1 Switching from Appleworks 6 to Microsoft Word 2004 for Mac In the school year, Appleworks will no longer be on school computers. Therefor it is necessary to convert all Appleworks files into a newer formats. Why are we switching? From Apple, over 2 years ago, Appleworks has been discontinued and is no longer available for purchase. There will be no further software updates. Appleworks, while a great, comprehensive suite of products in its time, is no longer supported by Apple and there are a slew of issues that arrise once it is run on the more current Apple operating systems. For these reasons, we have decided to move forward. Why are we using Microsoft Office and not iwork, which is Apple s replacement for Appleworks? After much consideration, Microsoft Office was chosen because it is the industry standard. However, if you are an iworks user, that is fine too. Our students K-8 will be exposed to both, but an emphasis will be placed on Word starting in 3 rd grade. In Appleworks: Word Processing Spreadsheets Database Painting/Drawing Presentations In Microsoft Office: Word Excel Excel, Access (not on computers-contact Tammy Ebert if you have a need for this) Word (Tuxpaint is another replacement) Powerpoint In this handout you will find: How tos for converting your files Basics of Word, Excel, and Powerpoint How to contact me if you need help. 2 Converting your documents from Appleworks: If you used WORD PROCESSING, try one of these: Open the Appleworks document, go to SAVE AS FILE FORMAT and choose Mac 98, 2001 doc. A copy of your document will be saved using Word. OR Locate the Appleworks document and right click, or press control and click. Slide over to Open With if Word does not show up the first time, go down to Other and find Microsoft Office, Microsoft Word. There is a little check box that says Always open with that you can mark to make sure Appleworks documents always open with Word. If you used SPREADSHEET, you will need to open the spreadsheet in Appleworks, highlight all of your data and go to EDIT COPY (or command C on keyboard). Open Excel (Application Microsoft Office Excel). Click in the blank sheet, on cell A1. Then do EDIT PASTE (or command v) on the keyboard. If you used DRAWING or PAINTING, Word will not automatically open your work.try this: Open the Appleworks Draw document, go to FILE SAVE AS FILE FORMAT PNG. This saves the document as an image, one that can be scaled and resized without distorting it. Open WORD and drag or paste the PNG image into the document. If you used PRESENTATION, then there is one extra step. Right click (or command click) on the presentation. Slide over to OPEN WITH and select Keynote. Keynote is Apple s newest version of presentation software. When you go to save your presentation in Keynote, go to FILE - EXPORT and choose PPT (powerpoint). 3 Getting Started: Appleworks used Starting Points, a menu of the different applications within Appleworks. Microsoft Office uses a Project Gallery for the same purpose. Depending on what application you are opening, Office will pick the application that it thinks you will want. If you are opening Word, Word Document will be highlighted. 4 If you were able to comfortably use Applework, you will be able to use Microsoft Office. As with most of these programs, the capabilities are similar, but the tools are in different places. On the next few pages I will be showing you were the tools are located in office. Let s take a look at WORD. MICROSOFT WORD Purpose: word processing Replaces: Appleworks word processing To OPEN a new document: FILE OPEN Command + N To SAVE a document, FILE SAVE AS Command + S To PRINT a document, FILE PRINT Command + P To OPEN a document, FILE OPEN Command + O There are several ways to get to the same tool within Word on the Mac. 1. All In One One Stop Shop the FORMATTING PALETTE. Go to VIEW FORMATTING PALETTE. Each section expands to show more tools. Click on the triangle next to each section to open it up. 5 2. All of these same tools can be accessed through various TOOLBARS and KEYBOARD SHORTCUTS. What it amounts to is that you can choose the technique that meets your needs. There are literally pages of keyboard shortcuts.
