2 1. INSTALLING AND STARTING WORSMART! LT Download the setup-worksmart!lt.exe file from where you saved it. It should look like this. When you open the file this window will appear. This window will prompt you to install worksmart! LT in a folder on your computer. We recommended that you accept the default location; C:\Program Files\Mobile Workforce. Select Install Now. When installed correctly this window will appear. Click OK to continue. When you install worksmart! LT, a shortcut will be created on your desktop. 2

3 You can also access LT by clicking on Start All Programs MobileWorkforce worksmart! LT. 3

4 The first window you see when worksmart! LT launches is the login window Enter your Username and Password in the windows provided. ( Your Username and Password should have already been provided to you by Mobile WorkForce or your Office Manager. Your Username and Password can also be used to login to the worksmart! Web interface at If you are unsure of your user name and password please contact your Office Administrator. *Please Take Note: When you open worksmart! LT for the first time your computer must be connected to the internet. If you do not have an internet connection you will not be able to access worksmart! LT until you are able to obtain one. worksmart! LT will automatically start syncing when you log in for the first time. This first synchronization may take several minutes. 4

5 As worksmart! LT is synchronizing, you will see the progress displayed in the Sync with Office window. After a successful synchronization, you will see Synchronization Successful in progress window., You then close the Sync with Office window. 5

6 After you synchronize with office and close the Sync with Office window, you will see the inventory window open in worksmart! LT. The Order window is hiding behind the Inventory window. Move the Inventory window to see the Orders window by placing your cursor over the top blue border, click and hold the left mouse button and drag the window. worksmart! LT will remember the position of these windows when you exit and display them where you placed them the next time you log on to worksmart! LT. 6

7 2. CREATING ORDERS AND QUOTES To create a new Order put your cursor in the Orders window, right click and Select New Order. You can also create a new order from the File tab on the main worksmart! LT window. Once Selected, a new Order window will appear. 7

8 Here you can fill in the appropriate information such as the customer, manufacturer etc. To add parts to the order, click inside the box under SKU You can enter SKU's one of three ways; You can scan in the SKU barcode with a Type II Laser Barcode Scanner, manually enter in the SKU number, or you can Double click the empty SKU cell to call up the Product Lookup window. At the Product Lookup window you can select which parts you need by checking the box under Add to Order. 8

9 When you are done selecting the desired products click Add Products to add them to your order. To enter the lot number select the box under Lot Number and type in the correct lot number. You can also select the correct lot number from known lot numbers, if the correct lot number is already listed. (These are lot numbers that are associated with the SKU and already recognized by WorkSmart!) To select a known lot number, open the drop down menu as seen below. Please Take Note: worksmart! Is case sensitive, be sure to enter in the SKU and Lot numbers exactly as they are listed. If you entered in the wrong product SKU, you can highlight the line and select delete and the item will be deleted from your order. Please Take Note: If the SKU you have entered does not populate a description either the SKU was not 9

10 entered in correctly, or the product may not be in the catalog. To have a product added to your catalog, which corresponds to your manufacturer, please send an to support@mobile-workforce.com Please include the manufacturer, SKU, a description of the item, the list and the full price. To send the customer an order confirmation by fax/ , check the Send copy to customer fax/ box. This will only send to customers that have a fax or defined through the web application. When you are finished adding in the products, and you have populated the appropriate fields, it is time to sign the order. The Blue area is where your customer can sign their name. They can either sign it where it is or they can double click the blue area to make it bigger. Use a mouse or a signature pad to have your customer sign their name. Under the blue box is where you can type the signer's name. Once the name has been entered and the order saved, you can later use the drop down menu to select the name eliminating the need to type 10

