3 FUNCTIONALITY OVERVIEW The ECCnet ProSYNC EDI 832 Import data loading service is a web-based sys tem that is designed to aid companies using Electronic Data Interchange (EDI) loading option in managing the submission of product data loaded to the ECCnet Registry electronically. This document provides an overview of how to use the ECCnet ProSYNC EDI 832 Import service to access and publish product data. The application can alos be used to view and download product listing forms, review the status data imported into the service (DLSR) and manage company contact information. 4 PRODUCT INFORMATION Logging into ECCnet ProSYNC EDI 832 Import web interface In your web browser, enter the URL and press Enter to display the login screen for ECCnet EDI 832 Import web interface. A user name, password and company location ID are required to log in. If you are a new member to ECCnet you will receive this information in an confirmation from GS1 Canada upon receipt of payment for your membership. Loading and maintaining Product Data in ECCnet ProSYNC EDI 832 import web interface ECCnet Registry users who have chosen electronic data interchange (EDI) as a data loading option are required to load data via the ECCnet ProSYNC EDI 832 Import data loading method only. In addition to confirming that the data file was received by the service, the user must also confirm that product records imported correctly without data compliance errors. 5 Non-Compliant Data Before product data can be exported to the ECCnet Registry it must have the status of compliant. When an EDI 832 data transaction file is transmitted, you will receive an notification alerting you to log into the service to view the status of the data loaded. This report displays errors and exceptions encountered from the data import load process. It should be reviewed each time a data is loaded to a catalogue to ensure your updates were applied as expected. Any GTIN discrepancies detected must be corrected using in your internal business applications and then be retransmitted to the ECCnet ProSYNC EDI 832 Import web interface. This action ensures that the product information listed in your catalogue is accurate and is released to the ECCnet Registry system for your trading partner(s) to access. To check the status of the import, select the Reports tab using the appropriate date and time stamp directly within the web interface. You can also see the status of product data loaded from the main Products Advanced screen. For a detailed view of the products flagged Incomplete, click on the error message (i.e.: 14 Incomplete Products) see Figure 1-2), which will take you to the particular data field (s) that requires review and correction. Reminder : ECCnet Registry users who have chosen electronic data interchange (EDI) as a data loading option are required to load data via the ECCnet ProSYNC EDI 832 Import data loading method only, data cannot be modified directly within the web application. Figure 1-2: ProductScreen Advanced Search At any time, you can select the Status button (top-right of page) to see the GTIN compliance status of any GTINs listed your catalogue the status will show the total number of incomplete GTINs loaded, last export product export status, and the total number of GTINs that have not been published. 6 Data Load Status Import Status/Severity: When the status/severity of the report is SUCCESS, all products have loaded into the ECCnet ProSYNC EDI 832 import service without issue. Should problems occur in the product data, the status/severity of the report is ERRORS. To research the nature of the errors, select the Reports tab using the appropriate date and time stamp directly in addition to the name of the file sent in the ECCnet ProSYNC EDI 832 Import web interface. To view a brief summary of the report, click the name of the file transmitted which will be shown as a hyperlink. To view a detailed version of the report, click on the body of the summary to open or download the report in.pdf format. If desired, you can have this report outlining the data issues sent to you via . Figure 1-3: Reports Screen Data Load Import Status Summary Should an error occur during transmission the status/severity of the import will be FAILED or ABORTED. Please report these issues to ECCnet EDI Support at eccnetedihelp@gs1ca.org for investigation. Submitting Updates to ECCnet Registry All product data entered into ECCnet ProSYNC EDI 832 Import web interface must be validated as compliant by the system before it will be approved for release to ECCnet Registry. 7 Searching for one or more products Product Advanced Search The Product Advanced Search screen is the main page that appears whenever ECCnet ProSYNC EDI 832 Import web interface is launched. This screen allows users to search for product data and view the current status of product data loaded within the interface. To display a listing of all products loaded to ECCnet ProSYNC EDI 832 Import web interface, click on Search at the bottom of the screen. To refine the search, enter criteria based on the product s description, Global Trade Item Number (GTIN)/Type. The GTIN can be the Universal Product Code (UPC) for a product item or a Serial Shipping Container Code (SSCC-14) for a case. The full GTIN must be entered in the appropriate field. If the full GTIN is unknown, use wildcards by placing an asterisk (*) before and after the partial GTIN number. You can also lookup product data by product type, status (compliant, non-compliant, incomplete, etc.) or selection code. Figure 1-4: Product Advanced Search Screen For field information, see the Search Criteria fields and descriptions of use at the end of this guide on page 27. Please note that the use of wildcards (*) is accepted in the description and GTIN/Type fields. You may also specify different criteria to search for one or more products. 