1 Course Structure Form (CSF) For this process the use of two computer monitors is recommended. STEP 1 Running the Course Structure Export & Preparation First, determine the study package details of the course, major or stream you wish to create a Course Structure Form for. You will need the Study Package Code and the Version. Select the Report tab on Student One. Under the Study Package Reports heading, select Course Structure Form Export. Enter the course/major/stream details i.e. Study Package Code and Study Package Version Courses Management 1 Last updated 6/05/2014

2 Click Start Processing The Course Structure Form Export will be exported as an excel document, making it easy to copy and paste into the Course Structure Form. On your second computer screen open up the Course Structure Form template. New course/major/stream information should be detailed on the right-hand side of the CSF. Where changes are required to an existing course/major/stream the existing structure is entered on the lefthand side and the new/changed structure on the right-hand side. STEP 2 Detail the Course Profile Information The following information needs to be entered into the upper fields of the CSF on the left hand side marked Existing Course and the right New or Changed Course to indicate any changes to this text: Study package number(spk) / User Defined Code (UDC) Version Full title Credit value Primary FOE - Code and the text description Owning School/area Org Unit Code and Org Unit Name Courses Management 2 Last updated 6/05/2014

3 This information can be found on the top row of the Course Structure Export report OR at the Study Package window under the Sections to display function panel on the left hand side margin. 4 STEP 3 Paste the Structure Lines into the Course Structure Form Template Select from Row 3 (Column A to J) down to the end of the structure lines. In this case it is row 20. The information below row 20 is to do with options and electives (O & E). This information is added in later. Once all data is selected, click on the Border icon on the upper margin in the Excel spread sheet and select All Borders. Courses Management 4 Last updated 6/05/2014

5 You may need to insert more rows into the Course Structure Template if there is not enough space to paste the information into. To do this, right click a row and select insert Then copy and paste this information into the corresponding area on the left hand side of the CSF. STEP 4 Options/Electives Go back to your Course Strucure Export report to see if there are any optional slots or elective slots. In this case there is. Courses Management 5 Last updated 6/05/2014

6 Once all data is selected, click on the Border icon on the upper margin in the Excel spread sheet and select All Borders. In the CSF template, insert extra rows (if required) beneath the year and study period appropriate accommodate the electives and or optional rows which need to be inserted Then, copy and paste each row under the correct year and Semester on the Course Structure Form Template. Please see example below highlighted in yellow is where the elective and option slots have been insterted: If there are optional units, they will need to be added to Option Component List on the CSF. Ensure there is enough rows under the Optional Component List on the Course Structure Form, if not add the appropriate amount of rows. Courses Management 6 Last updated 6/05/2014

7 Return to the Course Structure Export to retrieve the list of optional units. Select the units and add a border around them. Copy and paste the options into the Option Component List grid in the CSF. Split by year and semester by insterting a row. Courses Management 7 Last updated 6/05/2014

8 Enter the text Free choice of electives under the Elective Component List grid where appropriate. E.g: STEP 5 Formatting Now insert rows to separate the semesters in all sections of the CSF. See below: In the List: AC, E, O, C column on the CSF, ensure the column is bolded, and purple in colour. For alternates, ensure the OR is bolded. Enter in the year and semester details for the options using the information provided in the Courses Management 8 Last updated 6/05/2014

9 STEP 8 Add Key Codes Using the key code abbreviations noted at the bottom of the CSF indicate the change for each unit. This is to be added against units in both the existing course and the new or changed course. This should be bold and red in colour. LEFT Current/Existing Structure X = No change to this unit/stream/major C = changing credit value to this unit/stream/major FoE = Changing the FoE D = Deactivating this unit/stream/major K = Switching study periods this unit/major/stream sits in T = Changing the title of this unit/stream/major O = Changing the ownership of this unit/stream/major R = Removing this unit/stream/major from this study package only RIGHT New/Changed Structure X = No change to this unit/stream/major U = creating a brand new study package & C = Changing credit value to this unit/stream/major U = creating a brand new study package & FoE = Changing the FoE A = Adding an existing study package to this course/major/stream OR U = creating a brand new study package K = Switching study periods this unit/major/stream sits in T = Changing the title of this unit/stream/major O = Changing the ownership of this unit/stream/major A = Adding an existing study package to this course/major/stream OR U = creating a brand new study package U = creating a brand new study package Courses Management 9 Last updated 6/05/2014
