4 Overview Welcome to the EleVia Electronic Invoicing (EI) 6.0 Release Notes. These release notes contain a summary of the following: Pre-Installation Information EI 6.0 Software Enhancements IMPORTANT NOTE EI requires the EleVia Service for functionality. This is a separate install/upgrade from the main EI application. EI also requires clients to use Microsoft Exchange for their service. Pre-Installation Information Supported Environments EleVia Software s Electronic Invoicing 6.0 is designed to work on any server and client running Deltek Vision 7.x, provided that direct access to the Vision database and to the PDF files is possible. EleVia Software s Electronic Invoicing has limited support in a hosted environment or an internet-only connection, since access to the PDF files on the file system is not possible in that environment. The use of a VPN (or other similar LAN login technology) is recommended for connections outside the LAN where Vision is installed. For additional details about non-vpn connections, please contact EleVia Software. Technical Considerations EleVia Software s Electronic Invoicing 6.0 uses.net Framework. All client systems running EI 6.0 will need this framework installed. (Vision 7.3 or later uses.net Framework so no action should be necessary.) A web application component is required for Transactional Document Management (TDM) support in Vision and if used, requires.net on the webserver. Note that.net will exist alongside.net 3.5 as required with Vision prior to Vision 7.3. Starting with Vision 7.3.Net is required. Upgrade Considerations EleVia Software encourages clients to upgrade to the latest version of Electronic Invoicing because: New features are added only to the latest version Except in critical situations, EleVia fixes software issues only in the latest version EleVia support is typically available only for the latest and the next previous version The latest version incorporates the newest technologies and tools. 4

5 EI 6.0 Software Enhancements EleVia Grid / EleVia Transactions Both EleVia Grid and EleVia Transactions have been made compatible with the Cloud for clients not accessing Deltek Vision on premise. Employee Delegation Employee Delegation has been added to allow an employee, the delegate, to perform actions on behalf of another employee. Delegation does not apply to full accounting roles or full access to the software, but only to the ability to review and modify invoices. Employees are able to specify a delegate for themselves over a given timeframe, and if required via configuration, an accounting user will approve, reject or modify that delegation. Please see Appendix A for configuration details. Main Grid Enhancements Save Grid State Improved Columns can be now be hidden or shown by right-clicking on any grid column. The maximum width for columns can also now be set by resizing a column. The summary row configuration will now be saved in grid state. These settings are per application user. Custom Columns Formatting Input custom columns can now be formatted similarly to view-only custom columns. Requires SQL scripting. Please contact EleVia Software for more information. Performance Improvements The load time for custom columns that utilize the same data as another column can now be eliminated. That is, a single column s SQL can now provide the data for multiple columns. For example, in the past columns for JTD Unbilled, JTD Held, Current Spent and JTD Spent would all have to query the LD table and 4 Ledger* tables. Now a single column can query these tables once and the results can be used for all 5 columns. This results in an 80% reduction of query time. For details please see Appendix B. 5

6 Packaging Enhancements Additional Template Parameter Added templates can now specify the From address for s generated via Packaging. templates can now support multiple PDF Packages going to the same client contact(s) in a single with multiple attachments for each PDF file. Requires setup and using the new AttachInvoicesFor parameter in the template to identify with a sql query which projects can be ed together. Unit and other custom templates can be created include any TDM documents in a package. Contact EleVia Software via support@eleviasoftware.com for more information. PDFs Open in New Window Option An option to open PDFs in a separate window has been added to the Grid drop down menu. This option allows for using multiple screens more efficiently with the main grid in full size mode and the PDFs on a separate screen, if desired. The PDF window tracks with the main grid row selection. In addition, on-the-fly separation or re-joining of the PDF window is supported via a new tool on the PDF toolbar. 6

7 PDF Toolbar Enhancements Text Selection tool has been added to the PDF Toolbar. This option will allow the user to select text in the document, copy and paste outside of EI. % Complete Grid Enhancements New Current Billing column has been added to the % complete grid. This column will display the Current Billing amount after updating the new %. This is a ready only calculation of two existing fields, New Fee to Date Cur Fee to Date 7

8 Upgrade Process If the client performs the upgrade, there is no charge from EleVia Software. If EleVia Software performs the upgrade, we bill on a time and material basis. A signed Work Authorization is required before work begins. We include in the upgrade: o o o o Software installation Report load Re-notification setup Assessment of current EI use and recommendations for improvement. Contact EleVia Software via support@eleviasoftware.com and provide the following information: o o Whether you will perform the upgrade or want our assistance as described above. The timeframe in which you d like the upgrade to occur we appreciate a 3-5 day timeframe so we can include it into existing schedules. EleVia Software will send a link to download the software a few days in advance of the upgrade. If EleVia Software will assist with the upgrade, we ll provide our available dates and times within the timeframe requested by the client. Optional Post-Upgrade Actions Review Delegation in General Configuration to enable the new delegation features. If the load time for your users is too long, and you already only load EI once per day in the morning (recommended), contact EleVia Software to discuss using data cached the previous evening. This method substantially improves response time. However, cached columns will no longer reflect real-time data. Review EleVia Grid and EleVia Transactions to determine if these modules will benefit your firm. Perform user training. 8

9 Appendix A Employee Delegation Configuration All delegation configuration is done on the General tab of the EI configuration window as seen here: Configuration Options Delegation Enabled This option toggles access to delegation features throughout the application. By default delegation is disabled. Approval Required Delegations are either immediately active, or they must be approved by the appropriate EI users before they become active. Enable Employee Self-Delegation Employees may be provided the option of selecting their own delegates for specified periods of time, though approval may still be required. Employees/Roles with Delegation Approval Rights (Custom) A semicolon-separated list of employees and/or Vision roles that are permitted to approve delegations for other users should be entered in this textbox (only applies when the Approval Required option is checked). 9

10 Enable Supervisor Delegation Approval This option allows the delegation requests of employees to be approved by their supervisors. Delegation Entry and Approval Delegations are entered and specified in a separate windows, opened by clicking the newly added Utilities Delegation menu item. Depending on the configuration options for delegation, each user may be presented with different options within this Current and Future Delegations window: When a delegation is needed, the EI user will click the Insert toolbar option. They select the employee who is to be the delegate (Delegate column) for a specific employee (Employee column) for a certain date range, with the optional ability to limit the delegation to a certain client (For Client column) or a certain project (For Project column). Users with approval rights will see a green checkmark button ( ) column as seen here: After reviewing the delegation request, they will then click the checkmark button for each approved delegation. For delegations not approved, the row will be selected and the Delete toolbar option will be clicked. 10
