1 How to Synchronize your Palm Handheld Calendar with Palm Desktop and MyFAU These procedures illustrate the installation and configuration of Sun ONE synchronization software needed to synchronize your Palm Desktop with MyFAU and your Palm device. This includes instructions for the first time synchronization of your Palm handheld device with MyFAU through the Palm Desktop, as well as subsequent synchronizations. Should you have any questions or need assistance, please contact the IRM Help Desk at , or submit a Help Desk Service Request at: There are three sets of instructions: Please pay close attention to these three procedures. 1. Backup your data & Install Sun ONE Sync Software 2. First time synchronization 3. Subsequent synchronizations PART I: Backup Data, Install Sun ONE Sync Software Prerequisites Palm OS handheld device Palm Desktop and Hotsync Manager software installed /configured Administrative rights: To run the Sun ONE Synchronization installation program on a personal computer, you must be logged on as a member of the local Administrators group 1. IMPORTANT: Backup data file(s) a. HotSync your Palm Desktop with your Palm handheld before you backup your Palm Desktop data or before you synchronize the Palm Desktop with Sun ONE (MyFAU); STRONGLY RECOMMENDED. b. Backup Palm Desktop Data i. Open Palm Desktop ii. Chose the category to backup (i.e., Date, Address, To Do, Memo) iii. Click File -> Export 1

2 iv. Enter a File Name v. For the Range, select All vi. Click the Export button to save the file to your My Documents folder or another location vii. Repeat the above steps for each Palm Desktop category you want to backup (i.e., Date, Address, To Do, Memo) 2. Install Sun ONE Synchronization software a. Click here to download the Sun ONE Synchronization setup file and start the Sun One Synchronization installation program. b. Click Next At the Welcome screen. 2

3 c. Click Yes at the License Agreement screen. d. At the Get Registration Information screen, enter your name in the User Name field and Florida Atlantic University at in the Company Name field. 3

4 e. Click Next at the Choose Destination Location screen. f. At the Select Components screen, check Palm Desktop 3.x/4.0, then click Next. 4

5 g. Click Next at the Start Installation screen. h. When the installation is complete, click Finish. 5

6 PART II: First Time Synchronization 1. Click Start -> All Programs -> Sun ONE Synchronization -> Synchronize with PalmDT 6

7 a. Click the Synchronize button at the Sun ONE Synchronization window: b. If prompted, select user (Palm device user) and click OK 7

8 c. Settings: When you synchronize for the first time, the Sun ONE Translator Settings window opens. Enter the following information: i. Server: faucal.fau.edu ii. Port: 6785 iii. User Name: [Enter your MyFAU User Name] iv. Password: [Enter your MyFAU password] v. Check the Remember Password box to store your password in the synchronization software; This is recommended to avoid being prompted for a password with subsequent synchronizations. vi. Example: 8

When you synchronize for the first time, a Full Synchronization begins; Three options appear for each data source selected to synchronize: Replace Sun ONE (MyFAU) records with the Palm Desktop records Replace the Palm Desktop records with Sun ONE (MyFAU) records Combine both Sun ONE (MyFAU) and Palm Desktop records 9

To populate your MyFAU Calendar with records from your Palm Desktop Date Book /Calendar (most common), select the option to Replace Sun ONE (MyFAU) records with Palm Desktop records (first option), then click OK: CAUTION: Using the option to Replace Palm Desktop records with Sun ONE (MyFAU) records is not applicable in most scenarios, and can result in lost records. This is NOT the correct option for First Time Synchronizations. CAUTION: Using the Combine option can cause duplicate records. It is highly recommended that you do not use this option. f. A progress window shows synchronization status: g. Click OK when finished 10

11 PART III: Subsequent Syncs Ongoing Updates Congratulations! Your first synchronization with MyFAU is complete. Your MyFAU calendar is available to you through the web from any computer with internet access. To keep your MyFAU calendar updated with your Palm handheld device, you will have to sync your handheld with the Palm Desktop and also with MyFAU. If you want to update MyFAU with changes made on your handheld: 1. HotSync your Palm device with your Palm Desktop 2. Run the Sun ONE Synchronization tool to update from Palm Desktop to MyFAU a. Click Start -> All Programs -> Sun ONE Synchronization -> Synchronize with PalmDT b. Click the Synchronize button at the Sun ONE Synchronization window c. Click OK when finished If you want to update your handheld with changes made in MyFAU: 1. Run the Sun ONE Synchronization tool to update from Palm Desktop to MyFAU a. Click Start -> All Programs -> Sun ONE Synchronization -> Synchronize with PalmDT b. Click the Synchronize button at the Sun ONE Synchronization window c. Click OK when finished 2. HotSync your Palm device with your Palm Desktop 11
