1 Real Time Conference Manager User Guide How MULTI DIAL OUT works

2 MULTI DIAL OUT application allows you to dial out instantaneously to up to 50 participants and connect them to your conference. You then can manage your conference and individual participants online, options include mute, unmute and disconnect all or individual participant lines. This guide gives you an overview of how to access and use this application. Accessing the RealTime Conference Manager application Log into the Tata Conferencing Hub with your Client ID and web password. You will find your account details and hub access link in your confirmation . Please note you have to request international dial out to be enabled on your conference to use this application. This opens the RealTime Conference Manager application in a new browser window. Re-enter your Client ID and web password and click on Login. Select your conference: Under the Quick Links on the Left hand side, click on RealTime Conference Manager. 1 After logging in you will be show a list of conferences under this conference account. 1

3 2 Select the conference you wish to use. The number to dial should be entered in the format <00> <Country Code><Telephone Number> e.g Upload your participant list: Select Upload Participants you can add participants to dial-out to. A sample template of the participant list can be downloaded from the site please follow instructions within this file once opened. Once the list has been uploaded, the Real Time Conference Manager will automatically start dialling the participants. The moderator will receive an confirmation that the dial out has been initiated. The participants are dialled and asked to press 1 on their keypads to join the meeting. When you select Upload the application uploads the participant list and checks the numbers. Dial out is not allowed until all numbers are corrected. The user can also delete entries from the list. 2

4 OTHER MEETING OPTIONS Adding participants: You can add participants by selecting Add Participant and completing the pop-up form. It is important to identify the participant as Normal, Moderator or Listen Only. Completing sample upload file: The.xlsx file is built from an excel spread sheet and can be downloaded from the landing page: Meeting Controls: When in a conference the moderator of the conference can Mute, Unmute or Disconnect individual participants. The moderator can also disconnect all participants at the same time by pressing the Disconnect All button. The fields to be completed are: First name Last name Telephone number The number must include the international dial out prefix. e.g for India Participant Type Can be Moderator or Normal Company As participants leave the conference call for whatever reason a history is kept of those that have disconnected. Once completed ensure the file is saved as a.csv prior to upload. IMPORTANT Never edit a previously saved.csv, ensure the original.xlsx is used. 3

5 Notification: An notification is sent to the person whose account is used to dial out from. The purpose of this is to inform the user of potential usage of this application with their conference account. This is sent is association with any post conference reports that may be enabled with the conference.