11 in the signer's name for each and every order. Now that you have entered in all of your information, and your customer has signed the order you are ready to select submit. When you submit the order it will be placed in the outgoing folder in the Orders window. The order will be sent to the web application the next time you select sync with office. You do not have to sync with office after you create each and every order, you are able to make multiple orders and then sync with office. For your orders to go through they must leave the Outgoing folder and move to the Sent folder after a successful sync. If your orders do not move from the Outgoing folder after a successful sync please contact support@mobile-workforce.com You can also save your order as a draft if you are unable to complete the order, or if you do not wish to submit the order to the web application. To save your order as a draft select Save, found under Submit. Any orders that are saved to drafts will not be sent up to the web when you sync with office. To send an order to the web application that was previously saved as a draft, you must re-open the order and select Submit. This will move the order from your Drafts folder to your Outgoing folder. Then you will be able to send up the order to the web application the next time you sync with office. 11

12 To make a new Quote is very similar to creating a new order, select New Quote.. Quotes can only be saved, they are not submitted to the web application. They can be printed out and sent to the customers. 12

13 3. SYNCING When you are finished with creating orders, receiving/transferring inventory, and scheduling cases, you must sync with the office. You will see this window, click Sync Now 13

14 When properly Syncing you will see this. When your synchronization session is finished you should see Synchronization successful. If your synchronization fails, check to ensure you are connected to a network and have access to the internet. If you do have internet connectivity and cannot synchronize, contact Mobile Workforce Technical Support. 14

15 4. CASE SCHEDULER To bring up the case scheduler double click the icon that looks like a red desk calendar. 15

16 When you bring up the case scheduler you will see this window 16

17 You can view the Calendar as; day, week, or month. The default view will be week. You can change the view by selecting on one of the three tabs at the top. To create a case click, hold, and drag on the desired date and time. 17

18 The Case window should pop up immediately, if not double click the blue box that you just created. Enter in all the appropriate information for the case. 18

19 You can also create a new order from the Case Scheduler by selecting New Order. You will be brought to the New Order window. (see Creating Orders and Quotes for information about creating orders.) After you have finished making the case, click save and it will be saved in your case scheduler. A blue box with the time and surgeon will appear at the appropriate time. If you wish to change the time of the case, you can drag the blue box around to the desired date and time. 19

20 5. INVENTORY To create a new Inventory Receive right click in the Inventory window and Select New Receive. Select the location and order number for the receive, then scan in, or enter the SKU and lot numbers. You can also right click the SKU box to bring up the Product Lookup window the same as with the order window. When you are done adding in the products select submit. This will put the receive in the outgoing folder until you are able to sync with office. If you entered in the wrong product or SKU, you can highlight the line and select Delete, it will then be deleted from your list. You can also save your receive as a draft. Select Save, found under Delete. Any receives that are saved to drafts will not be sent up when you sync with office. You must re-open the draft and select Submit, This will move the receive from the Drafts folder to the Outgoing folder. Then you will be able to send it to the web application the next time you sync with office. To create a new Transfer, right click in the Inventory window and select New Transfer. 20

21 This is the transfer window. Enter in the From location, the location the inventory is transferring from,then enter in the To Location, the location the inventory is transferring to. Specify the reason for the transfer by filling in the empty Reason cell. Enter in the SKU of the products being transfer or scan them in. When you have entered in all of the products that you need to transfer, sign the signature field then select Submit. You can also save your transfer as a draft. Select Save, found next to Submit. Any transfers that are saved to drafts will not be sent up to the web application when you sync with office. You must re-open the draft and select Submit. This will move the transfer from your Drafts folder to your Outgoing folder. Then you will be able to send it up to the web application the next time you sync with office. To create a new Audit, right click in the inventory window and select New Audit. 21

22 In the Audit window enter in the location of the audit. You can enter SKU numbers one of three ways; You can scan in the SKU barcode with a Type II Laser Barcode Scanner, manually enter in the SKU number, or you can Double click the empty SKU cell to call up the Product Lookup window. If you entered in the wrong product or SKU, you can highlight it and select delete and it will then be deleted from your list. When you have finished entering all the products for your audit, select Export. When you export the audit file you save it as a text document. This will allow you to open it in any text based program such as OpenOffice, Microsoft Word, etc. If you have not finished entering all the products then you can save your progress by selecting Save. This will save your audit in the Audits folder which is located in the Inventory window. 22
