Creating a Newsletter Microsoft Publisher assists you to create professional-looking newsletters. Publisher makes it especially easy by giving you hundreds of professional designs to start from. All publications are composed of independent text and picture elements that give you unlimited flexibility in page layout. In this lesson, we will create a newsletter from a pre-designed template, identify the independent design elements, and modify the design. After the pre-designed publication opens; we will replace the placeholder text and pictures with our own information. The newsletter we will create will be for Fantasy Cruise Lines and will give general information regarding an upcoming cruise. How to Open Publisher 1 Click the Start button and choose Programs, and then Microsoft Publisher. When Publisher first starts, the Microsoft Publisher Start Window appears containing the Task Pane on the left, Popular Publication Types in the center and Recent Publications [files that have been saved] on the right. Publication Types and Popular Publication Types offer various types of designs and layouts. Microsoft Publisher 2007 Creating Newsletters 04/08 3

Basics of Design You want your publication to look good, be noticed for the right reasons, and impress the reader. You start by putting together the basics - the text and then you add clip art and give personality to the page. There are three things that help guide you in laying out your publication: Simplicity Consistency Contrast Simplicity Keep the design simple to help your readers get the message immediately. Limit the number of elements on each page and make sure each element is working toward your objective. Consistency Consistency unifies a publication and enables readers to see at a glance how the information is organized. Although consistency matters in a single-page publication, it is especially important in longer publications because it helps guide readers smoothly through the text. Keep spacing regular throughout your publication. Keep margin widths the same on every page. Maintain the same amount of space between each heading and its body text, or between pictures and their captions. Use a consistent logic for your fonts. Use one alignment for the body text of a publication. Contrast Add contrast to pulls the reader s eye to what is important. Make different elements look really different. If you are using color, choose strong contrasts such as black and yellow. Boldness adds to the page by placing a dominant element on each page. Microsoft Publisher 2007 Creating Newsletters 04/08 4

Choosing Fonts There are thousands of fonts, which mostly fall into three categories serif, sans serif, and script. Serif fonts have small finishing strokes on a letter. Serifs encourage the eye to move from letter to letter. Thus, serif fonts are easily readable and especially suitable for large amounts of text. Serif fonts are typically used for text heavy publications such as books and newspapers. Examples of Serif Fonts: Book Antiqua Calisto MT Garamond Times New Roman Sans serif font characters have no serifs (sans means without in French). The clean, simple lines of sans serif fonts make them ideal for headlines and other large text that must catch the reader s attention. Sans serif subheadings in smaller sizes create a pleasing contrast with paragraphs in a serif font. Examples of Sans Serif Fonts: Arial Franklin Gothic Text Verdana Script fonts are designed to make letters look connected and imitate handwriting. Examples of Script Fonts: Bradley Hand ITC Brush Script French Script MT Lucinda Handwriting Microsoft Publisher 2007 Creating Newsletters 04/08 5

Publisher Newsletter Terminology As you create professional-looking newsletters, you should be aware of several desktop publishing terms. Text Boxes In a newsletter publication, each column is a separate text box and the text boxes are connected so the text flows from one column to the next. You can place a text box anywhere you want on a page, make it any size you want, divide it into columns, and connect one text box to another so text flows between them even if the text boxes are on different pages. Frames (Picture) Pictures exist within a container called a frame. Frames give you the same control over pictures that text boxes give you with text. You can place a picture anywhere on a page including inside a text box and you can change its size and appearance. Newsletter Title The title of your newsletter is typed in this frame. Storylines The title of article, it tells the reader what the story is about. Body Text The body text is the story. Caption A small text frame next to a picture to describe the picture. Pull Quote A quotation pulled from the text of the document and given emphasis so it stands apart and grasps the attention of the reader. Microsoft Publisher 2007 Creating Newsletters 04/08 6

