A-22 Many tasks that staff perform while using the system such as selecting an occupation, or saving a search are used in different areas of the system. For example, users are required to select a geographic area when searching for jobs or candidates, or when researching an occupation. This chapter describes some commonly used functions in the system. Search by Keyword Searching by keyword is used often throughout the system. Keyword searches can be used to identify an occupation or to search for a candidate, etc. For example, the when performing a keyword search for occupation, users can enter child for a keyword search for all occupations that include childcare. The keyword search is also useful to search for a keyword or phrase that is not necessarily part of an occupation title. To find occupations that include a Certified Nursing Aide (CNA) credential, searching for the keyword CNA will list occupations that include this term in the general description, as well as those that include the term in the title. To perform a keyword search: Enter the keyword by which to search (in the Keyword text box). Click the Search button. A screen displays results (e.g., occupations that match the keyword). 2 Click the appropriate link to select from the results screen (e.g., click an occupation title to view details for the occupation). Keyword Search (for an Occupation) and Search Results Screens Most Keyword Search screens include links to more search options. Generally, users can click the + Keyword Search Options link and/or the + Show Additional Search Options link to utilize even more search options. Search by Geographic Area The system contains geographic area maps, which are used to select areas or regions in which to search. Users can search for jobs, training locations and employers within a certain area. They can also research labor market information within an area or a region. To select an area: Click the default Area link to change it. (In the example shown here, click on Pinellas County, FL.) The screen expands to display two dropdown lists and the Select by Map link. Area Selection The first drop-down list is for area type. The second drop-down list is for selections within that area type (for example, if Metropolitan Statistical Area is selected from the Area Type drop-down list, the second drop-down list allows users to select a specific metropolitan area as shown in the figures below. Area Type Selection Lists If Zip Code is selected from the Area Type drop-down list, users then may select the radius (in number of miles) from the zip code entered in which to search. 3 Zip Code Selection After making selections from the drop-down lists, click the Set area link, if available. When the screen refreshes, the new area will appear (similar to the following example). To select an area on a map: Change Radius Click the Select by Map link. (The screen will appear similar to the following example.) 4 Based on the map selected on the Map screen, another map selection screen will display. In the example above, the entire state was selected as the search area and the map titled A specific Workforce Investment Region was selected. A map will display that shows each Workforce Investment Region in the selected area (in this case the entire state) as shown in the figure below. Click on an area of the map to select it or select a drop-down list option to focus on that area. Geographic Area Selection Screen The next screen will let the user begin the search within the selected area. Note: When first conducting a search, the location selected becomes the default location for later searches until a different area is selected. Search for Employers Throughout the system, users will need to find employers that are registered in the system. The following instructions explain how to find employers, regardless of whether they have current job openings. To search for employers, select Manage Employers > Assist an Employer from the left Navigation pane. This will open the Quick Employer Search Tab. OR If assisting an individual, click the Employers option on the Job Seeker Services menu. Quick Employer Search To search for an employer, first set the geographic area in which to search. 5 Quick Employer Search Screen with All Search Options Displayed Additional Search Options To see more search options, click the + Keyword Search Options link and/or the + Show Additional Search Options link. Keyword Options Users can indicate how the keyword should appear by selecting the radio buttons. The options include searching for employers whose company names begin with or contain the keyword, and/or whose business name or business description includes the keyword (or both). Industry Title Select an Industry Title from the drop-down list or click the Select Specific Industry link to search for a specific industry. (This link will open the Industries by Keyword Search screen. Selecting an industry is explained in the Industries by Keyword section of this chapter.) Employer Size Range Select the number of employees (lowest and highest numbers) from the drop-down lists. Click the Search button to run the Employer search. 6 Employer Search Results Screen On the Search Results screen, check the boxes in the Select column for all employers to be viewed on a map or to be downloaded to an Excel file. Click the Map link to view the selected employers on a map or click the Excel link to download the selected employers to a spreadsheet. Advanced Employer Search To search for an employer with more specific search criteria, click the Advanced Employer Search Tab. Use the Area, Keyword, Keyword Search Options, Industry Title, and Employer Size Range tools as described in the previous section ( Quick Employer Search ). Website Choose to search for employers with or without websites, or all, by selecting a radio button in the Does employer have a web address listed? section. Sales Volume Select the From and To range (in dollar amounts) to search by annual sales volume. Location Types Select an option to search for employers with specific location types. To select multiple options, hold the Control key down while making selections. Sector Entities Select a sector (e.g. public, state, private, etc.). 