1 WASHTENAW COUNTY TRIAL COURT MANUAL FOR EVIDENCE PRESENTATION ON LARGE DISPLAYS IN THE COURTROOM PERMISSION REQUIRED TO USE TECHNOLOGY: You must get direct permission from the Judge/Judge s staff to display media in the courtroom. Once permission is granted, a test must be performed with Court IT staff 2-3 days before your hearing date to ensure that everything is in place for your presentation at the hearing. To schedule the test, please l-cthelp@ewashtenaw.org. Disclaimer: Washtenaw County Trial Court and its employees are not responsible for the images you display in the courtroom. Prior to connecting to the network to display your content, please be absolutely sure that the images on your laptop represent exactly what you want to present and have viewed by the courtroom audience. The tools we offer mirror the image on your laptop screen at the time you connect. Please keep this in mind at all times when using the Court s technology outlined in this manual. 1
2 ATTENTION! Prior to connecting to the courtroom wireless presentation, please be sure to: 1. Plug in your laptop to eliminate possible loss of battery; 2. Turn off Windows/OSX updates/notifications; 3. Turn off any screen saver; 4. Make sure your laptop is virus/malware free; 5. Mute your volume unless needed for evidence presentation; 6. If you are displaying a PowerPoint, change the view to 16:9; and 7. Turn off updates for any application being used. Helpful tips for the above steps are located at the end of this Manual. How to Connect to the Crestron Wireless Presentation System In Courtrooms 3, 4, 8, 9 and 10, the Trial Court has technology available to allow attorneys and parties to use their laptops (PC or MAC) to connect to the large courtroom LED Displays to display evidence, PowerPoints, exhibits, videos, pictures, maps, webpages, etc. to the courtroom audience during trials and other court proceedings. When an attorney connects to this system, the presented media will be permanently recorded and stored in the trial court s digital archives. To connect your laptop to the Crestron Presentation Device if you are a Private Attorney, select the WC_CCT_Crestron wireless connection in your Wireless Network Connections while in the courtroom where you want to present. You will need to enter password CCTDisplay101. 2
3 If you are a Washtenaw County Attorney, you will need to connect to the WC_WLC_Washco_BGN. 3
4 Once you are connected to WC_CCT_Crestron or WC_WLC_Washco BGN wireless connection, open your Internet browser. Within the address window, type the provided IP Address that is shown on the top left of the screen. 4
5 Do not type the word IP within the address window of the Internet Browser - just type the numbers similar to what you see below. Note: each courtroom has a different IP address that must be entered into the address window. When you type in the IP address within the browser and hit enter, a Crestron homepage will open up. If it is your first time using the courtroom s Crestron presentation device, you will need to download the client software to connect to the large display. If you have a Windows Laptop, download the Client for 5
6 Windows. If you have a MacBook, download the Client for MAC. The client will download to your Downloads folder on the laptop you are using. Once the client software is done downloading, select Run in the pop up window and the Crestron software will install. 6
7 The Crestron login window will appear and request that you to enter a four digit code. This code is located on the top right of the large display in the courtroom. You will have to look at the large display screen first to see the four digit code provided. This code will change from time to time for security 7
8 reasons. Enter in the code and hit the connect button. As soon as you do this, it will exactly mirror your laptop display onto the large screen. PRIOR TO HITTING THE CONNECT BUTTON, PLEASE BE SURE THAT THE IMAGE ON YOUR LAPTOP IS WHAT YOU WANT THE COURTROOM AUDIENCE TO SEE. At this point you can start displaying your evidence, PowerPoints, exhibits, videos, pictures, maps, webpages, etc. Note: If your Laptop has power settings configured that makes the laptop sleep or lock, it will disconnect the laptop from the Crestron system. Once it disconnects, the Crestron device will issue out a new four digit code. We recommend that you either turn off power setting within your laptop or only add the four digit code when you are ready to connect to the large display and show your evidence. If you have a long video that you are going to show, you must turn off all power saving settings to avoid having the video disconnect. 8
9 If you want to temporarily stop displaying your laptop to find another file, etc., select the stop button. This allows you to control what you show to the courtroom audience. If at any time you need to switch to a different image, it is best practice to first hit the stop button, find the image you want to present on your laptop and then hit the play button to resume replicating your laptop to the large display in the courtroom. Each time you hit the stop button, your laptop will not show on the large display. The four digit code on the top right of the media window indicates that you are still logged into the wireless presentation system. The indicator at the bottom of the same window tells you whether you are showing media or if your presentation is in stopped mode. *Remember! The best practice is to connect to the system and then hit the stop button so that you maintain direct control over what you display. To show your media on the screen just hit play again. *The play button within the media window will only be seen on your laptop when you hit the stop button. You will not see the media window in the stopped status on the large display. 9
10 When you hit play on the media window from your laptop you will see it displayed on the large display. Tip: If you accidently close the Crestron Software Client that you opened, you can get to the software on your computer by going to your Downloads folder. The software will be named with the courtroom number and IP address on it. For example Courtroom_3_ will be the downloaded file for the Crestron Presentation device in Courtroom 3. You can also right click on the client software and you can send it to the desktop as a shortcut and click from there. Doing this will save you the most time if you accidentally disconnect. 10
11 This is also the easiest way to pull up the Crestron Client Software if you have already downloaded it to your laptop. Each courtroom has its own software. You will have to download the Crestron Client Software for each individual courtroom at least once in order to display evidence in each courtroom. Note: If several days later, you have a new hearing or case and want to present evidence for that case, please follow the directions from the beginning. Do not try to use the previous software client since the courtroom configurations routinely change. Once your trial or hearing is completed, please delete all downloaded connections in your Downloads folder to make sure you do not use them again. How to mute your laptops audio while using the Crestron Presentation System Please mute your sound settings to prevent sound bouncing from your laptop to the large display. The sound will transfer through the wireless system when you are playing a video. 11
12 Click on the mute button at the bottom right of your screen. 12
13 How to change your PowerPoint Presentation to a 16:9 view In order to show your PowerPoint on the courtroom large display in full screen, you will need to adjust it to a 16:9 view. To do this, open your PowerPoint and hit the Design tab at the top of the window. Click on the Page Setup icon. The page Setup window will appear. Under Slide Sized for, select On- Screen Show (16:9) and hit OK. Your slides are now in 16:9 view to create a full view on the large display. 13
