1 E-Candidat (V2) Online application file Applicant s handbook To apply for a course at the Science Faculty, you have to follow the three steps mentioned in the table of contents and depicted here below. NOTE : The procedure is entirely online. You will receive an at each step of the procedure. You must not send any file or document by regular mail, as these would not be accounted for. 2 I Creating your file You have to connect through this Internet application: If you are a current or former student of Aix- Marseille University, click here. You will then have to fill in the ID and password you use(d) for the Espace Numérique de Travail (ENT). Otherwise, click here to create an account. 2

3 If you need to create an account, you will have to fill in your surname, name and address to validate the creation of your E-Candidat account : You will then receive an at the address you specified, containing your E-Candidat ID and password. You will then have to activate your account by copying and pasting in your browser the link mentioned in the (1). Once this is done, log in on E-Candidat with the ID and password you received, and complete your application. (1) Please check the «spam» file in your mailbox regularly, as some of our s may inadvertently be automatically rejected there. 3

5 If you already have a French National Student Registration Number (INE), type it in here. It can be found on the transcripts of your A-Levels and university results, as well as on registration certificates from previous academic years. You then have to fill in information regarding your civil status : 5

6 2/ Address You then have to fill in your mailing address : 1 2 6

7 3/ A-Levels/GCSE or equivalent 1 2 If you hold : - a French or European Baccalauréat - a DAEU or a Capacité en Droit - any other foreign diploma equivalent to A-Levels/GCSE, click here. Otherwise, click on «Je n ai pas le bac». 7

8 You have first to type in the year you obtained your high school diploma. The list of Baccalauréat series (or equivalent) will then be automatically adjusted to those in use that year. Likewise, when you type in the name of the city, the list of the corresponding high schools and institutions is automatically adjusted. 8

9 4/ Internal curriculum : for current Aix-Marseille University students only This section lists the years you spent as a student at Aix-Marseille University. For each of these years, your curriculum is automatically copied from our Registration application and database. If you have never been a student at Aix-Marseille University, this section is empty. Should you happen to see something wrong here, please contact our Registrar s Office ( 9

10 5/ External curriculum : for students from another University This section allows you to list all the years of studies you have already registered for and that are not listed in the previous section. You have to list all the years of studies you have registered for since you obtained your A-Levels/GCSE or equivalent, even if you did not complete them. To add a year, please click on «Nouveau cursus». 1 10

11 2 Then fill in the different sections, using the drop-down lists at the right end of each box. For «Libellé et niveau de la formation» : give the name of the course, following the sequence Degree /Year /Speciality (if any) /Option (if any). Example for a first year in BTS (eq HNC) : BTS1, Assistant Manager. Then for the second year (eq HND) : BTS2, Assistant Manager. 3 Repeat this procedure for each year of studies. 11

12 6/ Training periods and professional experience Here you can mention the training periods you did, as well as your professional experience. 12

13 II Choosing your course of studies 1 Here you can find all the courses of studies offered at Aix-Marseille University. You can either type in a key word or open the drop-down box associated with the Faculty you want to register at: 2 13

14 Click on the course of studies you want to apply for. When the confirmation message pops up, click on «Oui» : Voulez-vous candidater à la licence professionnelle Gestion et Traitement statistiques des Bases de données MARSEILLE Luminy? 14

15 Once you have confirmed your application for this course of studies, a summary page opens that allows you to upload the required supporting documents. Uploading your supporting documents is mandatory for your application to be sent. Deadline to upload the supporting documents In case your application is accepted : deadline for you to confirm 15

16 III- UPLOADING SUPPORTING DOCUMENTS AND EXTRA FORM 1/ Uploading supporting documents Upload the file here in a PDF, JPG or PNG format (2Mo maximum). If there is no supporting document relevant to this section, click here to switch the document s status to «Non concerné». SOME IMPORTANT TIPS : - When there are several documents for a single section (ex : a set of result transcripts), you have to regroup these documents in a single PDF file. The file must not exceed 2Mo. - «Non concerné par cette pièce» (not relevant): Example : for the section «Etudiant d un pays dont le français n est pas la langue officielle» : if you are currently studying in France, this section is not relevant for you. You therefore have to click on «Non concerné par cette pièce». Document s status : - «En attente» : you still have to upload it. - «Non concerné» : you declare there is no document relevant to this section. - «Transmise» : you have uploaded the document - «Validée» : the document has been validated by the Registrar s Office. - «Refusée» : the document has been rejected by the Registrar s Office. You will have to upload another one when your file has switched back to «incomplete» status. 16 Upload your complete file, including your application, all the information you typed in and all the uploaded supporting documents. (see page 20)

17 2/ Extra form For some courses of studies, you have to upload a supporting document called «Formulaire complémentaire à télécharger en PDF» (extra PDF form to upload). In this case, you have to click on Formulaires complémentaires and click on the Url that appears in the tab that opens : 1 2 You will then be redirected to an online form you have to fill out. When done, the button allows you to save your answer in a PDF format. This document must then be uploaded as the supporting document called «Formulaire complémentaire à télécharger en PDF». 17

18 3/ Attached form For the Instrumentation courses : do not forget to download the attached document, as described here below. Document to download, fill out and then upload as supporting document. 18

19 4/ Extra information Don t forget to check the «Informations Complémentaires» tab. 19

20 IV/ SENDING YOUR APPLICATION Once you have uploaded ALL your supporting documents, the following message appears : 30/06/17 You then have to click on at the bottom of the page. The following confirmation message then pops up : The status of your application file then turns to «Réceptionné» : Master 1 Images et Systèmes MARSEILLE ST Jérôme And then... You will receive s at each step of your application s validation process, so check your mailbox regularly. In particular, you will receive an each time there is a problem with one of your supporting documents, and you will then have to log in on E-Candidat to correct it. The pedagogical validation of your application will also be sent to you by . We sometimes need quick replies, so be fast! 20
