1 PRESENTING INFORMATION LEVEL 1

2 INTRODUCTION OCN (or Open College Network) is a scheme based on several different levels, and is available in many different subject areas. To be successful in the chosen area, you are expected to produce a portfolio of your work, ensuring that you cover all of the criteria specified by the OCN. You will need a folder to present your work, but do not spend a lot of money on it, as no extra marks will be awarded! You will be provided with a list of the criteria, and it is suggested that once a criteria has been met, you put the date of completion at the side. This will save time when the course end approaches, believe me! Ensure that the following points are adhered to: Make sure that every criterion a piece of work meets is written on the printout, or even typed before you print. Remember that some pieces of work may meet more than one criterion. You must make sure that all of your work has your name and date on it you can write it on afterwards if you forget to type it. You are expected to use the spell-check and to proofread all of your work. Any errors after marking should be amended and reprinted but place the originals in your portfolio too to show progression. To do a screen dump ensure that whatever you want is on-screen. Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps. You can use the following exercises or you can produce a project, as long as the entire criterion is met in full. Remember that you can ask your friendly tutor for assistance at any time! HAVE FUN! 2

3 CRITERION EXERCISE Before we start, be aware of your own health and safety don t slouch in your seat, don t touch wires etc, ensure your bags etc are well below your work area. Go to start, programs, MICROSOFT POWERPOINT. Click on BLANK DOCUMENT. This will open your software for you. At the next window, click OK, and the template for the first slide will appear. 4.3 In the top box, click with your mouse, and the enter the following text, in capitals; MY HOLIDAY Click in the box below, and enter your name. Click on the INSERT menu, and then onto NEW SLIDE 3

4 Click OK, and the next slide template will appear. Click on the top box, and enter the title WHERE I WENT Click on the box below and type in where you went on your last holiday where you travelled from ie airport, ferry, home town places you visited whilst there ie the beach, zoo, museum etc You should find that bullets automatically appear for you. Click on the INSERT menu, and then onto NEW SLIDE Click on the third slide template, then OK you should get a slide with two boxes side by side with a title box above. On this slide, give a title of PEOPLE WHO WENT, and in the left hand box type all the adults who came with you on your holiday, and in the right hand box all children and/or pets. If no information needs to go in the right hand box, type in JUST ADULTS. 1.4 You need to save your work ensure your floppy disk is in the CPU (ask your tutor if you don t have a floppy disk). Go to the FILE menu, click save as. 4

5 Change to 3 ½ floppy in the SAVE IN box (click down-arrow) and name the file Print 1. Click SAVE You will print the presentation now, by clicking on the FILE menu, clicking PRINT, and then OK. Alternatively, you can click the printer icon on the toolbar. After printing, ensure each piece of paper has your name, date, and the following criteria written on the top copy. 1.1, 1.2, 1.4, 3.1, 4.3, 10.1 Hand to your tutor at the end of the session for marking WITH your assessment record. 1.6 Close down the system in the correct sequence. Ie, go to FILE, CLOSE, FILE, EXIT. START, SHUT DOWN, OK. 5

6 EXERCISE Open up the file saved as PRINT 1. To do this, open up Microsoft PowerPoint, click OPEN EXISTING PRESENTATION You should find that your file is in the list click on it, and then onto OK. Click on the SLIDE SORTER VIEW ICON (bottom left on the screen) This will show all of the slides. 4.1 Click between the 2 nd and 3 rd slice a line will appear. Go to INSERT menu, NEW SLIDE. Choose the 2 nd template, OK. 6

7 Double-Click this new slide, to make it active it should now fill the screen. Type in the title WEATHER, and in the bullet box below type in the type of weather you had ie so many days of sunshine, rain, wind, snow etc Go SLIDE SORTER VIEW. Click after the final slide, then go to INSERT, NEW SLIDE. Select the template showing a cartoon at the right side. Double click the new slide to bring it to full screen size. Type the title MY FAVOURITE PASTIMES, and in the left box below, list your favourite pastimes from your holiday ie swimming, sunbathing, eating out etc. To insert a clipart in the right-hand box, double click the cartoon. A box appears 7

8 Type in an appropriate word for your presentation ie beach, sun, holiday etc, and hit the ENTER key on the keyboard. Choose a clipart by clicking on it, then click the top icon on the toolbar that appears. You should find that you return to the presentation automatically, with your chosen clipart in place! 4.4 Spell check your presentation go to TOOLS, click on SPELLING. Click on IGNORE or CHANGE as necessary, then CLOSE when completed. 1.5 Save your amended presentation as PRINT 2 go to FILE, save as, ensure it says 3 ½ floppy in the SAVE IN box. Change the name from PRINT 1 to PRINT 2. Click SAVE. 8