7 Employer Size Range Select the number of employees (lowest and highest numbers) from the drop-down lists. Click the Search button to run the employer search. Employer Search by Occupation This tab allows users to search for employers by occupation by selecting from a list of occupations (in alphabetical order), as shown in the following example. Click on a letter to identify occupations that begin with that letter. Select the occupation title that most closely matches. Employer Search by Occupation Screen Click the Additional Occupation Search Options button for more search criteria. Search for Jobs The job search functionality for staff who are assisting individuals works in the same way as when an individual performs a job search. For instructions on job search functions, see Chapter 3 of the Individual Services User Guide. The following section describes the features that are exclusive to staff members performing a job search. Job Details Staff Links After searching for a job and selecting one from the Search Results screen, the system will open the Job Details screen. At the bottom of the Job Details screen is a section called Staff Links. This section contains links for staff to work with the selected job, as described below. 8 Assist the Employer Click this link to assist the employer that posted the job. Modify this Job Order Click this link to edit the job order. Send via a Message Click this link to send the details of this job to another system user via the internal Message Center. Refer Candidate(s) to this Job Click this link to refer candidates to this job. (See the Search for and Refer all Jobs section of Chapter 12 of this User Guide for instructions on referrals.) Virtual Recruiter The system s Virtual Recruiter feature allows individuals and employers to find the jobs/candidates they are looking for. With the Virtual Recruiter tool, individuals can save job searches, tell the system how often and when to run the searches, and select their preferred method of being notified of new jobs. Employers can likewise save candidate searches and the system will run those searches as often as the employer wishes. The system will notify employers of the candidates it finds who match the job requirements via whatever notification method the employer has selected. Staff can use the Virtual Recruiter feature whether they are assisting individuals or employers. For instructions on using the Virtual Recruiter for individuals, see the Virtual Recruiter section of Chapter 5 of the Individual Services User Guide. For instructions on using the Virtual Recruiter for employers, see Use the Virtual Recruiter section of Chapter 5 of the Employer Services User Guide. Select an Occupation There are several points in the system where staff need to identify an occupation, such as when searching for jobs within a specific occupation or when they search for occupational labor market information. Generally, staff select an occupation by using a Select an Occupation link on a job search screen, e.g., on the Quick Job Search Tab, click the + Show Additional Quick Search Options link and click the Select Specific Occupation link (shown below). Alternatively, on the Advanced Job Search Tab, staff can click the Select a Specific Occupation link. Virtual OneStop Staff Services User Guide A-8 V19 02/2019

9 Clicking the link will open the Occupational Search tabs (displayed below). Occupation Search Screen To select an Occupation: Select one of the Occupation tabs to search for the appropriate occupation. Select the occupation, generally by clicking on the title link, on the Search Results screen. Note: When selecting an occupation, notice that certain occupations include any of three different colored icons: a yellow sun indicates the occupational has a high national demand for workers, or Bright Outlook. A red sun indicates a high statewide demand and a green leaf indicates the occupation is a green occupation. Examples of the icons appear below. These designations are based on data from the U.S. Department of Labor. Following are descriptions of each Occupation Search tab. Occupations by Keyword The most common way to search for an occupation is through a keyword search. Occupations searches can be performed based on the equivalent military occupation by clicking the Occupations by Military Specialty link. (See the Occupations by Military Specialty section later in this chapter.) To search for an occupation by keyword, enter the keyword (or partial word) and click the Search button. The Search Results screen displays occupations that contain the keyword in the O*NET title, general occupation title, or occupation description. Click the appropriate occupation title to select it. 10 Occupations by Keyword Search Screen and Results Screen On the Search Results screen, users can change the area in which to search by clicking the Area link. See the Search by Geographic Area section earlier in this chapter for instructions. The Search Results screen shows a green checkmark in the Occupation Title column for all occupations where the O*NET occupation title matches the keyword used. A green checkmark in the Related Job Titles column means the keyword matches the more generic job titles used for the occupations. A green checkmark in the Occupation Description column means the keyword was found in the occupation s description. The Search Results screen also displays a Score (as a percentage). This number refers to how closely the occupation matches the keyword; the higher the percentage, the closer the match. Search for Jobs within the Selected Occupation On the Search Results screen, click on the Occupation link (in the Occupation column). The system will open the Quick Job Search screen, with the Occupation Group prefilled. Occupation by Group Staff also can search for an occupation by O*NET occupation group. Click the + to expand the screen to show all occupations within an occupation group. These links then will access the occupation, as shown in the following example. To expand the list, click on an occupation group name or click the plus sign + next to the group name that most closely matches the occupation you are searching. 