1 Part A Creating a Video or Document Using a Website URL Log in to mytraining using your GatorLink or Shands credentials at mytraining.ufhealth.org Click on the Administration icon, click on Product Administration, click on Learning, and then click Learning Activities. Click on the New Activity Wizard icon. 1. In Step 1 Activity Type, select An online course, and click the Next button. 1

2 2. In Step 2 Content Upload, select No. Click the Next button. 3. In Step 3 General Properties, enter the information about the activity, as follows: Type in the Activity Name as you would like it to appear to learners, for instance, Bedside Teaching Techniques. The Activity Type (Online Course) is preselected. Type in the Activity Code in the following format: o If you are adding an video or document for a UF audience, your activity code should meet the following activity code requirements: 2

3 - UF_CourseCode_Identifier (ex: _OLT, _QUIZ, etc.) - Example UF Course Activity Code: UF_OIT200a_OLT Note: Please contact UF s Training & Organizational Development office at training@ufl.edu to confirm your Activity Code. o If you are adding an video or document for an HSC College, Research Center, and/or Institute audience, your activity code should meet the following activity code requirements: - UFH_Unit/DeptSimplifiedCourseTitle_Identifier (ex: _OLT, _QUIZ, etc.) - Example UFH Course Activity Code: UFH_VetMedPACS_OLT Note: Your entire Activity Code should be no longer than 80 characters. o o If you are adding an video or document for a UF Health Shands audience, your activity code should meet the following activity code requirements: - UFHS_Unit/Dept_SimplifiedCourseTitle_Identifier (ex: _OLT, _QUIZ, etc.) - Example UFHS Course Activity Code: UFHS_POS_SignatureElite_OLT If Continuing Education Credit (CE) is offered for this course (and this course is not a part of a Curriculum), the activity code for this Course will be the #20 associated with this CE credit. - Example Course Activity Code for CE Course: Note: Your entire Activity Code should be no longer than 80 characters. ***If you are unsure which group you are building your video or document for please contact the mytraining team at mytraining@health.ufl.edu for further assistance.*** Type in a Description. Note: If Continuing Credit (CE) is offered include those details so that learners will read this when first registering for the course. Click the Next button. 3

4 4. In Step 4 Web Based Training, select or input the following: Launch Method -- Generic Document Launch URL -- Copy and paste the website URL that you would like to use. Click the Test button to verify that the link is working (a new window will open). Leave the default setting of No Registration required checked. Enter the Maximum Attempts and Maximum Tries per Attempt: o If you need to limit the number of times Learners access this activity, please contact the mytraining team for further assistance. Click the Next button. 5. In Step 5 Verification, review the information for accuracy. Deselect Automatically publish this activity to production. Click the Create button. 4

5 6. In the Assign Libraries window, select one or more appropriate categories, for example, UF Health Shands >> Health Sciences/Clinical, then click the Assign button. You can click Skip if your video is part of a curriculum because the categories would be assigned on the curriculum learning activity. 7. In the Finished options, select No, close this wizard, check Open this activity in Staging Editor, then click the Finish button. The wizard will close and the Staging Editor window will open. 5

6 Part B Finalizing Your Additional Settings in the Staging Editor Complete the following steps in the Staging Editor or modify existing fields to publish your file. Notice that the left-hand column shows whether the activity is currently in Stage (to be edited) or Production (active and published). The right side of the screen displays the majority of the settings you will need in one long scrolling screen. Complete the following steps in the Staging Editor to edit the Learning Activity Properties: 1. Under the Configure General Properties section, scroll down past the Owner input box and fill in the Contact (Name/phone #), personnel, and Keywords fields. Note: If this course is part of a curriculum you can skip keywords. 6

Under Status (if part of a curriculum), make sure the following options are selected: Active Hide from search results for Learners and Managers Hidden from Transcript Can be subscribed Can be fulfilled Select Development Complete from the Status dropdown box. 3. Under Grading and Completion, make sure Contribute to parent activity completion is preselected. Select required to be completed. 7

8 Click the Save button located in the bottom right corner. Note: It s a good idea to periodically save your modifications to ensure that your settings are not lost. 4. Scroll down to Metadata. Use the dropdown menus to select the Media type, Delivery method, and Content type. 8

9 Part C Publish your Learning Activity 1. Click the Validate for Production button on the bottom left of the screen. When the Validation Results window opens, click the Move to Production button. 2. The status of your activity should now be shown as Successfully Moved to Production. 3. Click the Close button on the bottom right of the screen to return to the main Activity Management page and the Learning Activities Library. 4. To make your Stand Alone URL file available to users, mytraining@health.ufl.edu to release this activity to your audience. If you are adding the document or video to a curriculum, mytraining@health.ufl.edu when you have finished creating the curriculum. 9

10 Part D Start a New Task or Signout Use the icons on the mytraining Home menu bar to navigate between tasks. Click the Self icon then click Signout to log out of mytraining. 10