9 10.2 You need to print your presentation in a different format to the previous print. Go to FILE, PRINT, click the down-arrow at the side of the PRINT WHAT box, select HANDOUTS. Click the down arrow at the side of SLIDES PER PAGE, and click on 3. Click Print and hand into the tutor at the end of the session for marking WITH your assessment record. Ensure that you write your name, date and the following criteria on the top print. 1.3, 1.6, 4.1, 4.2, 4.4, 1.5, 8.2, 10.2 EXERCISE On slide 1, change the title to MY LAST HOLIDAY On slide 2, change the title to WHERE WE WENT Change all of the titles on all slides to ITALIC ie highlight each title and click on the italic icon. On slide 5, make the word FAVOURITE bold. On slide 1, underline the title MY LAST HOLIDAY Change the text colour of all titles on all slides to RED highlight each title, go to FORMAT, FONT, click on down-arrow at side of COLOUR, click on red, OK. Change the size and type of font on slide 2 just for the place you went to highlight the text, click on the down-arrow at the side of the font box on the toolbar. Change to ALGERIAN. Click the down-arrow at the side of the size box and change to size 36. 9

10 Click here Save your work as PRINT 3, print it in handout format with 3 slides to a page. Write your name, date and the following criteria on the top sheet 6.2, 5.2, 5.3, 5.1, 1.5, Hand into your tutor for marking WITH your assessment record. EXERCISE Insert a new slide to become slide 6. Highlight the text MY LAST HOLIDAY on slide 1, go to EDIT, COPY. Go to slide 6 (you can either click on the slide icon down the left side of your screen, or on the scroll bar) Click in the title box on slide 6, go to EDIT, PASTE. 10

11 7.1 In the box underneath say whether it was your best holiday this year and why. Then on a new line, add the text The people who went got on well. Highlight all the text on slide 6 (NOT the title) and centre it. 7.4 Whilst still highlighted, change to double line spacing go to FORMAT, LINESPACING, click the down-arrow next to the NUMBER 1, click on 2, OK. We will now add a background colour to your presentation. Click on the SLIDE SORTER VIEW icon, go to the FORMAT menu, click on BACKGROUND. Click the down arrow at the side of colour Choose a colour; click APPLY TO ALL, OK. Save your work as PRINT 4, print it as a 3-slide handout per page, and write your name, date and the following criteria on the top sheet. 6.3, 4.1, 7.1, 7.4, 1.5, 10.2 Hand into your tutor for marking WITH your assessment record. 11

12 EXERCISE Change the colour of the background. Choose any colour you want as long as it is a different one to the colour previously used. Let s put your name and date on the master slide to save you having to write it on each sheet! Go to VIEW, MASTER, SLIDE MASTER. A template appears click in the footer area, type in your name and date Whilst still in the master slide, let us insert some page numbers go to the VIEW menu, click HEADER AND FOOTER, click in the small box at side of slide number, click APPLY TO ALL. Click on slide sorter view; go to slide 6, highlight the text The people who went got on well. Go to EDIT, CUT, and go to slide 4, click after the last adult s name, then go to EDIT, PASTE. Go to slide 5, click on the clipart you will see the handles appear. Click and hold the mouse on a corner handle, hold down the shift key, and reduce the size of the clipart by dragging the mouse inwards. Release the shift key and mouse. Now click and hold the mouse in the middle of the clipart, and drag to a different place on that slide. Microsoft PowerPoint automatically puts slides into landscape change the orientation to portrait. Go to FILE, PAGE SET UP, under slides, click PORTRAIT, OK. 12

13 Go to slide 5. Click on the text at the left side of the slide, until the faint box border shows. Click and drag this border so that the box is reduced in size. Swap the box to the right side of the slide. You will probably have to move the clipart to the left side of the slide now. Add a new slide to become slide 7 choose the template with clipart and text. Insert an appropriate clipart. Right click with the mouse on the clipart, click on CUSTOM ANIMATION Click on down-arrow and choose SPIRAL, click OK. NB do a screen dump of this window at this stage Ie Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion (9.2) and then go to FILE and print. 13

