1 Access General Ledger Standard Monthly Reports General Ledger Standard Monthly reports are run centrally and posted to the ereports portal at the end of every accounting period. Although the actual date the reports are available in the portal changes from month to month, Standard Monthly reports are generally posted to the portal by the 8 th business day of the month. Steps 1. Type in the address field of a Web browser and press [Enter].. 2. Click on the ereports Home Page. 3. Type your OSU Internet Name (formerly Kerberos ID) and press [Tab]. 4. Type your Password. If you do not know your OSU Internet Name or Password, contact the OIT Help Desk at 8-HELP (8-4357) or 8help@osu.edu for assistance. 5. Click. 6. Click the to the left of the Financials folder in the View pane to view its sub-folders. ereports Portal Job Aids 1 5/15/2008

2 7. Click the to the left of the Standard Monthly Reports folder. 8. Click the next to the appropriate Fiscal Year. 9. Click the VP/Dean or VP/College folder for your area. Tip: The folder names are fairly intuitive but if you need help, you can consult the Organization Tree report for more information. ereports Portal Job Aids 2 5/15/2008

3 Tip: Reports are stored at the Organization level at which the report was run. In the example above, any reports run for all of EDUCATION_HUMAN_ECOLOGY are available under the EDUCATION_HUMAN_ECOLOGY category and those associated with standard reports requests include STNDCOLL in the report name. If you have located the report you wish to view, skip to Step If the report you wish to view is not available at this level, click the appropriate lower level in the left frame. In most cases, the next level available will be a D node. However, some areas may have an intermediate college level before the D node. ereports Portal Job Aids 3 5/15/2008

4 If you have located the report you wish to view, skip to Step If the report you wish to view is not available at this level, click the appropriate lower level in the left frame. In most cases, the third level will be the last level available and will include categories for specific Organizations. Notice that at the Organization level, you only will find reports that were run for that specific Organization. ereports Portal Job Aids 4 5/15/2008

5 12. Once you locate the report you wish to view in the main frame, locate the appropriate period. If the report item contains multiple versions, (e.g. Financials Standard Monthly Reports) and you want to access a version of the file other than the most recent, then you must access the report item using the following steps: 1. Select Open Document from the File menu or use the [Open Document] icon in the Workspace menu bar. 2. Navigate to the report item you would like to view in the Open dialog box. 3. Expand the Options list to view the Version list. 4. Select the version of the file you would like to view from the Version list. 5. Click Open. The file you selected will open in a separate window within the Content Pane. Remember that the Versions Column in the Content Pane provides a visual indicator ( ) when more than one version exists for a particular content item as shown below. More Information The modified dates on versioned static content will not change as new items are loaded on a monthly basis. Users can open the most recent report to determine the date of the most recent version or view the Version list under Open Document to determine the load date. ereports Portal Job Aids 5 5/15/2008

6 13. Once you locate the report you wish to view in the Content pane, double-click it to open the PDF file. Click to print the PDF file. You may save the PDF report by selecting Save a Copy in the File menu. 14. You may add links to frequently used Standard Reports by using Add to Favorites. 1) Highlight the item to add in the Content Pane. 2) Select Add to Favorites from the Favorites menu. 3) Click the Favorites menu and view the added item. ereports Portal Job Aids 6 5/15/2008
