1 Luxury Portfolio International LuxuryPortfolio.com and LuxeXchange Agent FAQ s ADDING/MAINTAINING LISTINGS How do I add my listing to LuxuryPortfolio.com? We have made arraignments with your broker for your companies luxury listings to be added to LuxuryPortfolio.com either manually by a Company Admin or via a data feed. Generally you shouldn t have to worry about adding them yourself. Please see your Luxury Portfolio Administrator for specifics in your company. How long does it take for listings to show on the site? Once the photos and data are submitted through the site by your admin or via your data feed, we go though a quality assurance process for each listing. This process entails photo resizing, checking ad copy remarks for typos and ensuring that all data is accurate. New properties are generally reviewed and posted to the site within 2 business days. (Note also that there may be a lag time of 2-3 from the time a property is added to MLS to when it is received through your data feed). How do I make changes to my listing? If you have a listing on LuxuryPortfolio.com you can sign up for LuxeXchange by providing your name and MLS ID here: You may already have a login so it is recommended you check first by requesting to have your password ed to you. That will confirm if you are or are not in our system. Once you are in the site, the ability to allow changes to listings is a preference set at the company level. If you cannot edit your listing detail you do not currently have the ability to make changes to your listing. You can determine this by selecting the MLS number of the property and then drilling down to details. If you company has set preferences to allow you to modify your listings you will be able to make edits. What is my LuxeXchange Password? You can request your password from the LuxeXchange login page or by ing support@luxuryportfolio.com. How can I access a report on my listing activity? Through Luxury Portfolio s LuxeAnalytics tool, you have the ability to learn how often consumers are viewing a property, what country they are coming from, what language they speak and more. This information can also be communicated directly to a seller in an easy-to-customize, print-ready flyer, right from the site. To obtain your listing statistics, log in to LuxeXchange, click on the LuxeAnalytics tab and enter the parameters of your search. Where do the Property Name/Titles come from? We create them at Luxury Portfolio as part of the Quality Assurance process. They are based on the property detail we receive. If you company has set your preferences to allow you to modify your listings, you can change your Property Name in Luxe Xchange. Any revisions you make will be posted immediately. Property Names are limited to 50 characters and should not contain punctuation marks.
2 I added a new description and it s not yet showing? All property descriptions, whether entered manually or received through the data feed, are first reviewed before posting to the live LuxuryPortfolio.com site. Manually updated descriptions are reviewed daily and typically approved by the next business day. Data feed description updates are reviewed on a regular basis. Do you show land listings? How do I get mine to show? We do allow land listings on the site; however we are somewhat critical in that the listings must have 5 high quality photos and offer a spectacular location and/or views. All land listings are subject to approval. Please see the Policies and Procedures section of LuxeXchange for a complete list of specific criteria for display. If your company has a data feed, they have the option to include land listings in the automatic syndication. If listings are entered manually, they can be entered through LuxeXchange. What is my login to LuxeXchange? Your login is your address. Select Forgot Password? to have your password ed to you. Why isn t my listing showing on the site? If your company has a data feed, please note that after a property is added to the MLS, it may take 2-3 days to be received in the feed. Once received, a listing is then reviewed on our end before posting to the website typically a listing is approved within 48 hours business. Other reasons a listing may not be showing on the site include not meeting the minimum price threshold for your market or not having the minimum amount of photos (5). If a property is approved and appearing on the site, but you still have difficulty finding it in specific searches, it may not be assigned to the appropriate sub-market (county, region, city) in our database and we will be able to update. Why isn t my name showing on my listings? Information that is displayed with the listings on LuxuryPortfolio.com is a decision made at the company level. Your company may choose to show only 1 contact phone number without agent information. If your company does choose to show agent names and your name still is not appearing, there may be an issue with the agent assignment in the data feed and we will be able to correct manually. When someone sends an inquiry on my listing, where does it go? Inquiry distribution depends on your company s selected preferences for the program. Inquiries are always sent to the main contact for your company (usually a general mailbox or relocation director). Your company then has the option to copy agents, an office and an additional address on the inquiries. What is the criteria for what is posted to the site? Please see the Policies and Procedures section of LuxeXchange for a complete list of specific criteria for display.
