1 Setting Up Appointment Reminders Quick User Guide Click drop down arrow for Software Settings Select Software Settings Data Sync *Before you set up your Auto-reminders, you need to make sure your Data Sync setting has been completed Select Data Sync Click on the pencil icon
2 Your Office Status Select a Weave Status that most closely matches your office status *Make sure to scroll all the way to the bottom of the screen and complete the Confirmation Mapping Choose your office status that means an appointment is confirmed Click Save
3 Appointment Reminders *Now you can start setting up your Auto-Reminders. Select Auto-Reminders Select Appointment Reminders *Weave has some reminders already set up. You can create a new reminder or edit the existing reminders. Click on the pencil icon to edit an existing reminder Click on Add Reminder to create a new appointment reminder
4 *You must give your reminder a name. Then you can select the time you want the reminder to go out. Keep in mind, you must create a separate text and reminder. Type your reminder name Choose your reminder type. Text or Select when to send your message or put in a custom number of Days/Hours Select the patients you want to receive that reminder Set the time Select Next * If you choose to create reminders, please keep in mind we have default templates that cannot be edited at this time. Advanced Appointment Reminders * You can send out automated appointment reminders that are personalized for your patients and it allows you to customize your message based on Appointment Type, Provider, or Operatory.
5 Appointment Type *The Appointment Types shown are being pulled directly from your Practice Management Software. You can use the Search bar to quickly find the appointment type you are looking for. Search appointment type(s) you want to use Select Appointment Type *You can also exclude any Appointment Types by selecting the appointment types and toggling on Exclude Selection. Select the appointment type(s) you want to use Toggle this on to exclude appointment types
6 The Appointment Type(s) you select will be listed here Select OK when finished Provider *The Providers shown are being pulled directly from your Practice Management Software. You can use the Search bar to quickly find the provider you are looking for. Search the Provider(s) you want to use Select Provider
7 Select the provider(s) you want to use Toggle this on to exclude providers Select OK when finished The provider(s) you select will be listed here
8 Operatory *The Operatories shown are being pulled directly from your Practice Management Software. You can use the Search bar to quickly find the operatory you are looking for. Search the Operatories you want to use Select Operatory Select the operatories you want to use Toggle this on to exclude operatories
9 The operatories you select will be listed here Appointment Reminders *Once you ve selected your advanced filters, you ll want to select Next to customize your text message. Click into the text to customize your reminder Select Next
10 Click here to add a variable to your message Preview your text here Select Save when you are happy with your text Hover over a reminder to duplicate, delete, or edit Toggle on Auto Confirmations, that way weave will automatically confirm your appointments in your Practice Management Software Toggle on Mark As Read so that Weave will automatically mark all confirmed patients as viewed or read in your messages list *Confirmation write-backs are not currently available for: Advanced MD, Cloud9ortho, Ortho2viewpoint, and Oasys.
