2 Launching the DLC Interface and Connecting to Other Campus 1. After logging on to the computer locate the LaunchXP Shortcut icon on your desk and double-click it to open the interface. 2. Once the XPanel screen has appeared, click anywhere on the window to begin using the interface. 3. The XPanel Control Panel will appear and you will see the Menu Selection at the top. Click Call Menu to turn your room on. Please wait for all the cameras and projectors to turn on before doing any other actions. 4. NOTE: Do not click on the gold AV button in the Menu Selection. Doing so will shut down the whole system. 1
3 5. To initialize your first call, click on a campus within the Direct Calls menu area of the Video CODEC Menu. Clicking additional times will cause the system to hang. You will know the call has initiated when you will hear a voice stating you are connecting. Then connection is completed once you see the campus on the screens within your room. NOTE: Please wait for the connection to complete and the campus is visible on your screens before making another call. Not waiting will cause the system to hang. 6. Once you have finished connecting to a campus, you may click on another campus to add it to your classroom. It may take some time to initiate on its own. Please wait for it to complete and don t keep clicking the button. You will know the connection has been made when you see the screen split into multiple windows. Each window will show a campus. The larger window will usually show the campus that has an individual speaking. There is a lag time in the system so it may not keep up. 7. To navigate back to the Video CODEC Menu, click on Video Codec in the bottom of the menu on the left side of the screen. 2
4 Using the Microphones 1. The instructor microphone is located on your desk. It is a tall desk top microphone. The on/off button is located near the base of the microphone. When active the small light just above the on/off button will illuminate. 2. Participant microphones are located on each desk within the classroom. Normally there is one microphone set between two users. There is a Touch button located at the bottom of the microphone that acts as an on/off toggle. 3. Located at the top left of the participant microphone is a small red light that illuminates when the microphone is active. 4. Please inform your participants to only turn the microphones on when they need to talk and turn them back off when finished. This will help keep the ambient noise and side talk from interfering with the system audio. 3
5 Adjusting System Volumes Volume controls are located on the right side of the XPanel screen. 1. To adjust the volume of the sound coming from your computer or other device such as Blu-Ray or Laptop, adjust the Program Volume using the up, down, or mute buttons. 2. To adjust the volume of the sound coming from the microphones in your classroom, adjust the Speech Volume using the up, down, or mute buttons. 3. To adjust the volume of the sound coming from the other classroom microphones, adjust the Video Call Volume using the up, down, or mute buttons. 4. To mute all sound coming from your room to the other rooms click the Privacy button under Video Call. This will mute all sound coming from all microphones and the computer in your room so the other campuses do not hear. When clicked, the button will turn red and you will see a Microphone Off icon (microphone symbol with red line through it) in the camera view for your campus. 4
6 Viewing the Computer, Document Camera, Blu-Ray, or Laptop Showing other devices besides the camera to the other locations requires you to push the device to the Far End. The participants will then see them on the screen to your left. Viewing the Computer 1. Click on Room PC in the Videoconference Sources menu on the left side of the screen. The menu text will change to green and the middle of the control panel will read You have selected the Room PC. 2. Click on the grey Far End button in the top right of the blue menu bar that is just below the top main menu (below the gold Exit button.) Shown on left screen 3. The white text just above the Far End button will change to PC. Viewing the Document Camera 1. Click on Doc Cam in the Videoconference Sources menu on the left side of the screen. The menu text will change to green and the middle of the control panel will read You have selected the Document Camera. 5
7 2. Click on the grey Far End button in the top right of the blue menu bar that is just below the top main menu (below the gold Exit button.) 3. The white text just above the Far End button will change to Document Camera. Viewing the Blu-Ray 1. Click on Blu-Ray in the Videoconference Sources menu on the left side of the screen. The menu text will change to green and the middle of the control panel change to a set of Blue-Ray controls. 2. Click on the grey Far End button in the top right of the blue menu bar that is just below the top main menu (below the gold Exit button.) 3. The white text just above the Far End button will change to Blu-ray. 4. The Blu-Ray player will be located in the instructor s cabinet. A remote control for the Blu-Ray should also be located within the cabinet. 6
