8.3.7 New Features Guide Associating Referrings with Studies

1 In version 8.3 of Novarad products, the Referring Physician role has enhanced security. Medical Groups have also been enhanced in this version of Novarad software to comply with increasing HIPAA regulations and the importance of protecting patient data. In this version of software, referring physicians will only see studies where their name is correctly associated and studies that have been referred by other users in the same medical group. This helps to ensure referring physician users are restricted to seeing the minimum necessary to do their jobs which is a requirement of HIPAA guidelines. All of these significant security enhancements will come into effect as soon as a site is upgraded to version 8.3 or newer of Novarad software. To correctly associate referring physician names with studies, complete the following instructions. 1. Log into the NovaPACS Admin Console as an administrator or other user with permissions to edit studies. October 26, New Features Guide 8.3.7

2 2. Click on the Studies tab in the NovaPACS Admin Console. 3. Utilize the search filters and click the Search button to search for studies on this page. 4. Locate the Physician display column on the Studies page. If no physician is listed in this column, or there are question marks for the physician, you will need to add or correct the referring physician for the study to ensure that user can see the report and images for that study. 5. Double-click on a study or select the study and click the Edit button to the far, righthand side of the page to edit the study. October 26, New Features Guide 8.3.7

3 The Study Editor will open for the study. 6. Locate the Physician section of the Study Editor window. If there is a name listed there with an information icon that means that Novarad received a name for the referring physician but this name is not associated with a PACS referring physician user and doesn t have a linked RIS referring physician record. If a name is listed for the physician, and it is an additional name form for one of your referring physicians that already has a user account and RIS referring physician record, click the Create New button, and select the Create a New Alias for an Existing User option. Select an existing user listed and click OK. October 26, New Features Guide 8.3.7

5 Users will be prompted, asking if they want to retroactively associate this name with any previous study that had that name form as well. Click Yes to correctly associate all studies with this name form to that particular user. The name will then be associated as an alias or additional name form for that user. All studies going forward with this name form will be correctly associated with that user. 8. If there is a name listed and the user does not have a user account and a RIS referring physician record, click the Create New option and select the Create New User option. 6 The User Editor dialog box will open. Enter all relevant user information, select the Referring role for both PACS and RIS products, and click the Link RIS Physician option at the bottom of the dialog box. October 26, New Features Guide 8.3.7

7 If there is an existing RIS referring physician record, select it and click the Link to User option. If there is no existing RIS referring physician record, click the Create & Link New option and enter all relevant referring physician record information. Click the Create & Link button to finish the RIS physician record creation. October 26, New Features Guide 8.3.7

8 You will be notified that your user and the physician record were successfully created. Click OK to continue. 9. If there is no physician name listed in the Physician section at all, complete the instructions listed in step 8 to create a new user and RIS referring physician record. 10. If you need to change the listed referring physician for a study, click the Change option and select the correct physician from the list and click OK. October 26, New Features Guide 8.3.7

9 11. When you are finished associating the correct referring physician user and record with the study, click OK in the Study Editor window. You will be notified that the study will be updated with the changes. Click Yes to continue and update the study. You will now see the referring physician s name listed in the Physician column on the studies tab, as well as displayed in the Referring Physician display column in the Study Browser of the NovaPACS Diagnostic Viewer.