8 If no products were found that match the entered criteria, the message "No records found to display" will be displayed. If products match the criteria, the search results will be displayed in a list that may include a catalogue description, catalogue number, GTIN, and company. The simpliest way to look up a particular product is to key in the product s Global Indentification Number (GTIN) and press Search. To view additional search criteria are available, click Detail at the bottom -right. Products Advanced Search Detail You may also sort the search results by ECCnet Classification Code, date created, date updated, size, total units, or by publication status. Figure 1-5: Product Advanced Search Detail Mode Once your search criteria have been entered, click Search. The system will display a list of records that match the search criteria entered. To clear search criteria and start a new search, click Clear. Saving Search Criteria The advanced search screen in detail mode will allow users to save, reuse or select default search profiles. 9 To save the current search criteria after populating the necessary fields, enter a name for the search and click Save Search at the bottom of the screen. There are no limitations for the number of criteria that can be saved in a single search or the number of searches that can be saved. To load previously saved search criteria, select from the Load Search dropdown to populate the search screen, adjust any search criteria and click Search. To delete previously saved search criteria, select from the Load Search dropdown and select Delete Search. A confirmation window will appear confirming the deletion. To define a memorized search, name the search Default to initially populate the search screen for initial sign-on. The system is not case sensitive and therefore will accept DEFAULT or default. Searching for one or more Products by Trading Partner The advanced s earch screen allows a user to specify criteria based on looking up one or more products, or stockkeeping units (SKUs), based on trading partner information. In the drop-down menu, select Partner rather than Company to search products based on trading partner information. For example, to display the list of all trading partner names that contain the word Canada, use an asterisk with the word, i.e. *Canada*, as the search criteria before clicking Go. If you restrict the search to specific trading partner(s) and highlight All Partners, the scope of the search will include all companies displayed in the list box. Clear the search by specific trading partner and search across all partners, enter an asterisk (*) in the Partner field and click Go. 10 Working with the Search Results Products that match the criteria specified on the search screen will display on the Search Results page with the publication status. From this screen, a user can: Access product information for a particular product View the publication status of a specific GTIN Launch GTIN Access Report (.pdf format) Publish selected products for your trading partner(s) at the GTIN level of publication (see publications on page 21 to learn how) Figure 1-8: Search Results with GTIN Publication The search will list up to 10 items per page. On the lower right side of the screen, the system will display the group of 10 GTINs you are browsing through and the total number of GTINs matching the search criteria. The product description on the screen showing the search results with GTIN publication is a hyperlink to view the information for the GTIN. Navigate the pages by using the Next (>) or Previous (<) arrows at the bottom of the page, or enter a page number before clicking on the Go To Page button. The screen displaying the search results with GTIN publication also allows you to sort products by description, specific companies, date created, or updated depending on your criteria for the scope of the initial search. 11 Viewing Detailed Product Information Once a product has been selected, the Product Details screen is displayed. The system will only display one product at a time. If the product is comprised of several packaging levels, the system will display all levels, provided that the levels are of the same product. The product screen is organized into two different areas: level of packaging (i.e. case, inner, item) type of content The screens will vary depending on the type of commodity and channels through which the product is distributed. Figure 1-9: Search Results / GTIN Publication Screen All product sub-tabs also have a Search Results button. Click Search Results to return to the Search Results screen. The first item in the s earch results screen will be the item you are currently viewing. Select Next or Previous to navigate through the search results of products on the tab currently being displayed. Click Previous to display information on the item that is listed on the search results directly before the item that is currently displayed. Click Next to display information on the item that is listed on the search results directly after the item that is currently displayed. To view GTIN contents, click the product description hyperlink. 12 General Product Information The general product information screen is divided into two (2) main sections: Core Product Information - Identification Product Information Key Attributes Core Product Information Identification The core product information section shows primary information about the product such as product type, GTIN, brand name, short description, size, total units (retail pack), selection code and the selection code description, first order and first ship dates, in addition to the date that the product was last updated within ECCnet ProSYNC EDI 832 Import web interface. Figure 1-10: Core Product Information section To obtain field help information, click on the field label description hyperlink or allow your mouse to hover over the field label name or click on the label description hyperlink. 