1 HOW TO SCAN TO Select the Scanner Button on the lower left-hand corner of the copier console. If the User Names are entered and contain addresses, you will see these buttons. If so, simply select your name (or multiple names) and press the START button to scan to your . If these buttons are not present, we ll address that later. For now, you ll need to touch the Magnifying Glass to search for your address, or enter it manually. After pressing the Magnifying Glass, you will see this screen and you will select SEARCH LDAP followed by ADVANCED SEARCH.
2 When in the ADVANCED SEARCH screen, you will select the ADDRESS button to search all district addresses. You only need to type the first few letters of the name you are searching for, then touch OK. Make sure the Search Criteria is set to Include one of Words and then touch OK.
3 The search should return a list of all the possible addresses containing the letters you typed. Select your name, or the name you wish to scan to, from the list and make sure To is also selected. Touch EXIT and you will be returned to the main scanning screen. You will see your address in the interface window if you have performed a successful search.
4 The Default scan settings will be displayed on the left-hand side of the interface window. If you wish to make any changes to these defaults, touch the SCAN SETTINGS button. You will then be able to make changes to Resolution, Image Size, Lightness/Darkness, or Scan Type. On the right-hand side of the screen, you can add a subject or message line if desired, or you can change the File Type. By default, all of our copiers are set to scan documents into a PDF format, best for use in both our production environment, as well as for use on the web. Other choices would be TIFF or JPEG, but should only be used if scanning photos or images for use in Powerpoint or Word applications. After loading your original or originals into the Document Feeder on top of the machine, you will Press the START button and your document will be sent to your inbox as a PDF file. Your scans should be in your as soon as you get back to your computer! ALWAYS double check the PDF file to make sure ALL PAGES were scanned successfully!!
5 HOW TO ADD QUICK KEYS TO THE SCANNER PAGE If the Quick Keys, shown above in the main Scanner view, are not set up on your Ricoh Copier, the following instructions will assist you in this process. Start by pressing the USER TOOLS/COUNTER button on the left-hand side of the copier console. From the main menu in the interface window, touch the large System Setup button. NOTE!!! Do NOT make changes to any other settings in the System Settings area other than those described below. Doing so can cause major communication issues between the copier/printer and the network.
6 Select the KEY OPERATOR TOOLS tab and press the Next button to locate the Address Book Management button. If your school already uses User Codes for making copies, then you will only need to add the user s addresses to the existing buttons. Select the button you wish to change, and proceed to next step. If you need to create new buttons, touch the NEW PROGRAM button. Touch the Change button to type a new User Name. This same name will be used for the Key Display as well. Next, select the tab along the bottom of the menu.
7 Turn on the Register as Sender button. Then press Change to type your address. Type your entire address, including portion. Then press OK. After exiting out of the System Settings menu and the User Tools menu, you should check to see if your Quick Key is located in the scanner window. There may be several pages of users, so use the up/down arrow keys to locate yours if necessary. That s it. You re ready to scan!
