. renewed and harmonized layout, added contact details, removed SpeechExec links, ) The switch from self-service TRIAL accounts to dealer-activated TRIAL accounts after customer confirmation is possible (to be done by SPS) Improved SpeechLive dictation management web client UI Improved workflow administration pages Customers can sign up to a trial via the Philips voice recorder apps 6 June 2017

7 Partner Product Announcement IMPROVEMENTS FOR ADMINISTRATORS GENERAL IMPROVEMENTS ADDITIONAL FUNCTIONS BEHIND THE 'COGWHEEL' ICON Customers reported that there was confusion with the submenu of the 'Workflow' tab: In the account management area it did not work, but in the workflow area it worked To eliminate this inconsistency we moved all Workflow submenu contents to the 'Cogwheel' icon in the toolbar. When clicking on the Workflow tab the administrator will now always be routed to the user management. The cogwheel icon will be available on all workflow administration pages from SpeechLive 8 onwards. In addition to the 'Cogwheel' submenu items, it also include a new option to restart the administration tutorial. Note: The screenshot on the right side displays all options that a self-service account administrator would see. The contents will be adapted based on the role of the loggedin user. 7 June 2017

8 Release Announcement USER MANAGEMENT NEW TUTORIAL When administrators log in the 1 st time through the 'Users' page they are asked whether they would like to start the tutorial. The tutorial consists of 4 pages where they get a brief explanation of what they can do within the 'Users' page. Note: the tutorial can be restarted from the Cogwheel submenu Basically these tutorial pages look as follows: The tutorial pages are localized in 4 languages: English, French, German, and Dutch. NEW GUIDE FOR NEW USERS If the administrator is in the user management area and has not created any new users for some seconds a new pop-up message will appear to guide the administrator to the Add new user dialog 8 June 2017

9 Partner Product Announcement IMPROVED USER CREATION DIALOG The user creation page includes some new features and functions that make user creation more intuitive for the administrator: We have added some mouse-over dialogs to explain what a specific function does. Additionally we enable administrators to create one workflow user after the other, without having to click on the Add new user icon all over again. Note: with Cancel administrators can stop the current user creation process and go back to the user list. NEW INFORMATION BAR FOR UNLINKED USERS If there are any unlinked users in the relationship management a new information bar will appear on top of the page in the user management (ABP customers only). The bar contains an information text and a link to the relationship management. This helps administrators to identify unlinked users in the relationship manager. COLORED INFORMATION ABOUT THE USER STATUS The user status list color displays, if a user can work with the system or not, making it more obvious for the administrator if there are any workflow problems due to missing activations. 9 June 2017

The tutorial consists of 4 pages where they get a brief explanation of what they can do within the 'Workflow relationships' page. Note: the tutorial can be restarted from the Cogwheel submenu Basically these tutorial pages look as follows: NEW AUTO-ARCHIVE SETTINGS Especially when working with the dictation management web client, many customers have been confronted with a lot of manual work for handling transcription finished dictations. In the web client archiving was not possible at all. So either they had to use SpeechExec as their client application for archiving, or they had to delete the dictations one-by-one in the web client. SpeechLive 8 now offers the option to automatically send transcription finished dictations to the archive after a certain number of days. Later on, these dictations can be purged from the archive with the Automatic purge option. 10 June 2017

12 Release Announcement ENABLING AUTO-ARCHIVE Administrators will see the new archive option in the Archive page (select the Archive option of the cogwheel submenu). 1. Click checkbox to enable Auto-archive 2. Accept information dialog Since this function moves all current transcription finished dictations with a certain age to the archive the administrator has to accept the information dialog In addition the administrator is informed that this function cannot be reversed. 3. Define no. of days when auto archive happens The administrator can use the slider controls to set the no. of days (range: 1-60 days) that a dictation has to stay in transcription finished status in the author s folder until it is moved to the archive 4. Confirm (or discard) changed settings Confirm setting by clicking the check tick or discard the changes by clicking on the X button in the toolbar. 12 June 2017