13 Product Information Key Attributes The product information section shows the key attributes about the product listed, such as ECCnet Classification Code, Channels of Distribution, Item and Release status es, Dimensions, Packaging, and Measurements, in additional to additional product characteristics as entered based on the ECCnet EDI 832 Prices/Sales Mapping Guide. All mandatory fields are denoted by an asterisk (*) are mandatory and must be completed to achieve a compliant status. Figure 1-11: Product Information Key Attributes Additional Product Information by Subset When a Channel of Distribution is chosen, additional product information attribute fields can be opened using the ECCnet product information called the fast-moving subset, when the screen is refreshed. By default, all sections are expanded per subset. To collapse a section, click Hide. Subsets by Channel offered within ECCnet ProSYNC EDI 832 Import web interface are: Grocery By default, Grocery is automatically selected when a channel is not chosen. Foodservice Marketing and Nutritional information required for Foodservice GTINs only (loaded using DIY or API application services in conjunction with EDI 832 data transaction). Chain Drug information Rx-related Information required for Chain Drug GTINs (loaded using DIY or API application services in conjunction with EDI 832 data transaction). 14 Viewing Product Listing Forms The Online Product Listing Form service is a valuable tool which can be used to assist with simplifying daily business operations. The Online Form contains items similar to those in paper-based listing forms, including data such as: company contact information, product descriptions, dimensions and packaging details, provincial trade requirements, and so forth. The benefits of using the Online Product Listing Form Service include the following: Increased Operational Efficiencies - Vendors and Retailers view the same listing forms in the same format, all containing the same product data Increased Productivity - Less resources on performing administrative tasks More Timely Exchange of Information - Customers and trading partners will be informed of product changes more promptly Less Paperwork Less paper will be generated, contributing to industry s conservation-oriented Turning Off the Paper initiative Internal Reporting and Tracking Ensure an accurate and seamless communication on product attributes between internal departments and external trading partners Seamless Sharing of Information - Trading partners can now access all information and images associated with specified GTIN electronically, regardless of embargo date, eliminating manually distributing data and images to the retailer via external storage devices. Streamlined and Consistent Business Procedures - Vendor and retailers will now use one application to view Marketing Images, Foodservice data, Aliments du Quebec (ADQ), and Grand Prix information. Accessing Product Listing Form On the Core Product Information page, select Display Listing Form. The retailer product listing sheets screen will be displayed. 15 You will see a list of available Product Listing Forms from which to choose. The ECCnet Generic is the most common; however, you may also click on a variety of different retailers to view the Product Listing Form in the same format as the retailers see. Regardless of which form you select, you will generate a Product Listing Form in a new window. Once the appropriate Product Listing Form has been selected, you will be prompted to open or save the form. Figure 1-13: Retailer Product Listing Sheets Screen Pop-up Certain trading partner(s) have customized product listing forms within ECCnet Registry, which you may also see upon display. All core product information and extended product information (i.e. shipping and handling, point-of-sale, tax information) are included in the product listing form. Information for all levels of packaging is displayed within the Item Maintenance form. Printing and Saving a Listing Form 1. To print or save a listing form, select ECCnet Data. 2. 16 Deleting a Product ECCnet Registry users who have chosen the ECCnet ProSYNC EDI 832 Import web interface as a data loading option are required to load data via the ECCnet EDI 832 Import data transaction only. Important Note: For complex packaging configurations, the system requires you to delete all GTIN listed within a hierarchy. Therefore, you must include all GTINs within the file to remove the association between packaging levels before deleting the product. 17 MANAGING PUBLICATIONS Publication Tab Publishing a GTIN to your trading partners provides your trading partners with access to all information and images associated with that GTIN, regardless of an embargo date. Vendors loading via ECCnet ProSYNC EDI 832 Import web interface must publish their GTINs directly within the online interface. Only published GTINs that are ECCnet certified and have been exported to ECCnet Registry will be available for your trading partners to access. Product data for GTINs that have already been published will be available to your trading partners by the next day. Publications will be delayed for any GTIN that has not exported to ECCnet Registry. Publishing Product Data The publication section is used to publish or withdraw access to trading partners on ECCnet Registry. A GTIN can be published or withdrawn using on of the following three (3) methods: Catalogue Selection Code GTIN Level This screen is displayed so that the seller can choose the parent company or division with which the trading partner is associated. In most instances, there is only one company setup and this will be defaulted. Once a company is selected, all trading partner(s) associated with that company are listed. 