8 Viewing a Laptop 1. Locate the VGA connector on your desk to contact to your laptop s external VGA connection. Make sure you securely attach the cable. 2. Locate the 1/8 inch audio connector to connect to your laptop s audio output. Make sure you securely insert the connector. If you don t require sound, you do not need to attach. 3. Click on Laptop in the Videoconference Sources menu on the left side of the screen. The menu text will change to green and the middle of the control panel will read You have selected the Laptop Input. 4. Click on the grey Far End button in the top right of the blue menu bar that is just below the top main menu (below the gold Exit button.) 5. The white text just above the Far End button will change to Laptop. 7
9 Adjusting the Cameras 1. Click on Camera in the Videoconference Sources menu on the left side of the screen. The menu text will change to green and the middle of the control panel change to Camera Control panel. 2. Select a camera to adjust. The Presenter camera is aimed forward to the instructor s position. The Audience camera is aimed back towards your participants. 3. The Zoom In button will pull in closer to the instructor s area while the Zoom Out button will pull farther out. 4. The up and down arrow buttons will pan the camera up and down. The Left and right buttons will pan the camera left and right. 5. Clicking one of the Camera Presets will place the selected camera to a preset camera position. 8
10 Logout and Exit the Session. 1. Click on the Blue Exit button in the top Menu Selection bar. 2. Click the Logout and Exit button in the Exit System? panel to close the session. 3. Please wait until all projectors, monitors, and audio shut down before exiting the XPanel screen and logging out of the computer. 9
11 Accessing Other Campus Systems Desktop York XPanel Folder There are two reasons you may find yourself needing to access the York XPanel system at another campus. Reason 1: If you find out you need to adjust one or more of the cameras at another location you may have to log into that campus system. If this is the case, you will have to follow the instructions below. You do not need to logout of your session. Reason 2: If you try to initiate the York XPanel system and find out that you unable to. This may have happened because the last person to use the system failed to log-out and exit the system properly. If this is the case, proceed to page 9 to follow the Logout an Exit the Session instructions to ensure you are logged out of your system properly and then follow the instructions below for the campus XPanel that failed to log out properly. You may have to check the DLC Master Calendar to verify which campus it may be. 1. Locate the York XPanel folder on your desktop and double-click on it. If your system does not have this folder, please go to page 12 for instructions. 2. A Windows Explorer folder window will pop-up with a folder for each campus located in the right pane. Doubleclick on the campus folder to enter. 10
12 3. Locate the Launch XPanel executable file and double-click on it to open it. 4. Once the XPanel screen has appeared, click anywhere on the window to begin using the interface. 5. Perform the operation(s) you need to for that campus. (Page 8 shows Adjusting the Cameras.) 6. Go to page 9 to follow the Logout and Exit the Session instructions to log out of the other campus XPanel. 7. If you have completed these steps to Logout and Exit the Session of another campus so you could operate the XPanel system, you may now launch your DLC interface and connect to the other campuses. 11
13 Accessing Other Campus Systems Windows Explorer Folder 1. Locate the yellow Windows Explorer icon in the bottom menu bar and double-click on it. 2. A Windows Explorer folder window will pop-up. Click on the triangle pointing to the OSDisk (C:) drive to expand the folders. 3. Select the York XPanel folder near or at the bottom of the folders within the C drive. 4. The sub-folders in the York XPanel folders should appear in the right panel. 8. Locate the Launch XPanel executable file and double-click on it to open it. 12
14 9. Once the XPanel screen has appeared, click anywhere on the window to begin using the interface. 10. Perform the operation(s) you need to for that campus. 11. Go to page 9 to follow the Logout and Exit the Session instructions to log out of the other campus XPanel. 12. If you have completed these steps to Logout and Exit the Session of another campus so you could operate the XPanel system, you may now launch your DLC interface and connect to the other campuses. 13