3 Why do you require 5 photos? Excellent photography is what sets LuxuryPortfolio.com apart. Considerable consumer research has shown that consumers want multiple photos of properties. In fact, the more the better. Statistically consumers do not even view properties that do not have photos. Our belief is that a site that guarantees at least 5 photos for every listing is more likely to attract that discriminating luxury consumer who is our target market. LUXEXCHANGE What is LuxeXchange? Luxe Xchange is the back end website for LuxuryPortfolio.com. It allows users to add new properties, modify existing ones, order print advertising and other materials, obtain property statistics and manage agent and customer communication. What does the status Incomplete-Data mean? A property will be listed as Incomplete-Data if it does not meet any of the following conditions: Property needs an MLS Number Property must have a property class (single family, condo etc) Property must have a listing office Property must have a city name Property must have a state Price must be greater than zero PHOTOS I uploaded new photos, why aren t they showing? If photos were newly updated on MLS and your company has a data feed, it may take a few days for the new photos to be received and processed into the system before they appear on the site. If new photos were uploaded manually, they are first reviewed before posting to the live site and are typically approved the following business day. Why do my photos look blurry? This is typically only an issue if your company has a data feed. In some cases, the data provided to us includes compressed or lower caliber photos. Photos can be updated/replaced manually through LuxeXchange. I have several photos on MLS why are only a few showing? In some cases, we may receive a limited amount of photos through your company s data feed (9-10 photos through MLS) LUXETOURS How do I order a LuxeTour? LuxeTours are ordered through the LuxeXchange Store. Note that the LuxeTour enhancement is added automatically at no charge for listings over US $5 million. For listings under $5 million, the tours can be purchased for $25 (though the price can be reduced to as low as $10 with coupon code depending on your membership tier level.)
4 How do I update my tour with my new photos? Please note that photos in the LuxeTour do not update automatically with any changes to the available Photo Galley with your listing. The tours are created using a selection (not all) of the photos and copy available at the time the tour is ordered and typically are not available to be updated. Please review your listing before ordering the tour to ensure it includes the desired information. There is an error in my tour. How can I get that fixed? If there is an error in your tour wrong bed/bath count, mispronunciation, etc. we would be happy to coordinate with our vendor to make the corrections. How can I specify which photos/copy to use? The LuxeTour is designed to be a turnkey product in that a selection of the existing photos and copy are used to create the tour. There is not the option to specify which photos and/or script to use. How do I make the tour longer/use more photos? LuxeTours are limited to approximately 60 seconds in length, which equates to 6-8 photo slides. All tours fit into the same parameters and cannot be extended beyond. MAPPING My area/market is not defined on the map search. How can I add it? The map search on LuxuryPortfolio.com is designed to highlight the areas with the highest concentration of listings appearing on the site. Defined areas on the map search have or at one time had a minimum of 20 luxury listings. If your area/market fits that requirement, we could add to the map. I cannot find my listing via the map search, but it is approved. Where is it? If your property is Active and has a Web Approved status, and is not found in the map search, it is possible the listing is not assigned to the proper sub-market. We can make the adjustment to ensure it appears in the appropriate searches. Additional factors could be a misspelled city name, missing state assignment, etc. How can I update the map point location for my listing? We can update the map on a listing by listing basis. You can the geocoordinates (Latitude and Longitude) to support@luxuryportfolio.com and we can make the adjustment. CLIENT TOOLS* *Please note these tools will only be accessible to agents if your company allows associates to manage customers. How do I sign up a customer for Luxe Introductions? The Luxe Introduction letters are requested through LuxeXchange. In the My Customers section, you can enter a new client s information via the ADD NEW CUSTOMER button, and can then choose which letter to send them. Once you request the letter, the request is sent to us and we automatically generate the letter and send it on your behalf. 5 How do I sign up a customer for Luxe Magazine? Agents who take advantage of our LuxeIntroductions program have the opportunity to send clients a complimentary subscription to Luxe Interiors + Design magazine, a quarterly luxury lifestyle magazine (a $20 annual subscription value). The Luxe Introduction letters are requested through LuxeXchange in the My Customers section. Once you enter a new client s information via the ADD NEW CUSTOMER button you can then choose which letter to send (Considering Listing, Just Listed etc) and then opt-in to also sending the free subscription. If an agent signs up a client for the gift subscription, what happens at the end of the subscription year? The subscription will expire unless the client chooses to pay for a renewal. Can I re-subscribe my client for the subscription? Not for a free subscription. The one year subscription is a one time offer per client. Does Luxe Magazine contact the client with your subscription is about to expire letters and offers to continue at a cost? Yes, the client will receive a notice and be provided the opportunity to continue their subscription at the regular cost. There is a note that on the admin screen that says Each member receives 25 to 50 complimentary Luxe Introduction letters annually, depending on your tier in the program. Is this by agent or company? What is the number for my company? The number of LuxeIntrocution letters is at the company level. Please contact support@luxuryportfolio.com with questions regarding the number of available letters. What happens if we go over that number? We can be somewhat flexible in the number of letters requested and sent. We do not have a firm price structure in place for overages and do not anticipate charging for this benefit; however, we do monitor the numbers of letters that are going out and if you reach/surpass the set limit we may evaluate further. Can we print or the LuxeIntroductions letter rather than ing it? The sample pdf templates with the language are available in LuxeXchange. Those could be printed, however, they would not be on the Luxury Portfolio letterhead and lack Paul s signature. LuxeIntroductions are designed to be a turnkey product going directly from Luxury Portfolio to your client. One option could be to have the letter mailed to you/the agent instead of the client. When entering the customer information, you can add a notation in the Special Instructions for LuxeIntroductions field stating Please mail to: and include the name and full address of where you would like it sent.
