3 I. PURPOSE OF FACILITATOR S GUIDE FOR KEY CALLER TRAINING The purpose of this facilitator s guide is to provide guidance on the preparation and conduct of Key Caller training. The overview section provides details about the Key Caller training components and files. Section III contains a separate facilitator guide for the Overview of the Key Caller Role training module. Information for conducting an evaluation of the training for key callers is provided in Section IV. II. OVERVIEW OF KEY CALLER TRAINING Although one training module has been designed specifically for key callers, it is recommended that this training be supplemented by other trainings provided in the Operation READY materials. These other trainings consist of a series of topical modules. With this design, individuals have the flexibility to select and sequence the modules in different ways to meet the needs of different audiences. In addition, several modules have been designed to promote team building and to facilitate discussion and planning by having two audience groups present during the training. In this overview, the following information is provided about training for key callers: Recommended training sequence for key callers with description of each training module Estimated training time and materials for training modules. Description of Key Caller Training Components and Recommended Sequence Training with key callers can be conducted in several different ways. Here are some options to consider. COMBINATION INDIVIDUAL AND JOINT TRAINING OPTION While it is important for key callers to have a good understanding of their role and responsibilities, key callers are part of the FRG leadership team. For this reason, it is recommended that they attend FRG training with other FRG volunteers. An added benefit of conducting joint training is to facilitate discussion on unit specific procedures and to develop effective working relationships. (See option on page 4 of a proposed sequencing of modules for key callers.)

OVERVIEW OF KEY CALLER TRAINING: INDIVIDUAL AND JOINT TRAINING OPTIONS INDIVIDUAL TRAININGS JOINT TRAINING Training Modules Brief Description of Module Content One Hour and Half Day Trainings (primarily company level key callers) Follow-on Joint Training with FRG Representatives (primarily company level FRG volunteers, may include FRG leaders) Overview of Key Caller Role Defines the responsibilities of the key caller and provides guidance on performing this role 1 FRG Overview (in FRG training series) Defines the mission, role, and structure of FRG program 2 Communicating with Families (in FRG training series) Provides guidelines on how FRG mission essential activities are to be conducted 3 FRG s Tasks in The Deployment Cycle (in FRG training series) Expectations and Role of FRG Volunteers (in FRG training series) Identifies the FRG s role and activities in each phase of deployment cycle Identifies the roles and responsibilities of key FRG volunteers and the support available to volunteers 4 5 Working with the Family Support Network (in RDC family readiness training series) Identifies the key military and civilian agencies the FRG (and RDC) need to work with to support Soldiers and families 6 Crisis Intervention (in RDC family readiness training series) Note: Information on Family Readiness Groups is provided in the Operation READY FRG training series. Key callers are expected to attend select modules from this training series, preferably with other FRG volunteers. (See Facilitator s Guide for FRG Training for further details.) Two additional modules from the RDC family readiness training series are recommended for key callers. Key callers should attend the FRG training prior to attending the two modules from the RDC training series. This training can be provided to key callers alone or with FRG leaders and rear detachment commanders present. INDIVIDUAL TRAINING OPTION All of the training could be conducted with key callers alone. The selection and sequencing of modules is left to local discretion. However at a minimum, key callers should receive the following training: Overview of Key Caller Role FRG Overview Expectations and Role of FRG Volunteers Working with Family Support Network. Provides guidance on how to handle family crises 7

