3 1.1 GENERAL INFORMATION This reference guide provides step-by-step directions on how to operate the Polycom two-way conferencing system to connect to the Low Country Graduate Center located in Charleston, South Carolina. Instructions for troubleshooting are not provided, as this action should only be performed by a designated employee of the Center for Teaching, Learning & Extended Studies in conjunction with University Computing and Information Technology Services departments. 1.2 SYSTEM INFORMATION Polycom two conferencing is a technology that provides simultaneous transmission of video and audio between two or more users using hardware and software communication tools. Using this video conferencing allows you to meet remote colleagues directly from your workplace or from your meeting room. 1.3 POWERING ON THE POLYCOM SYSTEM SYSTEM Button MASTER Button To power on the Polycom System, flip the Master Button (lighted in red) and then the System Button (white) to the ON position. 4 The System Button powers on the controller on the desk. Click on the SC State University logo to initiate the Polycom system. Note: The system takes 45 seconds to power on. Polycom Reference Guide 3

5 1.4 OPERATING THE SYSTEM CONTROLLER To begin the two-way conferencing session, select Distance Learning from the home screen on the controller. Upon making this selection, the screen below will appear: Polycom Reference Guide 4

6 Click on Send to Display to access the Polycom projection settings. Display Option(s) Projector Front Display Preview Monitor Send Back room display Two front displays located on either side of the projector screen Desktop/Laptop Monitor Front Projector Screen Send to Display Option(s) Laptop Desktop Doc Cam Far End If you wish to project what is on the laptop computer (Not available in Distance Ed Room..HDMI cord provided for connection). If you wish to project what is on the desktop computer (available in Distance Ed Room). Digital overheads, allows for real-time image capture for displaying an object to a large audience. Features: Freeze still shot Zoom In/Zoom Out feature What the instructor wants the other site to view. Polycom Reference Guide 5

7 1.5 CAMERA CONTROLS Cameras have been preset to capture specific areas of the room. Please DO NOT attempt to adjust camera positioning. Note the following items: Back Camera Focuses on Teacher Front Camera Focuses on Student my turn located on the student s mic (on desk) will auto zoom camera to student Zoom In Zoom Out. The Zoom in Zoom out feature for each camera can be accessed by clicking on Camera Controls on the control panel. Polycom Reference Guide 6

8 1.6 SOUND The Polycom microphone is located on the instructor s desk. Mute/Unmute Note: Be sure to request that the volume of the site that s not teaching be muted. 1.7 POWERING OFF THE POLYCOM SYSTEM POWER OFF Button SYSTEM BUTTON On the control panel, click on the upper left button (marked by OFF) to power off the panel. Press the SYSTEM power button down to power off the Polycom system. The MASTER power (lighted in red, to the right) can remain in the ON position. Polycom Reference Guide 7