6 How do I sign up a customer for LuxeTrends? LuxeTrends is an exclusive enewsletter sent to thousands of subscribers and also appears online at LuxuryPortfolio.com/luxetrends. To subscribe a new client, click on ADD NEW CUSTOMER and then enter the customer information, being sure to include their address as it is required for the newsletter. Once you add the customer, you can then enroll them to receive LuxeTrends. To subscribe an existing client, select their name from your customer list and then turn on the LuxeTrends update. Can I customize the LuxeTrends newsletter for my client? Yes. Signing up a client through LuxeXchange ensures the enewsletter is branded with your company name and personal contact information. You can also enter a custom message to be included for your clients by clicking on their name in your customer list and then choosing to modify the LuxeTrends newsletter. How do I sign up a customer for My Luxury Portfolio? This feature allows you to customize preferences for customers so they can automatically receive an whenever properties come on the market in their price point and search area, or whenever a property that meets their criteria has a price reduction. You can sign up a client by adding a new customer, or clicking on an existing customer s name and turning on the Saved Searches and Nightly updates. ADVERTISING* *Please note the print advertising section will only be accessible to agents if your company allows associates to view How do I order print advertising? Print advertising can be ordered through the Print Advertising section in the LuxeXchange Store. Be sure to check the Media Kit, also available in this section, for ad schedules, requirements, costs and step-by-step ordering procedures. How do I order an ad in your magazine? Magazine ads are also ordered through Print Advertising in LuxeXchange. When available, information on magazine ads will be provided to your company by our Marketing/Advertising Manager. I am trying to reserve a WSJ ad and I don t see it in the system? If you no longer see an ad available it the system, it may be sold out. Or, the next ad in the schedule may not yet be available to order. WSJ ads are typically made available the week following the previous ad s run date. Check the media kit for the full schedule. How do I get multiple copies of the Luxury Portfolio Magazine to give to my clients? For our Luxury Portfolio magazine, we send a number of copies to your offices - you may want to contact your Luxury Portfolio Administrator to check on availability of magazines. Or, additional copies can also be ordered through our Marketing/Advertising Manager: ads@luxuryportfolio.com.
7 LUXEANALYTICS How do I pull a report? Through Luxury Portfolio s LuxeAnalytics tool, you have the ability to learn how often consumers are viewing a property, what country they are coming from, what language they speak and more. This information can also be communicated directly to a seller in an easy-to-customize, print-ready flyer, right from the site. To obtain your listing statistics, log in to LuxeXchange, click on the LuxeAnalytics tab and enter the parameters of your search. An explanation on the first few metrics that appear in the report: Property Impressions : this shows how many total times the property has appeared before a consumer, whether they went to the property s detail page, or if it appeared in a consumer search result. # of Exposures Detail Page : shows how many times a consumer has clicked through to view the actual detail page (to see the full description, all the photos) # of Exposures Results Page : shows how many times the listing appeared within a consumers search parameters. (ex: city search by price range, etc.) You can find a more detailed description of each of the metrics in the Guide to Using LuxeAnaltyics in LuxeXchange or at the following link: Why does the graph say No Data Available? This simply means that within your selected search parameters, there were no views, s, inquiries for your listing(s). MARKETING MATERIALS How do I order postcards and listing presentation sheets? These and other materials can be ordered through XpressDocs via the Customized Materials link in the LuxeXchange Store. This link will take you directly to your XpressDocs interface. (Please note the print advertising section will only be accessible to agents if your company allows associates to view How do I order a presentation box? The box can be ordered via the Presentation Box link in the LuxeXchange Store. There you can enter or select your customer, choose the shipping and pay for your order via credit card. Please note that there are additional charges for overnight shipping and overnight orders must be received by 3:00 pm central time.
8 Where do I find language for talking about Luxury Portfolio? Refer to the Program Information section of LuxeXchange for a variety of documents to help express and utilize your Luxury Portfolio affiliation to market your listings and grow your business. Also find the latest statistics for LuxuryPortfolio.com MORE How can my listing be featured in the homepage slideshow or on your blog? Great photography is always considered for the Luxury Portfolio homepage. If you have a spectacular property with excellent photography simply the web id of your property to support@luxuryportfolio.com, and we will consider placing your property on our homepage. If you have an interesting story about your listing, your ideas to Support and we will be happy to review for possible inclusion in the blog. Where do I sign up for an upcoming event?