The Publisher Window The Publisher Window looks similar to other Windows software you use. A quick tour of the Publisher Window: Title Bar Menu Bar Standard Toolbar Formatting Toolbar Status Bar Task Pane Displays the name of your publication and contains the Publisher Minimize/Restore/Maximize and Close Buttons. Displays sub menus to choose various actions. Displays many frequently used icons such as save, cut, copy, paste, etc. to quickly make changes to your publication. Displays font, font size, text alignment and various icons to quickly make changes to your publication. The Status bar is unique (compared to most other Windows software). It has four elements. The Object Position Indicator and the Object Size Indicator are related to any selected object if no object is selected, the Object Position indicator displays the mouse pointer s position, and the Object Size indicator is empty. By default when you start Publisher the Task Pane appears at the left edge of your Publisher Window to give you a quick way to begin a publication, open a document, or ask for help. Task panes typically contain information and options that are relevant to what you are doing, such as inserting clip art or changing the color of your publication. 8 How to Use the Objects Toolbar Everything you enter into a publication is stored within a frame, and the frames you need are created with the Objects toolbar. This toolbar is positioned vertically on the left side of your screen, but you can move it by placing your pointer on the ridge at the top of the toolbar and dragging it to a different location. The objects that we will use in class are shown. A few of the buttons that we do not use are not described on the Toolbar. Select Objects Text Box and Vertical Text Box Insert Table Graphic Frames Shapes Design Gallery Object The first (topmost) button on the Objects toolbar is the Select Objects button. Click it when you need to have your mouse pointer work in its usual fashion instead of displaying a special pointer indicating some task that is in process. You can also click anywhere in the Publisher window, outside the pages, to accomplish the same thing. Use the Text Box Tool to create plain text boxes with either a horizontal or vertical text orientation. Use the Insert Table Tool to insert table frames. The next two buttons are for creating graphic frames. Use the Insert WordArt Tool to create WordArt. Uses the Picture Frame Tool button to create a frame to hold a picture file or a Clip Art from the Microsoft Clip Art Gallery. The four Shapes buttons are Line Tool, Arrow Tool, Oval Tool (used for circles), Rectangle Tool (used for squares), and the AutoShapes Tool are used to open a selection of shapes you can choose from. Use this when working with regular publications (not Web publications) to open the Design Gallery where you will find special elements such as calendars, coupons, and various attention-grabbing designs. 9 Starting the Newsletter If Publisher is not already open, click the Start button and choose Programs, and then Microsoft Office Publisher Click Newsletters in the Task Pane. In the Newsletter [center section] scroll down until you find the Vintage Newsletter and select it by clicking it and then click the Create button. Custom Designing the Newsletter After selecting the Publication Design, you can custom design the newsletter. The Task Pane displays various options you can select for the newsletter. Color Schemes We will change the Color Scheme to Aqua so that the newsletter has a nautical color. 1 Click on Color Schemes in the Task Pane. 2 Scroll up until you find Aqua, and then click on it. Font Schemes Font Schemes allow you to quickly format the newsletter title, story headlines, and body text of your publication. 1 Click on Font Schemes in the Task Pane. 2 Scroll down until you find Monogram, and then click on it. Microsoft Publisher 2007 Creating Newsletters 04/08 9

Working with Existing Text Frames How to Replace Sample Text 1 To view the Newsletter Date close up, click the Zoom In (Magnifying Glass w/ + sign) button on the Standard toolbar a couple times. 2 Click the Newsletter Date text frame; replace it with the current month and year. 3 Click outside the frame when you are finished. 4 Click into the Newsletter Title frame and replace it with Fantasy Cruise Lines. 5 Click outside the frame when you are finished. Zoom In/Zoom Out Buttons 6 Click into the Lead Story Headline frame and replace it with Welcome Aboard! include the exclamation point. 7 Click outside the frame when you are finished. Inserting Text Files In many cases, someone else will have typed an article for your presentation and rather than retyping it, you can insert it. Most of the text we need has already been typed previously and saved so we will insert those files. 1 Click inside the Lead Story Headline body text frame. 2 Click Insert on the Menu bar and then choose Text File. 3 Locate the Welcome Aboard text file and highlight it and then click OK. Updating Font Schemes Because the story for Welcome Aboard was typed in Times New Roman font, it remains in the original font when it is inserted into Publisher. When creating publications, it is always a good idea to format as you go so you can see exactly what the final results will look like. 1 Be sure the cursor is somewhere within the Welcome Aboard story text and click on Font Schemes and then Monogram. 2 Click outside the frame when you are finished. We will adjust the text after inserting the picture. Microsoft Publisher 2007 Creating Newsletters 04/08 10