13 Partner Product Announcement IMPROVEMENTS FOR WORKFLOW USERS NEW TUTORIAL When users access the dictation management web client the 1 st time they are asked whether they would like to start the tutorial. The tutorial consists of 4 pages where they get a brief explanation of what they can do within the 'Dictation management' page. Note: the tutorial only starts once per user and cannot be restarted Basically these tutorial pages look as follows: For authors a pop-up window will appear at the end of the tutorial providing a link to the Philips voice recorder app download page. 13 June 2017

14 Release Announcement EXTENSIVELY ENHANCED DICTATION MANAGEMENT WEB CLIENT We have recognized that that more and more customers use the web client instead of a SpeechExec installation, because they want to avoid any local installations and the required updates. They also make use of the fact that a SaaS solution like SpeechLive is continously maintained and that improvements are immediately rolled out to all users without any additional work for them. Therefore we extensively enhanced the web client in several areas to make it to a feature rich and easy to use replacement for a locally installed SpeechExec client. In addtion to that, Mac users now get a much better featured transcription client application compared to the locally installed SpeechExec4Mac solution. Screenshot for reference only 14 June 2017

15 Partner Product Announcement NEW FOLDER TREE VIEW The new folder tree is the most obvious difference to the current Dictation management work list window. Following folders will be displayed Author My Dictations Private* Archive Filters** Pending Suspended Finished Transcripionist Intray*** Author_1 Author_2 Author_N Private** Archive Filters*** Pending Suspended Finished *...When unarchiving dictations all dictations are put to the Private folder. **...Filtered views are displayed only in ABP accounts. ***...The Intray displays a collection of all Authors folders and the Typists Private folder. The term Author_# is a placeholder for the author s name. Note: When suspending dictations they will stay in the original folder. Therefore no physical Suspended folder is available, but there is a filter view that displays all dictations in the suspended status. 15 June 2017

16 Release Announcement NEW SEARCH FILTER With the new search filter users can easily find dictations according to their search criteria. The search filter works with one of the dictation property fields and includes a date picker for the search of specific dates (e.g. creation date). To start a search simply click on the search icon and select the dictation property from the drop down list: Then type in the criteria into the search field. Search will then search for the requested term of the currently selected folder. For date searches the date picker appears. Simply select the date from the date picker: Search immediately starts when the date has been added to the search criteria. To remove the search filter simply click on the icon in the search field. 16 June 2017

BETTER RECOGNIZABLE PRIORITY ICON The current priority icon is displayed in blue or green color depending whether the mouse is hovered over the status icon. To make the priority status more obvious the color of the priority icon is changed to red, independent whether the mouse is hovered over the icon or not. 17 June 2017

18 Release Announcement NEW NOTIFICATION FOR ABP USERS For advanced business package customers authors and transcriptionists will get notifications pop up messages in the browser window. Authors will get notifications for all Transcription finished dictations Transcriptionists will get notifications for all Transcription pending dictations The notification pop-up message contains information about: Author name Dictation file name Work type Dictation length in HH:MM:SS format Folder name Priority icon if it is high priority Attachment icon if it has document attached When a notification message pops up a notification sound can be heard. MULTI-NOTIFICATIONS If multiple notifications have to be displayed (e.g. because a DPM user has uploaded several files in one shot) the last 3 of them will be shown under each other. 18 June 2017

19 Partner Product Announcement NOTIFICATION SETTINGS TRANSCRIPTIONIST NOTIFICATION SETTINGS Transcriptionists can do the following notification settings AUTHOR NOTIFICATION SETTINGS In addition authors can define whether they would like to get notifications for transcription finished dictations (the same settings that administrators can do in the user management). 19 June 2017

20 Release Announcement NEW UNREAD DICTATIONS BAR Already known from Outlook clients the blue bar for 'Unread dictations' shows whether there are any dictations that have not been processed by any of the users yet. Not been processed in this case means that none of the connected users with the same role has opened the dictation or changed any dictation property which caused a dictation status change. In addition to that the notification icon displays the number of dictations that are Unread in the red bubble. The blue bar is automatically removed as soon as the status of the dictation has changed (e.g. transcription in progress) and the number in the red bubble is changed accordingly. Note: the display of the blue bar and the red bubble can be enabled or disabled with the following setting: NEW [...] MORE OPTIONS SUB MENU The more options toolbar button provides additional workflow options or file operation options that are not already available in the toolbar. It only appears if a file has been selected and provides only the functions that are currently possible for this dictation: Dictation properties Change dictation state Send to Archive Un-archive dictation Note: Some options are only available if the selected dictation or folder enable that this option can be used (e.g. un-archive would not be available in a Pending folder). 20 June 2017

