3 GLHC SSO VIPR User Guide Accessing the Virtual Integrated Patient Record (VIPR) Single Sign On (SSO) 1. Single Sign On provides access through your EMR to the Virtual Integrated Patient Record (VIPR) 2. Staff members obtain VIPR access through their user profile established by their employer. Please inquire with your supervisor. 3. VIPR is available in the Electronic Medical Record via a link or tab in the patient record. Printing Print button is available on the Results, Documents and Profile & Face Sheet tabs. 1. Click on the tab that contains the information you want to print. 2. At the top of the screen, click the Print icon. In the Print dialog box, select any printing options and click OK. Important: Anytime that you print or download from VIPR, the system will include your name as the author of the document. In several instances, it will also include the name of your organization. Opt Out Patients in an Opt Out status have notified Great Lakes Health Connect of their preference to keep their medical records exempt from the Virtual Integrated Patient Record. They will not have demographic or clinical information in the tool. Their privacy is completely honored by GLHC. For more information about Opt Out, visit the GLHC website: Patient Banner The (1) Patient Banner will display at the top of the screen. This banner contains (2) Name, Gender, DOB and MRN. It allows the user to (3) Create a Care Summary (reviewed later in this guide) or view the patient s (4) Profiles & Face Sheets. This Banner is available throughout all 5 tabs of the tool Patient Profile & Face Sheets Click on Profile & Face Sheets in the upper right hand corner of the Patient Summary to see the patient s Profile, including face sheets and demographics. 3 P a g e

4 Demographics The Patient Profile will automatically open to Demographics GLHC SSO VIPR User Guide The displayed information in the Patient Profile tab is based on data received by each health care organizations at the time the patient received care. To review other demographics or Face Sheets, click on the dropdown menu and select another organization. The Demographics tab includes Emergency Contact, Demographics, and Insurance Information. At the bottom of the page it will show the Patient Consent status of Opt In. The status will always display Opt In since there is no patient information for those who have opted out. Therefore, any patient who has opted out does not have any information in VIPR. 4 P a g e

5 Additional Options: GLHC SSO VIPR User Guide Click Print in the right hand corner to print demographics. Click To Patient Summary to return to Patient Summary Screen. You will find these two options throughout VIPR. Face Sheets The Face Sheets tab displays data according to a patient s in-person visit at a health care organization. To view this tab, simply select Face Sheets. The top portion of the Face Sheet tab includes high level information about an encounter including: Facility/Location, Acct #, Pt. Class, Admit Service, Admit Diagnosis (if applicable), Admit/Discharge date and time, and attending (if available). Click on a Column header to reorder according to the data in that column. View more than 5 events at a time by selecting 10 or All. Scroll to the next page of Face Sheets by either selecting the page number or clicking on the forward (or backward) arrow. 5 P a g e

6 To view a specific Face Sheet, click on that encounter line. GLHC SSO VIPR User Guide The Face Sheet will display below the list of encounters. Note: If you select view by All, you may need to scroll down past the list of all encounters to view the Face Sheet. The Face Sheet includes detailed information (if available) about an encounter including: Demographics, Visit Summary, Care Team, Allergies, Problems, Procedures, Emergency Contact, Guarantor and Insurance Information. 7 GLHC SSO VIPR User Guide Patient Summary The first tab in VIPR is the Patient Summary. This tab provides summary information about Reports, Problems/Conditions, Results, Allergies, Procedures, and Care Summaries If there is applicable data, each section will list up to the last three transactions for that category (1). A message will display if there are no records for that section (2). To view all data for a specific category, select All located at the lower right hand corner of each category (3). To view the details of a summary item, click on the desired line item (4) Note: Options 3 and 4 will take you to the either the Encounters or Results. You can return to Summary by re-selecting Patient Summary in the left hand navigation. Narrow the list of transactions, by selecting Inpatient, Outpatient or ER in the upper right hand corner next to Showing. 7 P a g e

8 Allergies If Allergy information displays: GLHC SSO VIPR User Guide 1. Click on a specific allergen, which will take you to the patient s Face Sheet 2. Select All Allergies which will take you to the Medications tab By selecting All Allergies you will be able to view the patient s Reaction and Severity level (if provided). If no allergies display in the Medications tab: In the following example the patient shows that they are allergic to Aspirin and Naproxen. When the All Allergies option is selected, it states No records to display. VIPR defaults to show the Last Year of information. Since the date the allergy information was sent to GLHC was 12/06/2014, it initially shows No records to display. Change the timeframs to All Records for the most accurate display of information. 8 P a g e

9 GLHC SSO VIPR User Guide Configure the Patient Summary The Configure icon within the Patient Summary window allows the user to arrange and hid sections. Configuration Options: Click and drag section to the preferred order Click the sign to hide this section from the Patient Summary main page To return hidden sections to view, click on the Once complete, select Save. The display choice will remain in effect until you make another change in the future. Encounters The Encounters section displays a patient problem list and encounter history. Change the default time frame from Last Year to All Records to see the most accurate display of information. You may also select a shorter period of time to Last 30 Days, Last 3 Months or Last 6 months. You also have the option of Showing just Inpatient, Outpatient, or ER. 9 P a g e

