1 Middle School Principals, September 13, 2016 Student Information Systems *SIS Support can be reached using several methods. Please submit your request one time using one of the methods below: - Submit a support (fastest turnaround). - Call Please listen closely to the options so you are routed to the correct support person. * Please discourage folks from submitting the same request multiple times using multiple methods, it slows down the response for all users. Synergy is extremely slow when submitting an inquiry/change for a student on the period or daily attendance screens - This is a known issue with the latest upgrade. It may take up to 2-3 minutes. The next upgrade, within a week or two, is expected to fix this issue. General Synergy Slowness - If you are experiencing slow response from Synergy please do the following before calling support: o Makes sure you are using either Google Chrome or Firefox. These two browsers have the best performance with Synergy. Safari and Internet Explorer are NOT recommended for Synergy at this time. o Clear your cookies and cache within the web browser. Directions are attached. Pictures in Synergy - SIS will work with only APS approved picture vendors. SIS will NOT accept pictures from any other source. What s the process? o All APS picture vendors have been provided a memo from SIS that outlines the procedures for processing pictures into Synergy. This has been in place since the SY. If they do not follow these procedures SIS will not be able to process pictures. The memo is attached for your reference. 2 Directions - Clearing Cookies and Cache (Internet Explorer, Firefox and Chrome) Step 1: Open Internet Explorer and click Tools --> Internet Options Step 2: General tab ---> Click Delete

3 Step 3: Make sure Temporary Internet files and website files & Cookies and website data is checked then click Delete. Step 4: Close Internet Explorer completely (any open windows).

4 Step 1: Open Firefox and click the box with 3 horizontal lines at the top right of the screen and click options Step 2: Click the blue link that says clear your recent history

5 Step 3: Make sure Cookies and Cache are checked. Click Clear Now Step 4: Close Firefox completely (any open windows).

6 Step 1: Open Chrome and click the box with 3 horizontal lines at the top right of the screen and click History Step 2: Click Clear browsing data

7 Step 3: Select the beginning of time from the dropdown. Check Cookies and other, Cached images and files and Hosted app data. Click Clear browsing data Step 4: Close Chrome completely (any open windows).

8 Clearing your Cookies and Cache on a Mac Chrome 1. On the browser toolbar, click the Chrome menu icon. 2. Select the More Tools link. 3. Select the Clear browsing data link. 4. In the data drop-down menu, select the time range where you want to clear browsing data. 5. Select the Cookies and other site and plug-in data and Cached images and files checkboxes. 6. Click the Clear Browsing Data button. Firefox 1. In the Firefox menu bar, click the Firefox option. 2. Select the Preferences link. 3. Click the Privacy tab. 4. Under the History heading, click the clear your recent history link. 5. Select the Cache checkbox. 6. Click the Clear Now button.

This is an auto generated unique ID that allows APS accurately identify the student, commonly known as a research ID, for purposes of loading these pictures into the Student Information System. Unfortunately, APS policy does not allow us to provide picture vendors with the actual student ID at this time. I have had great experience with most of the APS approved picture vendors in providing us back the picture files upon completion so we can load them into the SIS which greatly benefits the schools. This memo is a formal request that, upon completing the pictures for each of your schools, to please provide us a copy of those pictures in the following format: Picture Requirements Picture file type: PNG Picture file size: 100w x 125h Picture file name: Student GU.png. Example: 6DDF BE-41C5-B345-CEEC41A8D426.png A folder for each school is fine. Please name the folder with the school name. Multiple folders that separate by grade, staff, etc. is not necessary. Text File Requirements Please provide two text files inside each school folder (included with the pictures). 1. A text file that includes all the data associated with each picture such as: file name, first name, last name, grade, school name and student gu. 2. A text file that has the student gu and the picture file name with a comma and space separating the two values.
