4 Document Purpose This document is a training guide for the RHM providers to assist them in navigating the login process and the tabs available in the MyHealth provider portal. 5 Provider Login Process The provider should receive an from This will contain the username and a link that will allow them to register for the provider portal. They will be required to activate their new account. 1. To activate a new provider account, clink on the link in the provided The provider will be redirected to the Provider Portal Activation page where they will be required to create a new password. 3. Once the password process is complete, click "Submit." Page 5 of 21
6 Security Questions The first time the provider logs in to the Provider Portal, they will be required to set up their security question. 1. On the activation prompt, click the "Click Here to Login" link. 2. The provider will be redirected to the portal login screen. Enter the registered username and password, and then click the "Login" button. 3. The provider will be redirected to the security question screen where they will be asked to select and answer 3 different security questions. 4. After completing the 3 security questions, click on the "Submit" button. This takes the provider to the Census Screen. Page 6 of 21
7 Census Screen The Census Screen is a tool that allows the provider to find the patient they're seeking. Providers can search by any combination of the filters available. To find a particular patient, the provider will follow the process below. 1. Fill in one or more of the patient identifiers (i.e., Last Name only, or Last Name and First Name, etc.). Names are not case sensitive. 2. SSN (Social Security Number) Include dashes. MRN (Medical Record Number) Is Case Sensitive. 3. Then click on the on the "Search" button to initiate a census search. Page 7 of 21
8 4. Click on the patient in search results to open the portal to that patient (in the photo above, you would click on Doe, John underneath the Full Name header). 5. If the provider wants easy access to that patient portal, they can right click on the patient name and then scroll down and click where it says "Add to My Census." This will add the patient to their census, until they remove it by right clicking over the patient name and clicking on "Remove from My Census." Page 8 of 21
9 Dashboard Tab The dashboard tab allows the provider to see patient history when it comes to the following: problems, medications, lab results, reports, encounters, providers, allergies, and adverse reactions. The provider can access the specifics under each category listed with a simple click. Other provider functions include the following: 1. Clicking on the category headers in each box will order the data (ascending or descending). 2. Typing in the open field boxes (if they exist) will filter the data in the box. 3. The Data Range drop down allows a specific date range of data to be selected. After selecting the range, click the Update button. 4. The provider can also use the tools shown above located in lower left corner of each category portlet. These icons are presented as follows: reload the grid, expand the grid, search the grid, and print the grid. Page 9 of 21
10 5. Clicking on the "Expand Grid" icon will show the full expanded version of the category selected. Page 10 of 21
11 Encounter Journal Tab The encounter journal tab lists the most recent problems, reports, lab reports, medications, and procedures in descending order. The data can be sorted and expanded based on the needs of the provider. The functions of this tab include the following: 1. Show all data or sort by clicking on category (problems, reports, lab reports, etc ). Icons Located beneath the search box. 2. Clicking on the provider reveals provider contact information. Located left of the illustrated timeline. 3. Click to see all lab results. Located on the right hand side of the timeline, underneath the bold faced category. 4. Click to see the full lab report (will take you to the lab report tab). Located on the right side of the timeline, underneath the lab results. Page 11 of 21
12 Time Line Tab The time line tab presents the provider with a longitudinal view of the patient selected. The functions of this tab include the following: 1. The timeline can be expanded or contracted by dragging the edges of the bars. The bars are located along the scaled grey section near the top of the page. 2. Symbols on the grid indicate Inpatient, ER, or Outpatient (clinic, lab, etc.) encounters. Hovering over a symbol providers more information on the encounter. 3. The different grouping order (i.e., Problems, Providers, Meds, etc.) can be changed by clicking on the up/down arrows. Page 12 of 21
13 Reports Tab The reports tab allows the provider to sort and view reports for the specific patent by date and group. The provider that developed the report is also listed. The functions of this tab include the following: 1. Reports can be expanded by category or by clicking "Expand All" ("collapse all" displays categories alone.) This /option is located underneath "Reports" in the upper left hand side of the screen. 2. Sort reports by clicking Group or Year. These options are located in the "Reports" box on the upper left hand side of your screen. 3. Clicking on a report shows the detailed report in a plain text form. Print or download the report by clicking the "Print Report" and or "Download Report" in the upper right hand side of the screen. Note, when printing Protected Health Information (PHI), there are security precautions that must to be followed. Page 13 of 21
14 Lab Reports Tab The lab reports tab give the provider a way of accessing and sorting the various types of lab reports collected. 1. Type in the category of lab report in the search box or scroll down and click on the desired category (blood culture, BMP, wound culture, urine culture, etc ). 2. Sort results by clicking "Result Date" or "Specimen Date." These bubbles are located next to the search box in the upper left hand side of the screen. 3. To print, check the select to print box in the upper right hand corner of the selected lab and then click the "Print Selected Lab Reports" located underneath the "ThinEMR" tab. 4. To expand the desired lab report, click on the name of the lab underneath "Type" on the bottom left hand side of reach lab report. The name should be highlighted in light blue. The expanded view will look like the image below. Page 14 of 21
15 Lab Trends Tab The lab trends tab allows the provider access, filter, and or sort lab reports. Hierarchies can be created to generate a custom report. Graphs can be made to provide a visual of the lab report data. 1. Under the "Panel Shortcuts" box, click on the lab the provider is searching for instead of scrolling down the page. This shortcut is located on the lower left hand side of the screen. 2. Test levels indicated when outside a normal range (a legend is on the left hand side for reference and expanded below.). 3. Hover the cursor over each sub- lab category to reveal more information. As shown in the center of the image below. 4. Filter date by filling in the search box located near the top in the center of the screen. Page 15 of 21
16 Lab Trends Tab: Hierarchy Options 1. Select a hierarchy 2. Filter the data by "Time Compression." 3. Filter the data by "Timeline Order." Shown in order below. 4. Add a hierarchy by clicking the "Add New Hierarchy" button. 5. Name the new hierarchy and adjust options to your needs, then click "Submit." Note that the newly created hierarchy will remain for future sessions, until the provider deletes it. Page 16 of 21
17 6. To delete a hierarchy, select it in the "Select Hierarchy" drop box. Once the hierarchy is loaded, click "Delete Selected Hierarchy." Page 17 of 21
18 Lab Trends Tab: Graphing Options 1. Check or uncheck the lab (entirely) or the sub- lab(s) to filter information for the graph. 2. Create a graph by clicking on "Graph Checked Row Lab Data." Page 18 of 21
19 3. To zoom in on any a particular section of the graph, drag the cursor and create a box around the desired section. To reset the graph back to its original form, click the "Reset Zoom" button in the upper left hand corner of the graph. Page 19 of 21
20 ThinEMR Tab The ThinEMR tab contains documents and coinciding reports for the provider to complete and maintain for their patients. 1. Access documents by clicking on them individually. Each document is highlighted in blue underneath the "Documents Available" box. 2. Access each report within the documents by clicking on the expansion icon next to the desired report or by clicking on the report along the left- hand side. 3. Complete the documents by filling the reports with information (empty field boxes, drop downs, calendars, etc...). Page 20 of 21
