7 Using the main menu A to Z: Statistical topics in alphabetical order GROUPS General interest groups, Centres of Excellence, on-going and finished ESSnet projects, ESS governance groups, Networks, ESS.VIP projects, EVENTS: conferences (NTTS, CESS, Quality conference, ) Workshops and other event related to statistics NEWS: Relevant information to communicate to the CROS communities HELP: Technical user support and content (ESS Helpdesks for Seasonal adjustment, Administrative data and Data Warehousing) 7

12 General distribution of roles (1) The Portal administrator manages the common parts of the portal manages applications for portal membership The Group administrator * manages applications for membership for the group is responsible for publication of the project pages/documents may publish news, events and newsletters, set up FAQs and a group discussion forum * People who manage a community (DIME, Seasonal Adjustment, ) or an ESSnet project (ESSnet ValiDat Integration, ESSnet on quality of multisource statistics, ) 12
13 General distribution of roles (2) The Group member Can add private pages and documents to the project/community book Has read access to the private content of the group Can participate in the project s internal discussion forum (if any) Other user: Can see all public information 13
14 Setting up your group There are two types of collaboration space on CROS The CROS community The ESSnet project The ESSnet project respect a specific template related to ESSnet with several dedicated fields whereas the CROS community needs less data for setting it up. 14
15 Setting up your community The Group administrator informs the CROS portal team by sending a request to ESTAT-CROS@ec.europa.eu or use the CROS portal contact form: The following mandatory information related to the project should be given. The mandatory fields are the followings: Field Title Coordinator name Comment (will be part of the URL) (mandatory) (person responsible of the project) The request should also inform the CROS portal team Where the group should be placed in the GROUPS menu What the visibility of the group should be: public or private. In principle, all groups are public but at a first stage the group coordinator could decide to make it private. The other data must be entered by the group administrator once the group is created. 15
16 Setting up an ESSnet project (special case) The project coordinator informs the CROS portal team by sending a request to ESTAT-CROS@ec.europa.eu or using the CROS portal contact form: Several data related to the project should be given. The mandatory fields are the followings: Field Title Acronym Project name Project start date Duration Coordinator name Information related to the participants Comment (will be part of the URL) (mandatory) (mandatory) (mandatory) (mandatory) (mandatory) (person responsible of the project) (coordinator organisation, co-partners organisation) The request should also inform the CROS portal team Where the project should be placed in the GROUPS menu What the visibility of the project should be: public or private. 17 How to invite members to your CROS group The Group administrator has to invite colleagues join by instructing them to click on the "Request group membership" button on the start page of the Group. The Group administrator receives an where he can accept or deny the request. "Request group membership" is an option that can be suppressed by the Group administrator if needed. 17
18 How to accept members to your CROS group Users that have clicked on "Request group membership" will trigger an to the Group administrator. Following the link in the leads to this dialogue By performing "modify membership status" of a "pending" user to "active", he becomes a member of the group. 18
19 How to add members to your CROS group Add people to the group (they need to have a CROS account already!) 19
20 Collaboration in your community e.g. share documents internally and prepare meetings Members of the group can create private contents: pages or documents Members of the group can take an active role in setting the agenda Pages and documents can be public or private to the Group members. It's up to the Group administrator to decide. 20
21 Collaboration in your community Organising the "book" of your community (1) New: bulk upload by drag-and-drop (e.g. for meeting docs.) To create content in your community, the functions to use are Add page, Add document and Add several documents. Where your documents and pages appear in the book depends on where you are when you create the content. Example: to create DIME ITDG Steering Group 10 November 2017 Dublin, I am in the page "Meetings" and I click on Add page. Then, to create Item 0 Agenda, I am in the page "DIME ITDG Steering Group 10 November 2017 Dublin" and I click on Add page 21
22 Collaboration in your community Organising the "book" of your community (2) You can move pages and documents around in your book via the tab "Book outline". There, you can modify the "Parent Item" 22
23 Collaboration in your community Organising the "book" of your community (3) At the same level in the structure, pages are sorted alphabetically by default. It's easy to modify this order by giving a weight (-15 to +15), the lighter ones are at the top, the heavier ones are at the bottom. 23
24 Collaboration in your community How to Create/replace a document Selecting "add document" leads to a document page, The "Title" is mandatory and should be self-explaining but not too long since it will be part of the url (address of the document page), Group member/admin can then choose and upload a document 1) When the document is replaced, take care to not modify the title since the link (if any) to the document will be broken 2) Only url of the document page should be given since the access rights are attached to it. (i.e. Do not give url finishing with e.g. pdf) Metadata such as language, identification, document date, body, creator and publisher are optional. 24
25 Collaboration in your community Organising internal discussion (1) Open the "Comment settings" at the page/document level 25
26 Collaboration in your community Organising internal discussion (2) Using the forum facility The Group administrator is allowed to create a forum topic (either public or private) Participant can post reply and then only edit their own reply. 26
27 Collaboration in your community Exchange of views via web forms Directors Group consultation Members of the group are invited to express their opinion via a web form. Web form is also a tool for surveys and data collection (e.g. user survey, event registration, call for papers ) 27
28 Collaboration in your community PUSH: Notifying your community of updates Inform the members of your group when you have created or only modify a page/document by clicking on "Send subscriptions notification" If this is ticked: When you click "save", a message is sent to all group members 28
29 Collaboration in your community PULL: Be notified when changes are done Subscribe on update of content. You will receive an for any modifications of the content. You can subscribe to a community or to a specific page/document Then you can manage your subscription(s) via your CROS account 29
30 Collaboration in your community Sending community newsletters A Group administrator can create and send a Newsletter to all members of his group. He can also ask the portal administrator to send the Newsletter to all users of the CROS portal. Group administrator 30
31 Dissemination of your activities Putting content in the public domain The group administrator is allowed to make public any CROS content (belonging to his group). Public means that 1) anybody can read this content and 2) search engines like google will index it. 31
32 Dissemination of your activities Promoting key results to the CROS front page by tagging the project/community and/or documents using terminology There are around 50 terminologies classified per theme: Capability supported General innovation area Process phase supported statistical domain 32
33 What you get when you click on a term? All documents in these project/community are shown by clicking on this button 33
34 To promote documents, group administrators (members) can tag it using specific terms They will then become accessible via the front page NOTE: only tag important documents of public interest! 34
35 Dissemination of your activities Publishing events, news items and FAQ Any Group administrators can create News and Events, which will appear directly on the CROS portal front page Event: Announcements of organised events (such as conferences, meetings, workshops, etc.) News: Announcements such as calls for papers, meetings, new publications FAQ (Frequently Asked Questions): A Group administrator can create Frequently Asked Questions on specific topics and disseminate them on the CROS Portal to the general public or to the community members. 35
36 Dissemination of your activities Share information on the social media Wherever you are on CROS, by clicking of one of the social media (bottom of the page), the address of the CROS content will be sent to this media, for example here with outlook. 36
