1 isite Uploading video or audio with Castaway Castaway is a BBC tool for uploading video and audio clips. It is an offshoot of ibroadcast. Castaway has now been embedded in to isite, so video and audio can be added from within your isite form. Video or audio clips can also be uploaded and published in ibroadcast. 2 Get access to Castaway If you already have access to ibroadcast, then you will have access to Castaway as well. Using Internet Explorer or Chrome, or Safari on a Mac, go to this URL: Note the https If you see a security certificate dialogue box, click OK If you don t already have access, you will see this form. Fill it in and click the Request Access button. Processing your request may take a day or two. 2

3 Upload and publish clips In the isite form there is a dedicated file picker for inserting audio or video clips: You can still browse ibroadcast for clips uploaded there. Alternatively, to upload a video or audio clip within the isite form, click Upload new asset. A new window slides out from the right-hand side. Click OK if you see a pop-up about selecting a certificate this is just logging you in to Castaway. 3

4 This is the Castaway video/audio upload form: To upload a video or audio file, click Add. File formats accepted by Castaway: Video.mov or.mp4 Audio.wav or.mp3 There is a 50 GB file size limit for uploading video or audio to Castaway. 4

5 Another window slides out from the right-hand side. If you re uploading a vertical video clip, change the selector to Vertical (9:16). For 16:9 video leave it set to Standard. Tick Add DOG if you want to add a Digital Onscreen Graphic (the BBC logo) to the top left corner of your video clip. Click the green Select File button, and browse your computer to find the video or audio clip. 5

6 The upload progress is displayed. When it reaches 100%, it will show as Delivered. Click the close X (top right). 6

7 Now fill in the rest of the form. Thumbnail Selector In the second section, the clip needs a still image which shows on the clip player. After a few moments, for video clips, a selection of pictures will appear - these have been taken from the video itself. Choose one by clicking on it. 7

8 You can also upload your own image (which you may want to do for audio clips). It must be jpeg format, landscape, 16:9 aspect ratio, the recommended size is 1920 x 1080 pixels. Minimum is 1024 x 576 pixels. Find the image file on your computer, and drag it in to the box: Whether you select a keyframe image, or upload your own, the image will appear: The image size and shape can be edited by clicking the Edit button. 8

9 Add the Alt text. That s Alternative text - it s for people who are visually impaired and who use screen reader software. It describes the image. Add the copyright details for the image. Basic Details The Title (128 characters maximum) and Short synopsis (90 characters) are required. The Medium and Long synopses are optional. The Media Caption field is optional. It s only for the News website. The language selector allows text input for right-to-left languages (Persian, Urdu, Pashto and Arabic). 9

10 Tags The Tags section is only for the BBC News website, so don t touch it. Parent programme This is where you specify a holding page where the clip is published to. This page is represented by a code called a PID (programme identifier). For an explanation of PIDs, see the Appendix (page 16). Don t leave the parent as Online Media Pipeline - that s only for publishing clips to the News website. You can select the holding page, if you ve used it before, in the My Recently Selected drop down list. If it s not in the list, click on Or search all Programmes and a window appears: 10

11 Enter your holding page PID. Click Search. When the page information appears, click on it. The parent page is set. 11

12 Rights and Scheduling Here you specify how long the clip will be available for, and whether it s available internationally or just in the UK. The default setting is International, Forever, Embeddable. You can choose different settings if necessary, subject to the rights you have for the clip. Embeddable means the clip will be shareable on other websites. The publishing time is set to Now but you can choose Custom if you want the clip to publish at a future date and time, or end at a particular time. 12

13 Warnings and guidance Add warnings if you need to. These appear as written warnings on the clip player, and also activate the parental guidance lock. Tick this box to add warnings, and these options appear: You can select one or more of the Tier 1 warnings. Flashing images is available here. 13

14 There are also these Tier 2 warnings available: The Grey bar warnings don t do anything, so ignore them. Notes You can add notes if you want to. They re not visible to the audience, just internal notes for BBC use. 14

15 Publishing Read through the form to check it - and click Publish. Tick the box to agree to the compliance guidelines. Make sure you re familiar with the compliance process in your division compliance must be completed before the clip is published. And click Publish again. After a few seconds, at the top left of the screen, you will see Currently publishing. You must wait until the clip PID is displayed. Then click the Close button, top right. 15

16 The Castaway window will close, and the clip will show in the file picker in your isite form. To remove the clip from the file picker, click the X. This removes it from your isite form, but it s still live in Castaway and can be used on another isite page. To edit the clip s details or revoke it, click The clip can also be managed (updated or revoked) in the main Castaway app: There is a full guide to the main Castaway app here: Appendix Where to publish the clip parent pages and PIDs To place a video or audio clip on a web page created in isite, the clip has to be published to a parent page, which is at bbc.co.uk/programmes. To do this a parent PID (Programme Identifier) must be specified when publishing the clip. A PID is an eight character code which identifies the page. Every programme page or clip holding page has its own unique PID. The PID could be an actual programme page, if the clip is from that programme (e.g. an episode page of Antiques Roadshow). In this case the clip will appear on that episode page, as well as on your isite page. If you are publishing your clip to a programme page, the PID appears at the end of the URL of the page, on the Programmes website, e.g. In this example the PID is b00dzzdc and it is an episode of Timeshift. 16

17 In the browser address field, copy the PID from the end of the URL During the clip publishing process, you ll paste the PID in to Castaway, to tell it which page the clip should appear on. If your isite page and clip aren t programme related, then you will be given a PID to publish all your clips to. For example, the BBC blogs, and the corporate web sites have special PIDs for publishing video clips. See your site administrator if you re not sure which PID you should use. 17
