1 Importing Students When a large number of student accounts are being created or updated for the ThinkCentral, you may want to use the Import Users feature. This will eliminate having to create or update student accounts one at a time. A data file must be created in order to use the Import Users feature. This file must be saved in *.csv (comma separated value) format. You can create and save a *.csv file using Microsoft Excel. A *.csv file is also a standard file format that can be exported from many Student Information Systems (SIS). The ThinkCentral system requires that the *.csv data be set up in the following format. User accounts that are being created or updated can be combined into one data file. Please read through the description before setting up your data file. Harcourt ThinkCentral Page 1 of 6
2 Creating a Student *.csv Import File The system requires unique usernames. When you are finished entering data into your spreadsheet, give it a descriptive name and save it as a.csv file. Student File Layout TIP: The import file requires a header row. Any user data entered in this row will be ignored by the system. Create your file using the column structure listed below. Use the values below as entries in the columns. Columns marked with an asterisk (*) cannot be left blank. There is a limit of one response per column. If the student meets multiple criteria in a category, you may enter more than one designation by separating them with a pipe (use the uppercase backslash key to type a pipe. Example: 2 3). You can also add additional criteria after the import is completed by editing a student s record within the system. Adding a User Rules: Column Field Comments A* Action Add or update user A = add U = update B Reserved Leave this column blank C * User name Enter 1-32 alphabetic or numeric characters. D * Password Enter 1 32 alphabetic, numeric, or special characters. E * First name Enter user s first name, all alphanumeric characters and special characters (apostrophe) and (hyphen). Up to 32 characters are allowed. F Middle initial Enter the user s middle initial. G * Last name Enter the user s last name, all alphanumeric characters and special characters (apostrophe) and (hyphen). Up to 32 characters are allowed. H * Grade Use one of the following values: PK = Pre-Kindergarten Harcourt ThinkCentral Page 2 of 6
3 K = Kindergarten 1 = Grade 1 2 = Grade 2 3 = Grade 3 4 = Grade 4 5 = Grade 5 6 = Grade 6 7 = Grade 7 I Student ID Enter the 1 8 digit student ID. J Gender Use one of the following values: 0 = unknown 1 = Female 2 = Male K Ethnicity Use one of the following values: 1 = Unknown 2 = American Indian/Alaskan Native 3 = Asian 4 = Black or African American 5 = Hispanic or Latino 6 = Native Hawaiian or other Pacific Islander 7 = White 8 = Other L Special Services Use the following values (multiples allowed): 1 = IEP 2 = = Gifted/Talented 4 = Migrant Education 5 = Title I 6 = None M English Proficiency Use one of the following values: 1 = Unknown 2 = English Fully/Only 3 = English Proficient 4 = English Student Level 1 Beginning/Pre-production 5 = English Student Level 2 Beginning/Production 6 = English Student Level 3 Intermediate 7 = English Student Level 4 Advanced N Special Conditions Use one of the following values: 1 = Autism 2 = Visual Impairment 3 = Deaf Blindness 4 = Developmental Delay 5 = Hearing Impairment 6 = Orthopedic Impairment 7 = Multiple Disabilities Harcourt ThinkCentral Page 3 of 6
4 8 = Mental Retardation 9 = Emotional Disturbance 10 = Speech and Language Disorders 11 = Specific Learning Disabilities 12 = Other Health Care Needs 13 = Traumatic Brain Injury 14 = None O Economic Status Use one of the following values: 1 = Unknown 2 = No NOT economically disadvantaged 3 = Eligible for free lunch program 4 = Eligible for reduced-price lunch program 5 = Economically disadvantaged by other criteria P* Active/inactive status Enter the user s account status, active or inactive. 5 Adding new student accounts vs. updating existing accounts The system will treat a row as an update if the action column A has the value U and the user name entered in Column C already exists. Columns marked with an asterisk (*) cannot be left blank when updating a user. See table above for columns required for adding a user. There is a limit of one response per column. If the student meets multiple criteria in a category, you may enter more than one designation by separating them with a pipe (use the uppercase backslash key to type a pipe. Example: 2 3). Update a User Rules: Column Field Update comments A* Action Add or update user A = add U = update B * Reserved Leave blank. C * User name Updates are not allowed. User names that do not exist in your district will be added as a new user account. D Password If the password is different from the existing password, the system will update the password. If left blank, the system will not generate a new password for the teacher. The password will remain the same. E First name The first name will be replaced with the F Middle initial The middle initial will be replaced with the G Last name The last name will be replaced with the value entered. H Grade The grade will be replaced with the value entered. See the table above for the valid values. I Student ID The student ID will be replaced with the J Gender The gender value will be replaced with the K Ethnicity The ethnicity value will be replaced with the L Special Services The special services value will be replaced M English Proficiency The English proficiency value will be replaced N Special Conditions The special conditions value will be replaced O Economic Status The economic status value will be replaced P* Active/inactive status The account status value will be replaced Harcourt ThinkCentral Page 5 of 6
6 Using the Student.csv Import File To import the completed file, click the Students & Classes tab and click the Import Student Accounts link in the navigation menu. Browse to the location of the.csv file you created and select the file. Click the Start Import button. If there are any errors in your import file such as missing required data or invalid formats, you will receive an import failure page displaying the errors. No data from the file will be processed until the file is error-free. Make the appropriate corrections to the data in your.csv file, resave the file and repeat the import process.