Deleting Frames We will replace the black and white picture in this frame with a color picture. Since the existing picture is in black and white, inserting a new picture will remain in black and white. 1 Click on the picture frame inside the Welcome Aboard body text and then press the Delete key on the keyboard. 2 Click on the caption frame inside the Welcome Aboard body text and then press the Delete key on the keyboard 3 Click on the last text frame in the Welcome Aboard body text and then press the Delete key on the keyboard. 4 We will resize the frames to accommodate the text shortly. Working with Clip Art & Pictures Clip art and pictures draw the reader s attention. You can insert clip art or pictures from the clip art gallery or insert your own pictures. There are two ways to add a new picture to a publication: Replace a placeholder picture in an existing frame, using the Change Picture command. Create a new frame with the Picture Frame tool, and put a picture in it. Inserting Clip Art We will insert a picture of an anchor in the welcome aboard section. 1 Click on the Picture Frame tool on the Object toolbar and choose Clip Art. 2 The Clip Art dialog box appears in the Task Pane. 3 In the Search for box type in: anchor and press ENTER or the Go button. 4 View the various anchors. When you find the one you like, click on it and it inserts into the frame. Microsoft Publisher 2007 Creating Newsletters 04/08 11

Deleting & Resizing Frames Since the Welcome Aboard text is only three paragraphs, it would make sense to place three paragraphs in two text frames rather than the default three paragraphs. 1 Move the anchor Clip Art so it is out of the way of the body text frames. 2 Click on the first body text frame for Welcome Aboard. 3 Drag to resize [two-way arrow] until it is taking up about half of the body text space while allowing for approximately a half inch space between text frames. 4 Click on the second body text frame for Welcome Aboard. 5 Drag to resize [two-way arrow] until it is taking up about half of the body text space while allowing for approximately a half inch space between text frames. 6 Click on the third body text frame and press the Delete key on the keyboard. 7 Click the anchor frame to select it; this causes sizing handles (small outlined circles) to appear around the frame. 8 Place the pointer on one of the sizing handles and the pointer turns into a Resize pointer (two-way arrow). 9 Press and hold the left-mouse button as you drag inward so that it is approximately 1 square inch. 10 Move the Welcome Aboard! text frame if necessary. 5 Place the anchor Clip Art in the center of both columns. Tip: Holding down the SHIFT key while choosing one of the diagonal resizing handles retains the clip s image. Formatting Font As mentioned earlier, it is always a good idea to format as you work to see the results. We will now format the text alignment and tracking. Text Alignment & Font Size In most cases you will want text in a newsletter to appear like newspaper columns. In newspaper columns, the text is justified. 1 Click into the Welcome Aboard body text and press CTRL+A on the keyboard to select all the text within the frames and then click the justified alignment button the Formatting toolbar also, change the font size to size 12. Microsoft Publisher 2007 Creating Newsletters 04/08 12