14 You DO NOT need to save the screen dumps. Return to PowerPoint Click OK Go to the INSERT menu, PICTURE, WORD ART. Click on any template. Enter the text LOVELY TIME. Click OK. Click on the text just entered, and drag to the title box. Resize the text so it spreads across the slide title area. Save your work as PRINT 5, print as a 3-slide per sheet handout. Write the following criteria on the top copy and hand into your tutor for marking WITH your assessment record. 7.5, 6.4, 8.2, 7.3, 8.5, 8.4, 4.1, 8.1, 9.2, 9.3, 1.5, 10.2 EXERCISE In SLIDE SORTER VIEW, change the slides so that slide 3 and 4 are swapped over. To do this, click on the slide 3, hold the mouse down, and drag to the other side of slide 4. Release the mouse. 9.1 We will now make your presentation a little more interesting by adding transitions and effects. Whilst in SLIDE SORTER VIEW, click on the first slide. Click the down-arrow at the side of NO TRANSITION, and choose a movement any you fancy! Now click the down-arrow at the side of EFFECT, and again choose anything you fancy! Click on each slide and repeat the above. 14

15 8.3 Delete the clipart on slide 5 by clicking on it and hitting the BACKSPACE key. 7.6 On the common task toolbar, click the down-arrow. Click APPLY DESIGN TEMPLATE. Choose any design by clicking on the design name (try a few) then click APPLY. 4.5 We are now ready to run your presentation! In SLIDE SORTER VIEW, click at the left side of your first slide. Then click the SLIDE SHOW ICON. To move through the presentation, click your mouse, allowing yourself time to read each item before clicking again. Impressive, eh?! IF YOUR NAME HAS DISAPPEARED FROM THE BOTTOM, RE- ENTER IT ON THE MASTER SLIDE Save your presentation as PRINT 6, print it as a 3-slide per sheet handout. Write the following criteria on the first sheet, and hand into your tutor for marking. 6.5, 9.1, 8.3, 7.6, 4.5, 1.5,

16 SCREEN DUMPS Some evidence can only be achieved by doing screen dumps. Do the following exercises. You do NOT need to save your screen dumps. 1.1 Load a presentation application Go to Start, programs, PowerPoint, but don t actually click on PowerPoint. Take a Screendump ie Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps /6.1 Create a new file Open PowerPoint Click once at side of blank document Take a screen dump of this Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps. Retrieve existing files With PowerPoint open, click at side of existing files then your file Take a screen dump of this Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps. 1.4 Save under a given filename Open your presentation done earlier Go to file, save as & click once Take a screen dump of this window Click the print screen key on the keyboard. 16

17 Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps Save an existing file under a new filename Open up the presentation you did earlier Go to file, save as In the name box, type in a different name BEFORE clicking SAVE, take a screen dump Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps. Close down the system Open your presentation done earlier Go to file AND run your mouse over CLOSE but do NOT click Take a screen dump of this Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Hit the ENTER key twice (to move down) Now go to START, SHUT DOWN Click the print screen key on the keyboard Go to EDIT, PASTE and a 2 nd snapshot will appear Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps. Use simple slide transition effects Open print 6 from your earlier presentation Go to SLIDE SORTER VIEW and click on the first slide This should show the transition and effect chosen on the toolbar Take a screen dump of this Click the print screen key on the keyboard. Go to the START menu, programs, Word. Go to the EDIT menu, paste. Your snapshot will appear. Type your name, date, and criterion and then go to FILE and print. You DO NOT need to save the screen dumps. 17

18 Complete the question and answer sheet on the final pages. Please don t write in this manual, ask your tutor for a copy. 18

19 Well done! You have now fulfilled all the criteria for the OCN Presenting Information Level 1. Hand into your tutor for marking. You MUST write a consecutive page number on each of your prints and enter the page number relating to the criteria specified on the criteria record sheet Eg CRITERIA EVIDENCE TUTOR DATE 1 Prepare a spreadsheet system ready for use and perform simple file operations 1.1 Follow set instructions to: 1.1 a Load a spreadsheet application Pages 1,4,6 BJG 18/7/ b Create a new file Pages 4,7,2 BJG 17/7/ c Retrieve existing files Pages 6.8 BJG 18/7/ d Save under a given filename Page 5 BJG 17/7/ e Close down system Page 8 BJG 24/8/ Operate safely Page 9 BJG 22/8/03 Remember to place all work in a folder, including the criteria record sheet hand your portfolio to your tutor for safe-keeping until the moderation in June/July. All you have to do now is complete the following question and answer sheet, which also needs to be marked and then placed in your portfolio. 19
