5 5 1.0 GENERAL INFORMATION 1.1 System Overview The LMW espares website is ultimately developed to provide a best service for the users from different parts of the world. 7 7 2.0 SYSTEM SUMMARY The LMW espares is an online website, which helps the Domestic and Overseas users to purchase their spares from the LMW Domestic Customer The User can create a Quote The User can Alter a Saved Quote The User can convert a Quote into a Purchase Order The User can directly make an Order The User can Alter a Saved Order The User can also track the present status of their Purchase Order Overseas Customer The User can create a Quote The User can Alter a Saved Quote The User can convert a Quote into a Purchase Order The User can directly make an Order The User can Alter a Saved Order The User can also track the present status of their Purchase Order 2.1 USER ACCESS LEVELS The User cannot access the website without any user authentication. The user name and password will be provided by the LMW through s as per the user request. Page 7

9 9 3.0 GETTING STARTED This section will explain about the system flow of the LMW espares website. It consist the guidance for the user from logging-on, create and alter Quote/Order, Placing Orders, adding spares to the cart by different ways, tracking the orders. 3.1 Logging On User can login to the LMW website by using their Customer number and Password. In case, if user forgets their password, they can choose the Forgot Password option, and get a new password from the LMW. The password and any other private details will be communicated to user s registered mail. The user cannot browse the shopping site without login to the site. Page 9
10 Quote New Quote Domestic Customers The new Quote can be created by selecting the New Quote option from the dropdown menu available on the Quote menu list. On clicking the New Quote, it will navigate to the Quote page. In Quote page the Customer Enquiry reference in the Customer Details section can be used for easy reference for the customers, which keeps track of all the information related to the quote. This section will have the details of the customer. For every Quote submission an alert will be sent to the user. A 9 digit Web Quote number will be generated when user submits a quote. User can use the Web Quote number to track the information. Page 10
11 11 Export Customers Export Customers have different Freight option like FOB, CFR, CIF, CPT in Customer details. It is mandatory that user to choose any of them to make their payments Page 11
12 12 Nepal Customers Search Quote User can search and add 'n' number of items to the Shopping Cart from the Shopping Cart Details section in the Quote page. Users are also allowed to move the items to Shopping Cart from the basic navigation, Quick order, Visual Catalog and main search (home page search). Search Types 1. Product Search. 2. Search using Catalog no., 3. Drawing no., 4. Item description. On searching with the option ALL it will show all the products in the search results. The search result will be like as shown in the below image. Page 12
13 Cart Quote After adding the items to the Shopping Cart, the user can edit the Quantity and also remove the items from the added items list. Based on the changes the total amount of the items will get modified. Domestic Customers Page 13
14 14 Export Customers FOB Mode of Payment There are different modes like TT,LC,Bank Draft, Collections, Credit Card, E-Payment, where the payment can be made. Page 14
15 15 FOB Mode of Dispatch User can also select the mode of dispatch from various options like By Air Freight, By Air Courier, By Road, By Sea CFR Inspection Different Inspection options like SGS, OMIC, ITS, OTHERS are available Page 15
16 16 CFR Port of Destination Product delivery place can be chosen by the user CFR Freight Users need to enter the Freight charge, which get added with the total amount Page 16
17 17 CIF -Insurance Insurance charges can also be entered by the user which gets added up in the total value Page 17

19 19 Mode of Despatch User can also select the mode of dispatch from various options like By Air Freight, By Air Courier, By Road, By Sea Submit and Save for later On selecting Save for later, the quote will remain in the Alter Saved Quote section in the shopping cart. On choosing the Submit option, the quote will be submitted to LMW. After Page 19
20 20 submission, the Web Quote number(s) will be displayed on the site. The Web Quote number(s) used by user to track the order in future. If the user select the Submit button the Web Quote number(s) will be generated like shown in the below image. The Web Quote no. will start with the prefix DQ for domestic customer Alter Saved Quote The Quote which is chosen under Save for later will be available in Alter saved quote. The user can navigate to the Alter Saved Quote page from the Quote menu list as shown below. From this Alter Saved Quote page the user can edit/submit the quote by clicking the Alter option as shown in the below screenshot. Page 20
21 Convert Order All submitted Quote's will be available in the Convert Order after confirm from LMW end. User can navigate to this page by clicking the Convert Order from the Quote menu list as shown below. User can search the Quotes with date range or Web Quote no. This section allows users to submit the Quote as a Single Order. Page 21
22 Order New Order The new Order can be created by selecting the New Order option from the dropdown menu available on the Order menu list. On clicking the New Order, it will navigate to the Order page. Customer Enquiry reference in the Customer Details can be used for easy reference for the customers, which keeps track of all the information related to the order. This section will have the details of the customer. For every Order submission an alert will be sent to the user and a 9 digit Web order number will be generated based on the ordered items. Page 22