Adjusting Text with Tracking Tracking allows you to adjust the relative space between characters for selected text. By increasing tracking amounts, you are able to fit more words in the same amount of space. 1 If the text is not still selected from the above exercise, Highlight all text in the Welcome Aboard body text frame by clicking Edit and then Select All. This is another way to select all the text. This time we used the mouse rather than a shortcut. 2 Click Format on the Menu bar and then choose Character Spacing. 3 Click the down arrow under the Tracking option, and choose Loose and click OK. 4 Adjust the text frame or picture if necessary. Completing Page 1 We will delete three objects at once by selecting all of them and then choose Delete Object. We will keep the Secondary Headline frame for use shortly. Deleting More Than 1 Object at One Time 1 Click on the Special Points of Interest frame, hold down the CTRL key on the keyboard, while keeping the CTRL key held down, click on the first, second, and third text frames in the Secondary Body Frame, and then right-mouse click on one of the frames and then choose Delete Object. Moving Text Frames 1 Place the pointer on the outside edge of the Inside this issue frame and the mouse becomes a four-way arrow. 2 Press and hold the left-mouse button as you drag the frame so that it is adjacent to Welcome Aboard. 3 Resize it so that it is as long as the text frames in the Welcome Aboard body text frames. Microsoft Publisher 2007 Creating Newsletters 04/08 13

Replacing Text in a Table This is basically a brief table of contents for your newsletter. We will replace the text to match the story with the page number. Usually this would be done last after all stories are where you want them. Click the Zoom In button if needed. 1 Replace the words and page numbers to match below: Accommodations 2 Dining 2 Spa & Salon 3 Mexican Riviera Cruise Itinerary 3 Booking Special 4 Onboard Activities 4 2 Click into the last row and click Table on the Menu and then click Delete and choose Rows. 3 Resize the Table again so that it extends to the end of the Welcome Aboard text frames. Creating a New Text Frame We will add a new text frame at the bottom of Page 1. Because we create a new text frame with the Font Scheme already selected, the font scheme will apply to any new text frames. 1 Before we create the new text frame, click into the Secondary Story Headline frame and replace the text with: Destinations 2 Click the Text Box Tool on the Object toolbar. 3 Press and hold the left-mouse button down and create a text frame to fill in the space below the Destinations Headline frame [the frame only, not the length of the blue shading]. 4 Increase the Font Size to 14 and type the following text: Mediterranean [press the ENTER key] Caribbean [press the ENTER key] Mexican Riviera [press the ENTER key] Alaska [press the ENTER key] 5 Highlight all of the above and click Format, and then Bullets and Numbering and choose the Diamond bullet and click OK. 6 Click the Center align button on the Formatting toolbar. Microsoft Publisher 2007 Creating Newsletters 04/08 14

Drawing Lines We will add a finishing touch to the headline, Fantasy Cruise Lines by adding Lines. 1 Click on the Line Tool button on the Object toolbar. 2 Draw a line the length of Fantasy Cruise Lines frame. 3 Click the Line/Border Style from the Formatting toolbar and choose the 3pt line. 4 Click on the Line, click Copy on the Menu and then click Paste. 5 Move the copied Line to the bottom of the Fantasy Cruise Line heading. See example to the left. Page one is finished for now. Designing Page 2 On Page 2 we will insert two pictures and two text files as well as format font schemes, text alignment, and change column layout. 1 Click onto the Page 2 icon at the bottom of the Publisher window. 2 Click into the first Inside Story Headline frame and replace the text with: Accommodations We will change the number of text frames to one for this page. 3 Click inside the Lead Story Headline body text frame and press CTRL+A if needed to select all the text. 4 Click the List Arrow on the Task Pane and click on Page Options and choose 1 Column under Columns on Left Page. [If the Task Pane is not visible, click View on the Menu and click Task Pane]. 5 Use the multiple-delete objects method (click on one frame, hold down the CTRL key and click on the remaining frames) delete both pictures, the second Inside Story Headline frame and the body text frames below it as well as the body text frame at the bottom of the page, and the second picture caption at the bottom of the page. 6 Click into the body text frame, then click Insert on the Menu bar and then choose Text File. 7 Locate the Accommodations text file and highlight it and then click OK. Microsoft Publisher 2007 Creating Newsletters 04/08 15

Printing a Publication You can print the entire publication or just a single page. 1 Click File on the Menu bar and choose Print. 2 The Print dialog box appears. 3 Choose to print either the entire publication (default print setting - All) or choose a certain page or current page in the Print range and click OK. 4 Print if you would like to have a copy of the exercise, otherwise just close Print Preview without printing.
