1 Part A Using the Upload Files Wizard Log in to mytraining using your GatorLink or Shands credentials at mytraining.ufhealth.org Click on the Administration icon, click on Product Administration, click on Learning, and then click Learning Activities. 1. Click the File Upload button. 2. In the File Upload window, select Upload New. Under What do you want to upload, you can choose to upload either a single SCORM course, a document or file, OR Multiple SCORM courses. Make sure that Single SCORM course, document, or file is selected. Under Upload files to, keep the default selection of Staging area (not yet visible) Click the Browse button to navigate to your file. Hover over the file name and click the Open button. Note: The video file size limit is 400 MB. 1

2 4. Verify that the correct file is listed below the Browse button, then click the Upload files button. Note: The file may take a few minutes to upload depending on its size. 2

3 5. When your file is done loading, the status bar will show 100%. Click the Next button to proceed to the course properties. 6. In the Properties window, ignore the Browse button under Activity Image. 7. Type in the Activity name in the following format: Bedside Teaching Techniques. 8. Type in a Description. 9. Keep the default Launch method as Generic Document. This launch method allows you to check and record if they completed reading the PDF or watching the video. 10. Ignore Launch File. The launch file is the name of the file you just uploaded. 11. Type in the Activity Code in the following format: o If you are adding a PDF or video that will be part of an online curriculum for a UF audience, your activity code should meet the following activity code requirements: - UF_CourseCode_PDF - Example UF PDF Activity Code: UF_EHS870_PDF Note: Please contact the UF Training & Organizational Development office at training@ufl.edu to confirm your Activity Code. 3

4 o o o If you are adding a PDF that will be part of an online curriculum for a HSC College, Research Center, and/or Institute audience, your activity code should meet the following activity code requirements: - UFH_Unit/DeptSimplifiedCourseTitle_PDF - Example UFH PDF Activity Code: UFH_VetMedMRISafety_PDF If you are adding a PDF that will be part of an online curriculum for a UF Health Shands audience, your activity code should meet the following activity code requirements: - UFHS_Unit/ Dept_SimplifiedCourseTitle_PDF - Example UF PDF Activity Code: UFHS_NSG_ MANDBloodAdmin_PDF If Continuing Education Credit (CE) is offered for the curriculum, the activity code for the curriculum will be the #20 associated with this CE credit. - Example PDF that is part of a curriculum for CE course: UFHS_NSG_ _PDF Note: Your entire Activity Code should be no longer than 80 characters. ***If you are unsure which group you are adding your PDF or video for please contact the mytraining team at mytraining@health.ufl.edu for further assistance.*** 11. Scroll down to the last field and select Topics. You can ignore and skip this field if the topics will be selected on the curriculum level. If this is a stand-alone document with no assessment or video, add topics so that learners can search for it in the library/course catalog. 12. Click the Next button to proceed to the Settings options. 4

5 13. In the Settings window, ignore the Content Player Settings. These settings only apply to SCORM files. 14. Under Activity Settings, select the following options: Active is preselected Hide from search results for Learners and Managers (if part of a curriculum) Hidden from Transcript (if part of a curriculum) Can be subscribed Can be fulfilled 15. Click the Upload button to finish uploading your PDF or video file. 16. Your file Upload and Confirmation status and are automatically displayed. While your activity is loading you can continue to load more files by selecting the Upload More button. If you are finished uploading files, click the View In Progress button. 5

6 17. You will be redirected to the Previously Loaded Files section. The Status of your upload is shown in the far right column. Your document status will be In Progress until it uploads. The status will automatically change to In Staging when complete. If the file is taking a long time to upload, switch to the Upload New tab and then back to Previously Uploaded rather than refreshing the page. 18. To finish editing this activity, select the Activity Name hyperlink to return to the original activity staging editor. Part B Additional Settings While in the activity Staging Editor, make additional changes prior to moving to Production. 1. Scroll down to Grading and Completion. Note that Contribute to parent activity completion is preselected. Select Required to be completed. 2. Click the Optional and then click the General link under Web Based Training. 6

7 3. Scroll down to increase the maximum tries per attempt if you would like a user to have more than one opportunity to view the PDF or video file. By leaving this field blank, it will default to one attempt. It is recommended you enter a large number for Maximum tries per attempt. 4. Click the OK button in the bottom right corner of the screen. Part C Publish your Learning Activity 1. Click the Validate for Production button on the bottom left of the screen. When the Validation Results window opens, click the Move to Production button. 7

8 2. The status of your activity should now be shown as Successfully Moved to Production. 3. Click the Close button on the bottom right of the screen to return to the main Activity Management page and the Learning Activities Library. 4. To make your Stand Alone Document available to users, the mytraining team to release this activity to your audience. If you are adding the pdf or video to a curriculum, the mytraining team when you have completed creating the curriculum. 5. Once you have successfully completed building your curriculum and tested it from your Learner account, mytraining@health.ufl.edu to release this course and make it available to your audience. 6. An administrator will do the following for the curriculum pieces: turn off notifications, disable diploma, and release course to the appropriate registration audience. Part D Updating your Existing PDF (Replacing Content) Click the Administration icon, click Product Administration, click Learning, and then click Learning Activities. 1. Change the Activity Type filter to Document. Search for the title of the document that you previously created. Click the Edit button to the right of the course name. Select Properties from the dropdown menu. 8

9 2. To edit the properties of your activity, click the Send to Stage button. 3. Click the Optional button on the lower right of the window. 9

10 4. Scroll down to Web Based Training and click the General hyperlink. 10

11 5. At the top of screen, there is a Replace Content section. Note: In order to successfully replace your PDF, your new file must have the exact file name as the previously uploaded file. If you are unsure of the file name, place your cursor in the Launch URL input box and scroll to the end of the URL. If retyping, include the original spacing, dashes, and hyphens or simply copy and paste the existing file name. Example: The original file name was Code-of-Conduct.pdf 6. Once you have updated your new PDF with the existing file name, click Browse to locate your new file. Click the Open button. 11

12 7. Below the file name, enter a reason for replacing the content. Examples: Policy updated for 2017; Spelling Error Correction 8/26/17; etc. Click the Upload button to load your new file. 12

13 8. After you upload the document, the file name is displayed in a field with a colored background and the percentage loaded. Note: Do not click the Test button to view your new document. This button will continue to display the previous file name until you successfully publish the learning activity. The reason for replacing content will also only appear after you publish the activity. Click the OK button. 9. To publish your content, follow the steps highlighted in Part C. The image below shows the date and the Reason for replacing content after the activity has been published. 13

14 Part E Start a New Task or Sign out Use the icons on the mytraining Home menu bar to navigate between tasks. Click the Self icon then click Sign out to log out of mytraining. 14
