2 Data Policy How it Works Data Policy Data policies model your business rules and enable automation of processes around data records. How it Works When a data policy is triggered, the data record is evaluated against a set of criteria, and action is taken on the record when the criteria are met. A data policy includes these elements: Activation Trigger Criteria Actions Activation Triggers A data policy can be activated by a calendar event or an activity. Calendar-Based Activation Calendar-based activations require that you specify a schedule and policy criteria. Schedule You will be asked to define the following schedule values: Start Date and Time Non Repeating or Repeating (Daily, Weekly, Monthly, Yearly) End Date or Never-ending Criteria The criteria you set is dependent on your data and the nature of your application. In a calendarbased activation, you will have dates and data fields to work with, so your criteria will check that: Date field (Date Created, Date Modified, etc.) is within a specified period Record data fields match a specific value in a formula The Advanced Fields Criteria section is a powerful structured query tool which supports the creation of complex criteria. 2

3 Data Policy Activation Sequence Examples of calendar-based policies: In a front-desk reservation system, you might set the criteria to verify that the check-in date must be in the future (after Today), and the check-out date follows the check-in date In a doggy daycare system, you might check that the pet owner s account has enough pre-paid credits for that week s care In a manufacturing operation, the parts department might want to know if inventory on a popular part is low Action-Based Activation Action-based data policies can be triggered when any of the following actions occur: Add a record Update a record Delete a record Ownership Change Workflow State Change You can create data policies for all custom objects, and all standard objects except Products and Price Books. Criteria Once triggered, the data policy applies an additional criteria check. If the criteria does not match, the associated actions are not applied. Criteria checks give you field-level evaluation of your data records. Activation Sequence You can choose to activate the policy before or after the triggering action. Select After Triggering Actions to enable all actions Select Before Triggering Actions to create custom scripting for interaction with external databases via JumpScript Actions Actions are applied automatically, when triggered by a data policy. Available Actions Tasks Messaging Description Create a task and assign it based on roles Send an message based on roles Optionally, send the message to an individual address 3

Developers can use our global defined function calls as well as create their own functions to perform a variety of automated actions based on the criteria specified by the data policy. You can create data policies for all custom objects, and all standard objects except Products and Price Books. 4