The PowerPoint slides (PPT) can be downloaded by clicking the underlined link in the table below (PPT can also be accessed in the FRG or RDC Training folder). A list of the handouts for each module is provided. The handouts for the module, Overview of Key Caller Role, may be found in the Operation Ready Smart Book. A copy of the handouts for other modules may be found in the facilitator s guide for the specific training module. 6 II. OVERVIEW OF KEY CALLER TRAINING Information About PowerPoint Files A set of PowerPoint slides is available for each training module. In addition, there are PowerPoint slides containing the training agenda and objectives for the full Key Caller training series. The PowerPoint slides can be accessed by clicking the PPT link on page 5 or from the PPT folder. The text appearing on PowerPoint slides are the talking points. Some slides contain additional talking points and explanations in the notes page. Instructions to the facilitator are also provided on the notes pages and appear in red italicized font. These instructions: Specify whether the facilitator should read the text in the notes page or on the PowerPoint slide Provide directions for conducting a group activity or discussion Indicate when a handout should be distributed to the audience. Having provided the PowerPoint slides, the training facilitator s preparation burden is minimized. However, facilitators can and are encouraged to supplement the slides (or discussion) with information pertaining to their local community(s) and populations they serve. When conducting the training, the PowerPoint slides may be projected from a LCD projector using the CD provided. If this is not feasible, then two alternatives are: 1) copy PowerPoint file to a jump (also called travel) drive or computer and project the copied file to a large screen from a computer, or 2) copy onto overhead transparencies and use an overhead projector. Information About Facilitator Guides for Training Modules A two-page facilitator s guide is available for each training module. Each facilitator s guide contains the following information: Goals states what the audience is expected to learn from the training References indicates what sections of the Operation READY products were used to develop the training module Proposed training facilitator it is assumed that in many instances, training will be given by ACS or Family Program staff; however, when other individuals can conduct the training, these individuals will be identified Audience group scenarios although the Key Caller training is intended to be given to key callers, much of the other training that key callers will receive is applicable to other groups (e.g., all FRG volunteers); all applicable audience groups will be identified and, in some cases, it will be recommended that two different groups participate in the training together Training format all modules are given as an informational presentation; however, when group discussions or exercises are included this is noted Training time provides an estimate of the length of training; Note that in some modules time needs to be allocated for group discussions or Q & A at the end of training Room requirements describes the recommended room arrangements for conducting the training Facilitator s preparation identifies the planning and training preparations and logistics needed to conduct the training; this section also identifies the handouts for the training. The Facilitator s Guide for FRG Training contains the facilitator s guide for each specific training module in the FRG training series. The Facilitator s Guide for Rear Detachment Commander Training contains the facilitator s guide for each specific training module in the Rear Detachment training series. The facilitator s guide for the Overview of the Key Caller Role training module appears in the next section of this facilitator s guide (Facilitator s Guide for Key Caller Training). 6

FACILITATOR S GUIDE FOR KEY CALLER TRAINING MODULE Overview of the Key Caller Role: Facilitator s Guide The facilitator s guide for the Overview of the Key Caller Role provides information about how this training module is to be given. Information about preparations and resources for this training is also provided. Goal Key callers will develop a good understanding of the key caller role. References 1. Operation READY FRG training Proposed training facilitator ACS/Reserve Component Family Programs staff are to give this presentation to key callers Audience group scenarios 1. Key callers 2. Key callers and FRG leaders Training format Informational presentation Training time One hour (approximately) Room requirements This presentation requires a room large enough to accommodate the participants comfortably. The room should be arranged for maximum visibility of projected training slides/transparencies. Facilitator s Preparation The facilitator is responsible for leading the workshop, which includes set up; printing or copying slides, handouts and other materials; and conducting training (including distributing materials). To prepare for this training, the following tasks need to be done: 7

Assemble materials and copy/print the number of materials needed to include: Operation READY Key Caller Handbook (can be found in the Operation READY Smart Book) Volunteer Position Description for Key Caller (If FRG leaders are invited, ask FRG leaders to pull and bring Key Call Position Description from their unit s file; note a sample position description can be found in the Operation READY Smart Book) Directory or list of local contacts (can be found in Operation READY Smart Book) Military and civilian community resource list (can be found in Operation READY Smart Book) Local military and civilian community directories Sample Family Contact Form (can be found in Operation READY Key Caller Handbook and Operation READY Smart Book) Provide a copy of PowerPoint slide set to each participant (optional, but highly recommended) Prepare transparencies, if using Have PowerPoint file available, if using computer Logistics Reserve a room large enough to accommodate the number of participants. Consider having the FRG leaders representing the same unit as the key callers be present at this training session. Depending upon the size of the key caller group, invite one or more FRG leaders. Request each FRG leader be prepared to discuss the telephone tree protocols they have established for their FRG and any forms key callers will need to use. Also ask each FRG leader to bring copies of their written job descriptions for Key Caller position to provide to their key callers. Obtain equipment and supplies to include: Flip chart paper on easel and colored markers Masking tape for securing chart paper Pens and pencils for participants use Overhead transparency projector OR Laptop computer with LCD projector and screen
9 IV. EVALUATION OF KEY CALLER TRAINING It is recommended that an evaluation of the training conducted with key callers be conducted after all training modules have been given. The purpose of this evaluation is to provide the facilitator with information that will be useful for conducting training with key callers in the future. An evaluation form, which appears on the following page, is provided for your use.