18 The Publication screen is divided in to the following categories: Display: To view all GTINs with their respective status (i.e. published, not published, all), select the desired status in the Display field and select Search. Publish Catalogue: Select 'Publish Catalogue to confirm publication. Withdraw Catalogue: Used to withdraw a product catalogue publication. Publish by Selection Code: To publish at the selection code level for selected trading partners from the Catalogue Publication screen, click Publish by Selection Code to publish all the GTINs within a selection code. Vendor Publication Level Status: Levels are full, partial or none. Selecting a Trading Partner There are 3 ways to select a trading partner: Select the appropriate trading partner name criteria from the Partner Name listing Enter a company name GPCID to search GTINs published for a specific trading partner. Next, enter the name of the trading partner and select Go. Important Note: If only a portion of the name is known, it can be entered followed by an asterisk (*). Next, select the appropriate publication status in the publication field and select Search. Catalogue Publication Figure 2-2: Catalogue Publication screen To publish product data at the catalogue level (all GTINs listed within catalogue) select a trading partner using one of the methods detailed above and then choose the Publish Catalogue button. 19 Publication Confirmation Once Publish Catalogue is selected, you will be asked to confirm or cancel your selection on the next screen. Choose Confirm to validate publication change or choose Cancel rescind. Figure 2-3: Publication Confirmation screen Selection Code Publication To publish product data at the selection code level select a trading partner using one of the methods detailed above from the Publication screen. 20 Figure 2-4: Selection Code Publication The Selection Code Publication screen also displays the following options: Withdrawing Publication: Withdraw a selection code publication. Cancel: To cancel selection code publication. Publish by GTIN (GTIN Level Publication): To publish at the GTIN level, click Publish by GTIN. Check the box of the appropriate selection code. To select all selection codes on the screen, choose Select All. To de-select a selection, click Select None. 21 Alternative Methods to Publish Product Data Product data can also be published using the Advanced Search screen or the GTIN Information screens Publishing Product Data using the Product Search Screen Select the Product tab and click Detail to view the various search criteria Enter the appropriate search criteria and click Search. If you wish to list all GTINs loaded to ECCnet ProSYNC EDI 832 Import web interface, leave all fields blank and click the Search button. ***It is recommended to publish your GTINs by selection code, as this will ensure private label products grouped by selection code are published to the correct trading partner. Once your search results are displayed, select the appropriate GTIN from the listing. Then, select Product Publication shown at the bottom of the screen. After selecting Product Publication, a list of your trading partner(s) will appear in the product publication screen, click on the trading partner for which you are publishing and input the trading partner s name or unique ID to search for them. 22 If the GTIN being published is linked to other GTIN hierarchies, it is suggested that you select Include Lower Level Packaging. Click Publish Items. Publication Confirmation Once Publish By Selection Code is selected, you will be asked to confirm or cancel your selection on the next screen. Choose Confirm to validate publication change or choose Cancel rescind. Publications using the GTIN Detail Screen GTINs can also be published directly with in the Product Information section of the service. From the Product screen enter the appropriate product search criteria to lookup the specific GTIN, the Advanced Products screen will appear. Next, select the product description hyperlink of the GTIN from Advanced Products screen to display the GTIN in the Product Information screen. Select the Publication tab at the top. After selecting Publication, a list of your trading partner(s) will appear in the product publication screen, select the name of the trading partner for which you are publishing or input the trading partner s name or unique ID to search for them. Once publication has been confirmed, you will receive a status update to verify whether your GTINs have been successfully published. 23 Withdrawing Product Data Access from your Trading Partners At any time, a GTIN publication can be withdrawn using any of the Withdraw buttons shown on any of the publication screens. Confirmation of the withdrawal will be displayed once selected. Withdrawals are processed for products that have been exported to ECCnet Canada s National Product Registry. If a GTIN has been exported and published previously, the withdrawn GTIN will be sent to your trading partners by the next day. 24 COMPANY PROFILE Company and User Setup Through the self-registration process, you can define your company's information. During this process, any existing information on file about your company and its users is located and used to initially populate your records. Any updates that you make to your company and user information will automatically update GS1 Canada's records. Should the need to add, edit or remove a user from the service please send an to eccnetedihelp@gs1ca.org. Please provide the following information: First and Last name of the user ECCnet ProSYNC EDI 832 Import web interface User Access Choose one of the following: Super User, Security Admin, View Only, No Member Access or Default User Job Title or Department Telephone Number and extension (if applicable) Address Language (English or French) Job Function - Choose one of the following: Accounting, Sales.Marketing, CEO, UPC Coordinator or General ECCnet Function Choose one of the following: Catalogue Captain, Catalogue Admin, Technical Support, Administrative Contact or Business Sponsor To view a list of existing user profiles, select the security menu and choose User from the dropdown menu selection. 