11 Expand Occupation Group Occupation Listing Staff can search for an occupation from a list of occupations (displayed in alphabetical order), as shown in the following example. There are two ways to search for an occupation on the Occupation Listing screen: Click on the letter for occupations that begin with that letter. 12 Occupations by Education Program Staff can search for an occupation based on the educational programs that provide training for the occupation. Click on the first letter of the program to display a list of programs beginning with that letter. Select the program from the Education Program selection list and click Continue. Occupations by Education Program Screen On the Search Results screen, click on an Occupation in the list to select it. The system will open the Quick Job Search screen, where staff can search for jobs within that occupation. 13 Occupations by Military Specialty Within the system, military occupations are matched to corresponding civilian occupations using the Military Occupational Specialty (MOS) to Standard Occupational Classification (SOC) Crosswalk that was developed by the Defense Manpower Data Center. The crosswalk crossreferences military occupational codes of the Army, Navy, Marine Corps, Air Force, and Coast Guard with the equivalent civilian occupation codes. To search for an occupation by the equivalent military occupation, use the Occupations by Military Specialty tab. The default search setting for this tab is to search by Military Occupational Specialty. To search for equivalent occupations, select the Branch of Service, Personnel Category, and Military Occupation Code (if known) from the dropdown lists and click Search. Searches will return occupations based on the equivalent military responsibilities or duties using the MOS database. Users then can cross-reference the occupation to an O*NET-defined civilian occupation and continue searching with the associated skills and information for the occupation. In addition, users can click the other links on the screen to search for civilian occupations as described in the following sections. (MOS) Code Occupations by Military Specialty Tab Click the (MOS) Code link in the Select an occupation section to search by the Military Occupational Specialty code. 14 Occupation by Military Specialty Search - Matching Civilian Occupation Keyword Click the Keyword link in the Select an occupation section. Enter a job title or occupational keyword in the textbox and click Search. On the next screen, select the Military Occupation from the list and click Continue. 15 Branch of Service Click the Branch of Service link in the Select an occupation section. Select a branch of the military/status (officer, enlisted, etc.) and click Continue. Select the Military Occupational Specialty from displayed list and click Continue. Select the appropriate civilian occupation. Occupation by Military Specialty Branch of Service Search Occupations by Occupation Code The system lets staff search for a desired occupation by Occupational Information Network (O*NET) Code. The O*NET database assigns every occupation a unique code. Staff can enter the entire O*NET code or a partial O*NET code to search for occupations on the Occupations by Occupation Code tab. To search for an occupation by its O*NET code: Type in the (whole or partial) O*NET Code and click Search. Virtual OneStop Staff Services User Guide A-15 V19 02/2019

16 O*NET Code Search Screen The system will display a list of occupations matching the code. Select a title from the occupation list that displays. O*NET Occupation Selection Screen Note: If an O*NET Code for which there are more than one O*NET Occupation detail listings (e.g., the code associated with the Title Accountants and Auditors ) is entered, the user will need to pick from a list to identify the specific Occupation Title. This ensures that all of the detailed occupational profile information exists for the occupation, including details under link from areas such as Nature of Work (like Tasks ) or Job Requirements (like Skills Required ). Occupations by License Depending on the state Occupational License data supplied, the staff user s site may not include the Occupation by License tab. This tab is dependent on WID data supplied by the state, which is used to associate the state s requirements for occupational licenses for the various O*Net occupation codes. On the Occupation by License tab, staff can search for an occupation by the related occupational license, and then pick the related Occupational Information Network (O*NET) Code from those that are related to the selected license. Staff can search for an occupation by the related license, and then select the desired Occupational Information Network (O*NET) Code, and continue to the occupational information screen (such as the Occupation Profile). To search for O*NET code by a license: Click on the first character of the desired occupational license (e.g., C for CPA, L for LPN). Virtual OneStop Staff Services User Guide A-16 V19 02/2019

17 The system will display a list of Occupation Licenses starting with that letter. Find the desired license in the list, and click the Continue button (as shown below). The system will display a Detailed Occupation List matching the license. Occupation License Search and Selection Screens Select a title from the Detailed Occupation List that is displayed. The occupation data will display on the main screen in the related function (e.g., Occupation Profile). Select an Industry There are times when staff may wish to search for employers within a certain industry. To do so, they could search for all employers by searching for the industry (as a keyword) or they could search for all industries within a particular sector (e.g. Agriculture or Real Estate). The system also provides a list of industries from which to choose and allows users to search for a specific Industry Code (NAICS code). These various methods for searching for industries are described in the following sections. Virtual OneStop Staff Services User Guide A-17 V19 02/2019

