2 1. Introduction Mendeley is a free reference management tool and an academic social network that supports the management of PDF files and the organization, sharing and citing of bibliographical references. Mendeley is available for Mac, Windows and Linux and combines a desktop installation (Mendeley Desktop) with a web application (Mendeley Web). With Mendeley Desktop it is possible to cite bibliographical references automatically in an MS Word, OpenOffice or Libre Office document. Mendeley is also available as an app for iphone and ipad. The free version of Mendeley offers 2GB of web storage space for bibliographical references and PDF files and 100 MB web storage space for groups. Furthermore it is possible to create one private or one invite-only group to share literature and bibliographical references and to create an unlimited number of public groups. 2. 3 3. Add and import bibliographical references 3.1 Add references manually It ist possible to add references manually via the My Library tab in Mendeley Web or via the Add Entry manually function in Mendeley Desktop: Mendeley Web: Mendeley Desktop: Page 3 of 14

4 Choose the document type Enter the bibliographical data (title, author, year of publication, publisher etc.) If available enter further information (tags, author keywords, abstract etc.) If availabe attach PDF file Save Mendeley Web: Mendeley Desktop: 3.2 Drag & drop Locally stored PDF files can be added via drag & drop and if available, the bibliographical data of the documents are imported as well. However, automatically imported references always need to be reviewed. Page 4 of 14

5 3.3 Watch Folder If you have several PDF files locally stored in the same folder, it is possible to import them all at once via the Watch Folder function. If available, the bibliographical data of the documents are imported as well but they need to be reviewed after the import. 3.4 Web Importer With the Mendeley Web Importer it is possible to import bibliographical references from websites and online databases. The Web Importer can be installed via Mendeley Desktop => Tools or via Page 5 of 14

6 The bibliographical references saved via Web Importer also need to be reviewed after the import. Note: To use the Web Importer it is necessary to allow pop-up windows! 3.5 RIS import From the library catalogue NEBIS recherche bibliographical references can be imported via Actions => Export RIS : The bibliographical references saved via RIS import also need to be reviewed after the import. 7 4. Organization To organize the imported references it is recommended to save them in different folders, e. g. according to the different sections of the planned paper or thesis. You can create new folders via the My Library tab in Mendeley Web or via the Create Folder function in Mendeley Desktop. Mendeley Web: Mendeley Desktop: In Mendeley Desktop you can change the position of your folders easily via drag & drop and this way you can also move a reference from one folder to another. 8 To create a subfolder via the My Library tab in Mendeley Web click the menu of a folder and choose Add subfolder. To move a reference from one folder to another via the My Library tab in Mendeley Web choose Organize => Add to. Page 8 of 14

9 The folder All Documents contains all saved references and the folder Recently Added in Mendeley Desktop contains all references added within the last 14 days. Newly imported references that need to be reviewed can be found in the folder Needs Review in Mendeley Desktop. 5. Insert citations and generate a bibiography 5.1 Plugin To cite bibliographical references automatically in an MS Word, OpenOffice or Libre Office document it is necessary to install the Mendeley Cite-O-Matic plugin. Close the word processing program on your computer and then install the plugin via Mendeley Desktop => Tools => Install MS Word Plugin, Install OpenOffice Plugin or Install LibreOffice Plugin Page 9 of 14

10 After the successful installation of the plugin you should find the Mendeley Toolbar in MS Word via: View => Toolbars => Mendeley Toolbar 5.2 Insert citations Place the cursor at the position in the text where you want to insert the citation Click Insert Citation Search the reference needed, select it and confirm with OK Via Styles you can choose the citation style you want to apply (e.g. American Psychological Association 6th ed., Deutsche Gesellschaft für Psychologie, IEEE etc.). If the citation style required is not available in the list click More Styles, choose the Get More Styles tab, search for the style needed and confirm with Install. Page 10 of 14

11 To cite more than one reference within one bracket, e.g. (Meier, 2015; Müller 2012): Place the cursor at the position in the text where you want to insert the citation Click Insert Citation Search the reference needed and select it Search the next reference needed and select it Confirm with OK To add the page number to your citation click on the selected reference before confirming with OK: Page 11 of 14

12 To insert only the publication year within brackets without the author s name, e.g. according to Mayer (2015): 5.3 Generate Bibliography To generate a complete bibliography with Mendeley Cite-O-Matic all references cited in a paper or thesis have to be inserted with the Mendeley plugin. The bibliography can be generated via Insert Bibliography : 6. Groups With Mendeley it is possible to create groups to collaborate with colleagues. The free version of Mendeley offers 100 MB web storage space for groups and it is possible to create one private or one invite-only group with a maximum of 3 members to share literature and bibliographical references and to create an unlimited number of public groups. Access to private groups is limited to invited members. All group members can add, organize and change references within the group. References in an invite-only group can be seen by all registered Mendeley users but only invited group members are aible to add, Page 12 of 14

13 organize and change references within the group. Public groups are completely open to all registered Mendeley users. You can create groups via Mendeley Web or via Mendeley Desktop. In Mendeley Web choose the Groups tab and click on the button Create a new group. In Mendeley Desktop just click on Create group in the left column. Enter the group s name, choose the category (private, invite-only or open) and click on Create group. After that you have the possibility to invite your colleagues to the group by entering their address and click on Send invites. Mendeley Web: Page 13 of 14