25 ACCESSING REPORTS The ECCnet ProSYNC EDI 832 Import web interface contains various company-specific reports. All reports can be viewed or downloaded from the service for reporting purposes. The type of reports provided for the ECCnet ProSYNC EDI 832 data loading option are: Data Import Load Status Reports Data Export Status Reports Marketing Import and Export Reports Publication Export Reports Additional Report provided within the service are: Catalogue Structure Report Trading Partner Access Reports Data Import Load Status Report Each time data is loaded via ECCnet EDI 832 data file is transmitted to ECCnet ProSYNC EDI 832 Import web interface an import log report is generated. This report displays errors and exceptions encountered from the data import load process. It should be reviewed each time a data is loaded to a catalogue to ensure your updates were applied as expected. The Data Import Load Status Reports is comprised of 2 sections. The first section is a brief s ummary which lists GTIN count statuses. The second section is a detailed status of the product information loaded at that time. The structure of the Batch Import Process summary will appear as follows: # GTINs ADDED successfully # GTINs REPLACED successfully # GTINs REPLACED with errors # GTINs DELETED successfully # GTINs REJECTED The structure of the Detail section will appear as follows: Message for item sequence no: Processing GTIN: (GTIN# and qualifier) GTIN status Error message (if applicable) Data Export Status Report The Data Export Status Report shows the status of the product data that is exported to the ECCnet Registry. 26 Marketing Import and Export Reports The Marketing Import and Export Status Report provides a status of product data exported or published to the ECCnet Registry. Publication Reports The Publication Status Report shows the status of any product data that has been published to the ECCnet Registry. Important Note: Report Status/Severity: Should an error occur during transmission the status/severity of the import will be FAILED or ABORTED. Please report these issues to GS1 Canada EDI Support at eccnetedihelp@gs1ca.org for further investigation. Additional Reports Catalogue Structure Report Trading Partner Access Report On the Products Advanced Search page, the action entitled Additional Reports can be used to generate a Catalogue Structure Report or a Trading Partner Retailer access report. To generate a report, click Additional Reports on the products advanced search page. ECCnet Reports will then be launched. Catalogue Structure Report The Catalogue Structure Report can be used to generate a summary of GTINs loaded to ECCnet EDI 832 Import. The summary lists all GTINs by selection code, selection code description, GTIN, and GTIN description. Trading Partner Access Report The Trading Partner Access Report can used to list all trading partners that have access to your product catalogue in ECCnet Registry, as well as their access type and the specific areas of your product catalogue that they can access after publication has been granted. These reports can be generated in a view-only format or into a spreadsheet format in an.xls file that can be saved to your computer. Viewing the Catalogue Structure ortrading Partner Access Reports On the right side of the page, click View to launch a view-only listing. To return to the ECCnet Report launch screen from a view-only report, click Reset at the top the page. 27 APPENDIX A: SEARCH CRITERIA FIELD DESCRIPTION OF USE Search Criteria Field Product Status Description GTIN/Type Product Type Description of Use Status of products pending export, products never published, last export date, or incomplete products Text to match with a product s short and extended descriptions. Use an asterisk (*) as a wildcard for any number of characters. For example, white selects products with a description starting with white or *white selects products with white at the end of the description; while *white* selects products with white anywhere in the description. The Global Trade Item Number (GTIN), which may be a UPC, SSCC-14 or GS1 (previously EAN) identifier for a product. The type field can be used to specify whether the GTIN entered is a UPC, SSCC-14 or GS1 (EAN) Application unit, consumer item, inner, case, or pallet. Compliant - Product data has passed validation checks. Compliant Not Approved - Product data has passed validation checks but has not been approved for export. Click Save and Approve to approve the GTIN. GTIN Status Incomplete - Missing pertinent information, which must be completed before data becomes compliant and ready for exporting. Pending Export - Data is compliant and has been approved for export. Export will occur on your next scheduled export date. Selection Code Brand Date Created ECCnet Classification Code IFDA Classification Code Publication Status Field Three (3) digit number that your company assigns to categorize your GTINs. The brand or trade name of the product. The date after/before/on which the product was transmitted to ECCnet ProSYNC. Enter the date using the format MM/DD/YYYY. ECCnet Classification Code, selected by your company from a designated list of codes, to categorize your products to transmit product specific attributes to your trading partner(s). The ECCnet Class Code advises ECCnet ProSYNC EDI web interface about which fields are required to correctly enter your product data. International Food Distributors Association Code, selected by your company from a designated list of codes to categorize your foodservice products. An IFDA code list may also be found on GS1 Canada s Members -only website, (login required). Never published, published, or withdrawn. A status of all GTINs that are uploaded in ECCnet ProSYNC EDI 832 Import web interface can be generated at any time. From the product tab, click on the Status button at the top right. Hovering over each status message will provide an explanation of that message. For example, by hovering over 22 Incomplete Products, a hover text appears that provides a definition of incomplete products.