33 Alter Saved Order The Order which is given Save for Later will be available in Alter Saved Order page. The user can navigate to the Alter Saved Order page from the Order menu list as shown below. From Alter Saved Order page the user can edit the Order and submit by clicking the Alter option as shown in the below image Orders waiting for Payment Page 33
34 Payment The User can avail different payment mode such as E-payment, NEFT&RTGS, ACH, ecollect, Cheque. The selected mode will be highlighted in dark grey color. The date and number fields are mandatory if the any one of these ( NEFT&RTGS, ACH, ecollect, Cheque) option selected E-Payment While submitting the Order, if the user selects e-payment option (as shown below) those order details will be available in the E-Payment page. 35 35 From here the user can proceed to the payment process through Bill-Desk gateway. The Order Value shown in the E-payment is a round off value. Page 35
36 Quick access option in Quote / Order pages Users can easily navigate to an order / quote / Quick access from any of the pages they are in. If users are in Quote page, they can easily put an order by choosing this option from the header section of the page. 3.5 PO Import Template User can add items to the cart by using the PO Import option. User can download the PO Import template from the shopping cart just by clicking the PO Import link which contains two sheets namely PoImport, Product List and needs to enter the details in the excel sheet columns and upload the file. Make sure that the cells in the excel is set to the format as Text. The below screenshot will show the fields/columns available in the PO Import template sheet. Page 36
37 37 Product List This sheet contains the list of Product Name and Codes for easy reference. Page 37
38 38 The items given in the import template sheet will get imported to the Shopping Cart by uploading the excel template file. The user can edit and save the quantity in the shopping cart. Page 38
39 Recommended Stores Portfolio This section will have the frequently purchased items that are stored under different categories for Quick ordering. User can move the items to Quote/Order from the this section just by clicking on it as shown below. Page 39
40 Performance Enhancement Kit This section will have the frequently purchased items that are stored under different categories. Page 40
41 Visual Catalog Visual Catalog will have machine drawings. User can order the items from the drawings. The numbers which are displaying near each machine parts are called as spares. On selecting each coordinate, the details of the item will be displayed. The search will be done based on the Prod Code, Page Header and Page no. The user can add items from more than one drawings. From here the user can move items to Quote or Order. On selecting Click here to View all Products link, a pop-up screen will display all the available items of the machine from the drawing and from this the user can add items to the Cart. Page 41
42 42 From the Cart the user can add items to the Quote/Order. Page 42
43 43 The user can also add the items to cart individually by selecting the highlighted spares from the drawing. On selecting the spare a pop-up screen will appear and from here the items will be moved to Quote/Order. Page 43
44 Print In the Print menu the user can print the Quote/Order by generating a PDF. The Quote/Order details will be searched with mentioning the date range or the Web Order no. The user can print one or more Web Order no's at a time. Page 44

47 47 Nepal Customers The Nepal customer will have the BED, TNVAT taxes in the print PDF. Page 47
48 Track Orders Here the user can track the status of the generated order by searching with the date range or Web Order no. On selecting the View option, the details and status about the order will be displayed. Page 48
49 Contact Us In the Contact Us page, the LMW admin and the logged-in User id will be available by default. The user can enter the subject and queries in relevant space and can send it to the respective contact person Feedback The feedback section will have a set of questionnaire where the User can select the options and post their feedback. 50 Value Added services Flash News The Flash news that are updated by the LMW will be displayed in this section. this in Home page under Value Added Services. User can find Product News The Product News section will display the latest news about the products which is updated by the LMW. Page 50
51 ebulletin This section will have the documents of any specific systems with their particulars. Page 51