21 Partner Product Announcement NEW OPTION TO EDIT DICTATION PROPERTIES With this new option the user can change the properties of a selected dictation. E.g. change the work type, edit comments, etc. Note: the right to change certain dictation properties is depending on the user s role. 21 June 2017

22 Release Announcement NEW OPTION TO CHANGE THE DICTATION STATE With this option users can change the state according to their requirements e.g. if a user has accidentally set the state to 'Transcription finished'. Note: This option is only visible when state change is possible for the current dictation and the user s role. NEW OPTION TO DOWNLOAD DICTATIONS With this option users can download the complete dictation item to a local (network) drive in case they want to save them on their premises, or work on them with a locally installed dictation and transcription software. The dictation is downloaded as a zip file containing all included files: Sound file Dictation XML file Attached document (optional) NEW OPTION TO MANUALLY SEND FINISHED DICTATIONS TO THE ARCHIVE In case of the dictation is in the state 'transcription finished' the user can manually send it to the archive with the 'More options' [...] menu entry. Note: the administrator can now also define the auto-archive interval for finished dictations NEW OPTION TO UN-ARCHIVE DICTATIONS Case dictations have inadvertently been sent to the archive users can unarchive the dictation to their 'Private' folder. Note: the Private folder is not visible to other users. Note: only those dictations can be unarchived where a relationship between the author and transcriptionist is active. 22 June 2017

23 Partner Product Announcement IMPROVED USABILITY TO START THE ADVANCED PLAYER Some transcriptionists complained, that they wouldn't be able to control playback with the foot pedal. It turned out, that they used the 'Preview' option in the work list to play back the sound files instead of opening the player from the toolbar. For some users it was not obvious enough, that they have to mark the dictation, and click on the toolbar button to open the player. Therefore we improved the usability to make playback more intuitive to use MOUSE OVER FUNCTIONS The mouse over function of the toolbar will display Preview and 'Open in player. The mouse over function of the dictation will remain unchanged - the playback icon will be displayed. OPENING THE PLAYER WORK LIST When hovering with the mouse over a dictation the playback icon appears. Clicking on the playback icon opens the advanced player and the status changes accordingly. 23 June 2017

24 Release Announcement TOOLBAR The Edit icon has been changed to a 'Playback' icon. When clicking on the 'Playback icon in the toolbar a navigation menu appears with the options: Preview Open in player When using the Preview function an animated icon is displayed during playback. When hovering over the animated icon a Stop icon appears When clicking on the Stop icon, playback stops and the Play icon appears again. ADVANCED PLAYER - AVAILABLE FOR ALL USERS From SpeechLive 8 onwards all users are able to see the advanced player as displayed in the screenshot above. BACKGROUND In a SpeechLive end-user survey users complained, that they could not navigate in the dictation. Therefore we enhanced the functionality of all business packages and provide the advanced player for all users. Note: only transcriptionists will be able to use the foot control in the player. Note: authors only have the option to close the player, but they cannot change the state in the workflow (e.g. suspend the dictation) 24 June 2017

25 Partner Product Announcement NEW CONFIGURATION OPTIONS IN THE PLAYER VIEW With the new Player settings and Foot control settings we make the SpeechLive player fit for professional users. FOOT CONTROL SETTINGS (TRANSCRIPTIONISTS ONLY) For transcriptionists is will be possible to change the pedal configuration of their connected Philips foot control. Notes: If a pedal has been pressed before, the foot control is automatically detected and the correct configuration option is displayed. If no pedal has been pressed before, the user can select the correct foot control for configuration. PLAYER CONFIGURATION When you select the Player settings submenu, a dialog pops up providing the following options: Auto-backspace (transcriptionist only): o Minimum value: 0 = Off o Maximum value: 10 o Default value (for new users): 2 Winding speed: o Minimum value: 2 o Maximum value: 30 o Default value (for new users): 5 25 June 2017
