3 Completing your Candidate Profile Your redeployee account will be active from the date that you receive your notice letter. This will allow you to immediately complete your Candidate Profile. If you have previously applied for vacancies through myjob, you may find that your Candidate Profile is already partially completed. It is not possible to automatically transfer over details from a separate account i.e. from you external applicant account to this internal applicant account. The Candidate Profile contains information such as your Education and Work Experience. The details that you enter here will be copied into each application that you submit, to save you from having to re-enter them each time. Access to your Candidate Profile is gained through the Apply for Jobs link within myjob. If you have multiple accounts, you must login through the user details that are associated with your post that is at risk of redundancy. If you do not do this, the recruiting department will not be made aware that you are a redeployee and therefore may not consider your application. If you cannot access the Apply for Jobs section of myjob, you will need to speak with the CiCS Helpdesk on and request that an e-recruitment account is created for you. You will also need to have a VPN set-up to access this section off campus. Guidance on how to do this can be found via the webpage below: The following information will take you through how to complete your Candidate Profile: 1. Log into MUSE with the login details that are assigned to your position which is at risk of redundancy. Click My Services and then the myjob / myteam / e-recruitment link. 2. Click myjob > Apply for Jobs and then select the Candidate Profile tab. 3

In the Candidate Profile you will see that there are seven tabs available to you: Personal Data; Education/Training; Employment and Work Experience; Preferences; Attachments; Overview; Completed. The first five of these tabs request that you enter information which will be transferred into each application that you create. 4. To add Education/Training and Employment and Work Experience, click on the stage of the process and select Add. Enter as much information as you deem to be appropriate and then click Save. 5. You can Edit, Copy and Delete a record of Education/Training or Employment and Work Experience by clicking on the square to the left of the row (which will highlight the row in orange) and clicking the Edit, Copy or Delete buttons. 4

5 6. The Preferences section allows you to highlight the type of redeployment opportunity that you are looking for. You can specify your Preferred Working Commitment, Working Pattern, add Notes, highlight your desired Job Type and/or Sub Area. 7. If you are applying for a position at Grade 6 or above, you will have the opportunity to add attachments. You can add attachments into your Candidate Profile, which will then be copied over to any Grade 6 and above application you make. Simply click the Add button in the Attachments screen, enter a Document Title, Attachment Type and Browse for the file. Once you ve selected the file, click Save. 8. The Overview stage will give you a PDF version of your Candidate Profile, which you are able to save or print out. Completing the Candidate Profile does not submit your interest in a vacancy. You must apply for vacancies directly through the job search. 5

6 Creating an Alert Our e-recruitment system has the in-built functionality to send Alerts to your University address. You could set-up an Alert to send daily messages to you, listing all the new posts that have been published which are in a work area that interests you. You can create Alerts for staff vacancies by logging into myjob and then clicking on the Apply for Jobs section. The Alerts link is within the Employment Opportunities tab. In the Alerts section, click the Add button. You can then select the Job Type you would prefer to be alerted of (multiple Job Types can be selected by holding down the Ctrl key) and select the Search Method i.e. if you would like to receive notification of Full Time, Teaching vacancies, you would select the method All search criteria must be filled. Now click Create Alert. 6

7 In the dialog box that appears, you can give your Alert a name, select the Frequency and whether you would like it to be immediately Active. Once you have completed these sections, select Save. You can also edit or delete Alerts by clicking on the grey square to the left of the alert, which will highlight the row. Then select either Edit or Delete. The Alert that you receive will include details of the Reference number, Job Title, Salary, Department and Closing Date. It will be sent from no-reply@sheffield.ac.uk 7

8 Searching for vacancies All vacancies will be advertised for two working days internally to allow redeployees to apply. If you would like to be considered as a redeployment candidate, you must apply within this two working day period. Redeployment vacancies can be easily identified as they will state in the publication title Redeployees only: Please be aware that you are only eligible for redeployment against posts that are at the same grade or one grade below. To search for vacancies click the Apply for Jobs link within myjob. The search should open by default, but if it does not, it can be found by clicking the Employment Opportunities tab and then Job Search. Simply clicking Search on this screen will show all vacancies currently being advertised. You are also able to search by Job Type and/or Working Commitment if you would like to select multiple job types, hold down the Ctrl key when clicking. You can also search by Reference number (UOS ) to find a specific vacancy, or you can search by keywords. Searching for Redeployees will display all the redeployee only vacancies. When the results are displayed, you can sort them by clicking on the column headers. 8

9 Clicking the blue link in the Job column will open the Advert and About the Job documents. There will then be an Apply button within those screens. Alternatively to apply for a position from the search results, you can click the square to the left of the vacancy you are interested in, which will highlight the row, and then click the Apply button. You could also click the Add Favourite button to save the vacancy into your favourite s section. Completing the Application Form Once you have found a redeployee only vacancy which is of interest to you, you will need to declare your interest in the position by submitting an application. The application you submit will need to be tailored for the position and contain enough detail that you believe will evidence to the panel that a) you hold all the skills required to meet the essential criteria, or could do with reasonable and appropriate training, b) are passionate about the role and c) would be the best candidate for the position. If you have already completed your Candidate Profile (guidance on pages 4-6), then the only sections that the application form requires you to enter details on are Further Information and Application Statement. Instructions on how to search for vacancies and open the application form can be found in the previous chapter. The Further Information section includes questions on: Referees, Eligibility to Work, Two Ticks, Criminal Records and Diversity Monitoring; if related to the post, you may also have a tab for Teaching Qualifications. 9

10 Only the questions marked with an * are mandatory, although answering the other questions will aid the University with its reporting responsibilities. The Application Statement section is where you need to enter information for the panel that evidences how you meet the essential criteria of the vacancy. You may also choose to detail how you might also meet the desirable criteria. It is advisable that you type your Application Statement in a word processor, such as Microsoft Word, and then copy and paste into the textbox within the application. You will need to copy and paste using the keyboard shortcuts (Ctrl and C to Copy, Ctrl and V to paste). If preferred, you can type directly into the Application Statement textbox. You are able to Save and return to your statement at another time (as long as it is ahead of the redeployee only deadline). When you have completed your statement, click the Next Step button. This will take you to a PDF overview of your application, which you can save or print off. Check your application and once you are ready to submit, click Submit Application. 10

11 At this point you will be informed as to whether you have missed any mandatory questions. If you have, you will need to go back and complete them before submitting. If all the mandatory fields have been completed then a dialog box will appear when you click Submit Application. Click OK to confirm submission. Within ten minutes you will receive confirmation of submission. You will be able to access your application by clicking myjob > Apply for Jobs > Employment Opportunities > My Applications. Then click the square to highlight the row and select the Continue/Display Application button. 11
