3 Logging Into Dealer Access To login to Dealer Access first go to: and click on the Dealer Login button. The following login window will open: Enter your username (this will be your address) and your password. Password: If the login has never been used, your password will be: Password1. 4 Quote getting quick quote In order to get a quote, the following fields must be provided by the user: Plan Purchase Date VIN Odometer Depending on the product s configuration additional fields may be required to successfully rate products: New VSC plans: Warranty Start Date GAP: o Purchase Price o Deal Type o Term o Finance Amount Figure 1 New Quote - VSC 3
5 Quote saving quote To Save a quote all of the fields listed above are required as well as Customer s First and Last Names. As you can see in the image below, the system will place a red box around the fields that are required: Figure 2 Saving Quote 4
6 Quote Contract Submission In order to successfully submit a VSC, PDR or Pre-Paid Maintenance contract, the following fields must be provided: Figure 3 Contract Submission VSC, PDR, PPM Additional fields will be required to submit a GAP contract, the system will place a red box around all required fields. The Lienholder section allows for instant search by entering name or number into the Name/Number field. If any records are found they will be presented in a form of a drop down list. If not found, the new lienholder will be saved. 5
7 Quote - Products Panel - Get Quote list of all available plans/programs/terms/deductibles - list of applicable options - create a contract, auto generate number and open PDF form - preview of the contract (PDF) - additional Plan Information Figure 4 Quote - Products Panel 6
8 Additional terms and options are loaded by clicking the next to the Product type on the Get Quote Screen: Select Quote screen allows the user to review eligible plans, select one, or print a quote. Figure 5 Program/Plan listing 7
9 Surcharges/Options: Clicking Options will open the following screen where the desired options can be selected: Figure 6 Options listing All VIN decodable surcharges such as 1 Ton or Greater, 4x4, Diesel and Turbo will automatically selected based on the VIN entered in the quote. 8
10 Once all pertinent information is entered clicking the button will print a final version of the warranty: Figure 7 Contract form (PDF) 9
11 Quote Summary Vehicle Required to save quotes/submit contract Entering Plan Purchase Date, VIN, and Odometer will get Quote Lienholder Lienholder search has been enhanced to include Instant Search Contracted Product Once a contract has been submitted it will appear in the Contracted Products section. Customer Information Required to save quotes/submit contract Loan/Lease Required for GAP Products Will be displayed after Entering Plan Purchase Date, VIN, and Odometer which will retrieve Quote. Once all necessary information is entered the contract can be submitted, or previewed. User can also Save Quote to use at a later time or Print Quote. 10
12 Quote Search To search for a quote, go to the Quote Tab and in the drop down click search: Search for quote can be filtered by the following: Customer Last Name VIN Year/Make/Model Stock Number Deal Number F & I Manager Date Range Figure 8 Quote Search - results 11
13 Contract Entry The contract entry page is designed for the seller s office clerk to enter sold contracts after the F&I person presented a pre-numbered agreement to the customer. The user will enter the contract number from the paper form, it will not be auto generated. All of the highlighted fields are required to submit a contract: Clicking Save will submit the contract into SCS if all highlighted fields are populated. 14 Contract Search To search for a Contract go to the Contract Tab and in the drop down click search: Search for a Contract Can by filtered by the following criteria: Status- All, Active, Cancelled, Expired, Pending-All, Pending-Billed, Pending-Incomplete, Pending-Not Billed, Rejected, and Void Product List of Product that Dealer has Sales Authority for F&I Manager Contract # VIN Full or last 8 characters Customer Last Name Customer First Name City/State/Zip Code Sale Date From/Sale date To Figure 60 Contract Search - Filter panel By clicking on the Advanced Search option you will be able to enter all of the information above in one search. 13
15 Editing Contracts Contracts can be Edited from the Contract Search Screen by clicking the pencil icon ( be edited if it is in Pending-Billed or Active status. ) on the right hand side of the screen. A contract cannot Reports Sellers have access to reports that are offered by provider. This can be done by clicking the Reports tab. Once the report screen loads there will be a drop of list of reports you can view. The reports will be in PDF format. Figure 7 Reports 14
16 Remittance To Create a Remittance go to the Remittance tab and click New. Figure 13 Remittance Only pending contracts that previously were not remitted will appear on the new remittance screen. When a user selects a contract to be remitted it will be highlighted in green. There were also be a pencil symbol () next to the box to indicate that the user changed the value in the checkbox. Quoted contracts that are not yet Submitted will not be listed in Remittance screen. Remittance can now be filtered by the following: o Product o Program o Lienholder o Plan Purchase Date 15
17 Once all desired contracts are selected the user can either Preview Remittance or Submit by clicking the highlighted box shown below: Figure 13 Remittance 16
18 Once Submit is clicked the following pop-message will display: Figure 14 Remittance Click Submit will generate the Remittance which should be mailed to the provider with a check for the remit amount. Figure 15 Remittance 17
19 To view all contracts that have not been remitted click Download All to Spreadsheet. Remittance Search To view any previously submitted Remittances go to the Remittance tab and select Search Remittance Search can be filter by: o Submission Date Figure 16 Remittance The user can also reprint a previously submitted remittance by clicking:. 18
20 Claim A user can initiate a claim on an existing contract within the Dealer Access Portal. First look up the contract by doing a Contract Search. Once you have found the contract, the contract details screen will load and you can click the Add Claim link in the lower left hand corner: Figure 17 Claim 19
21 Once Add Claim is clicked the following screen will load: Figure 18 Claim The following fields are required to submit a claim: Loss Date Loss Odometer Repair Number At least one Repair Detail line 20
22 Once all required fields are populated click submit and the following message will display: Claim Search To search for an existing claim click the Claim from the navigation bar: The Search by drop down has the following filters: Figure 19 Claim Search Status, Claim #, RO#, RO Received Date, Date of Loss, VIN (Full or last 8 characters) and Loss Description. 21
23 Settings The Settings section allows the F&I Managers to: Predefine markups - per product, program or plan, it could be defined as percentage and/or fix dollar amount. Base or F&I markups allow two levels of markup configuration Templates configuration preconfigured settings for Quote screen. This allows the F&I Manager to have a quote ready with desired product rated as soon as the basic information is provided on the Quote screen Base Markup: Figure 20 markup Base markup can be configured by dollar amount or percentage. Clicking on Exceptions will allow the user to specify markup on the plane level: Figure 21 markup 22

25 Retail Price Limits: Retail Price Limits can be configured at the Product Type level as well as Program, Type or Plan within each Product Type Clicking on Exceptions will allow the user to specify Retail Price Limits on the program/plan level: Figure 24 Retail Markup 24
26 Templates: To Create a New Template click Add New: This will open the following screen: Figure 25 Template Templates are pre-configured combinations of program, plan, term, deductible and options that are automatically loaded and rated when a new quote is generated by the user. Each Selling Account can define one or more templates based on their sale authority, but only one of them can be the default template that is loaded automatically when a new quote is created. 25
27 Clicking the Options link will open a window with a list of options associated to that Program/Plan: 0 Sales Authority: Sales Authority Panel will show a list of Program/Plans the dealership is allowed to sell together with date range. 26