18 The Industry Search tabs are accessed throughout the system, any time the user has the option to search (for an employer or for a job, etc.) by industry. Generally, the system will display a link that will open the Industry Search tabs. For example, on the Advanced Job Search screen, there is a link (Search for NAICS Code) to search for employers by industry code. Another way to access the Industry Search tabs is through the Labor Market Services option on the left Navigation pane (Labor Market Services > Industry Profile). Industries by Keyword The most common way to search for and select an industry is by keyword. Type an industry keyword in the textbox and click the Search button. A list of industries will appear that matches your keyword search (as shown below). Select the industry title that most closely matches. Industries by Keyword Search Industries by Sector Staff can search through industries grouped by sector by selecting the Industries by Sector tab. Click on an option that most closely matches the industry. - or - Click the plus sign + to expand the sector list. Continue expanding the list until the industry is located. 19 Industries by Sector Search Industry Listing Staff can search for an industry through the Industry Listing tab, which lists industries alphabetically. Click on a letter at the top of the list for industries that begin with that letter. Select the industry that most closely matches. Industries by Sector Search Industries by Industry Code There are times when staff may need to select an appropriate industry code/naics code. For example, during an employer registration, there is a link to search for Industry NAICS code*, to associate a standard industry type to the company. Because registered employers are tied to a specific NAICS code, staff (or individuals) can search for registered employers by industry code. *NAICS stands for the North American Industry Classification System, adopted in 1997 to replace the Standard Industrial Classification (SIC) codes. These codes identify the nature of business conducted by employers. Virtual OneStop Staff Services User Guide A-19 V19 02/2019

20 Click the Industries by Industry Code tab to search by industry code. Enter the NAICS code in the field provided and click the Search button. Industry Search by Industry Code Select the industry from the Search Results list. The next screen that opens will depend on what type of task was being performed. If the staff member was searching for an employer, the system will open the Advanced Employer Search screen with the Industry Title field filled in. If the staff member was searching for Labor Market Information, the Industry Summary screen will open. Determine the NAICS Code Search by Industry (NAICS) Code To look up the NAICS code, use the Industries by Keyword tab or the Industries by Sector tab to find the industry title or group and its code. To use the example above, on the Industries by Keyword tab, search for rooming. On the Search Results screen, the NAICS code is displayed in the last column. See the Industries by Sector section earlier in this chapter for instructions on searching by sector. 21 Spell Check To assist with entering text in large, freeform text fields, the system provides a Spell Check tool, which assists users to correct spelling errors. The Spell Check feature offers spelling suggestions and allows users to correct spelling errors before saving their work. Text Editor Field Spell Check Link To Spell Check text: Click on the Spell Check link (as shown above). A screen displays the first error (shown in red). To ignore the word and move to the next, click the Ignore button. To change the word, type in the correct spelling in the Change to field and click the Change button. - or - Select an option in the Suggestions field and click the Change button. The system indicates the Spell Check is complete (in green text). Click OK to save the changes and close the Spell Check window. 22 Formatting Controls The formatting toolbar lets users customize text in large text-entry fields, using formatting tools and icons similar to those found in standard word processing programs. Large text fields are found in areas of the system, such as Correspondence Templates or the Message Center. Sample Format Controls Some of the icons and their uses are briefly described below: Note: The formatting applies to text entered manually, copied and pasted, or inserted as a sample text entry. Select from a list of pre-set text formats (i.e., Heading 1) to control the appearance of the selected text. Select from a list of pre-set font styles (i.e., Tahoma) to control the appearance of the selected text. Select from a list of pre-set font sizes (i.e., medium) to control the appearance of the selected text. 23 Italic Changes highlighted text to italics Underline Underlines the highlighted text Erase Formatting This icon erases the formatting of the selected text and returns it to the default setting. If the cursor is positioned in the middle of a word and the eraser is clicked, the formatting is removed from the whole word. To remove formatting from a section or sentence, it must be highlighted. Left Justify Aligns the text to the left edge (this is the default alignment until changed) Center Justify Centers the selected text Right Justify Aligns the text to the right edge Block Justify Aligns the text to both the left and right edges Number List Converts the selected text to a number list according to paragraph (hard return) breaks Bullet List Converts the selected text to a bullet list according to paragraph (hard return) breaks Horizontal Line Inserts a horizontal line before the insertion point s location Special Character Inserts a special character (i.e., ) at the insertion point s location Text Color Displays a color palette to change the color of the selected text Selects All Text Selects all text within the window Undo / Redo Undoes or redoes the last formatting of text Help Provides detailed assistance with the textboxes and formatting tools In addition to these options, users may also choose from the following link options: Spell Check This link displays the Spell Check tool. For details, see the Spell Check instructions in the previous section. Insert Sample Text This link displays an excerpt of text to provide data entry guidelines for the user. Clear Text This link removes the text displayed. Users must click OK in the pop-up window to confirm this command. Remove All Formatting This link restores the text to the default format.