10 GLHC SSO VIPR User Guide Problems The Problems section includes the Description, Last Reported date and Code (if available). Click title columns to sort each category. Encounter History The Encounter History section includes the Date of encounter, Patient Class, Problems and Provider (if available). Click title columns to sort each category. Details To see more information about a particular encounter, click on that encounter row/line. Depending on the type of Encounter, you may receive one result or several results. See example below. Transcription and Lab Encounter (Partial screenshots): Filtering Encounters VIPR allows you to filter out unnecessary encounters if an Encounter has more than one type of result/information. Click on the radio buttons to include or exclude values from the filter. 10 P a g e

11 GLHC SSO VIPR User Guide Encounter Summary To view the summary of an encounter you have selected, simply click on Encounter Summary. Note: When selecting this button, it will generate a summarization and will also take you to Documents: Important: VIPR will include the user s name and organization as the author of this document if the Encounter is downloaded or printed. To return to Encounters, click the Encounters tab on the left. You will also need to reselect your search criteria if needed. 11 P a g e

12 GLHC VIPR User Guide Results The Results tab displays all diagnostic results by department (i.e. Lab, Rad, Trans, and Path) depending on what is within the patient s record. It also provides a variety of options to view information: Showing Provides the ability to display All results, or filter by Inpatient, Outpatient or ER Date Range - Results can be filtered by date range, months, year or All Records Filtering - Limit the Status and/or Type of the results you wish to display - Click on the radio buttons to include or exclude values from the filter Status Allows the user to filter results by: All, Completed, Corrected, Final or Preliminary Type If data is available, filter by Type of result: All, Lab, Rad, Trans or Path Search Text (or Quick Search) Allows the user to search for specific results or narrow down the information displayed Sorting - Clicking the header will sort the patients by descending order - All header columns have the same functionality - In each title field there is an arrow indicating directions: an arrow facing up indicates data is sorted in an ascending order, and the arrow facing down indicates a descending order Viewing- Select a specific result to display further details or to print the result if needed Abnormal results - Shown in red under the Alerts column Filter Status and Type by including or excluding radio buttons Select setting by All, Inpatient, Outpatient or Emergency Room Date Range Filter by Months, Year or All Records Sort Columns by Header Abnormal Results Alert 12 P a g e

13 GLHC VIPR User Guide Quick Search (Filter Results Text Box) This functionality allows authorized users to begin typing search criteria in the Search/Filter field on the Test Results screen. The records in the results list are filtered as each additional character is typed into the field. The search criteria are applied to all columns in the list (see cb example below). If no matching records are found, an appropriate message is displayed in the results list. Results that have an abnormal value will be highlighted by red text. Medications The Medications tab/section is only used to display Allergies. The Medication History and Medication Alerts features are not yet available in VIPR. By click directly on a specific allergy, you will be taken to the patient s corresponding Face Sheet which will display the date of the initial onset of the allergy. If provided, it may also show the reaction, severity, and the type of allergen (i.e. DR = drug, vs. food, environmental, etc.) To return to the prior Medications section, you will need to select To Patient Summary: 13 P a g e

14 GLHC VIPR User Guide Documents If there are Care Summary documents for the patient, they will be viewable in the Documents section of the patient chart. To View a Care Summary: Open a patient chart in VIPR 2. Click on Documents 3. Click on the desired date 4. Click the expand icon to show all of the care summaries available for each date listed (if there are more than one Care Summary for that specific date) 5. Click on the Care Summary to view 6. You can also Print or Save the Care Summary In addition, Care Summary documents can be created from data stored in VIPR. To Create a Care Summary (new patients/ no records): 1. Click the Create Care Summary button located in the Patient Summary window at the top of the screen 2. Select the type of patient identifier to include in the document - MRN or SSN a. Note: not all encounters include the SSN 3. Click Preview to view document details 4. You will have two options - Download or Print Download a Care Summary Click Download to save the document to a designated drive based on your organization s Privacy and Security policies. Depending on your web browser, you may see the following in the lower left hand corner of your screen: The document will be saved to your C: drive in the Downloads folder. GLHC recommends deleting the document per your organization s policy regarding PHI stored on common drives. 14 P a g e

15 GLHC VIPR User Guide When you open the folder, you will see the following screen. Follow the protocols and procedures of your organization on saving PHI documents into your EMR/EHR, etc. Printing a Care Summary Click Print to print the document. You will receive the following message. Either Acknowledge before printing the Care Summary or Cancel if you decide not to print. Depending on your internet and organization s configuration, select the appropriate printer and then follow your organization s privacy and security guidelines to store the document. Generated CCDs in VIPR Any Care Summary you generate will remain available for you while logged into VIPR. They will be deleted when you log out of VIPR or return to the EMR 15 P a g e
