3 Introduction This guide was designed to provide additional information on the Join Now Feature that is built-into the SHRM Content Management System that is used to manage SHRM hosted websites. The purpose of the Join Now Feature is to automate the process to make the administration easier for the chapter: The built-in application is able to be modified to collect any data that you would like and add any questions you would like to be answered. When the built-in application is submitted, the individual is automatically added to your database as a Pending member awaiting chapter approval. This removes the process of the chapter needing to manually enter individuals into the database. You have the ability to add instruction to the top of the application to provide the potential member with information on the entire process for their membership to be approved. Whether they have to upload a job description/resume, they have to submit payment, the board has to vote, etc. After the individual submits the application, they are automatically directed to the built-in confirmation page. This is where you can provide a message to let the individual know that the application was submitted successfully and include any payment instructions or other information. After the individual submits the application, they are automatically sent an from the chapter and the default message can be modified. After the individual submits the application, your chapter is sent a notification . After all the requirements set by your chapter have been met, you would simply edit the members record and change their status from Pending to Active. Once you change the status, the system automatically sends the individual a Welcome along with a one-time user login link. When the member uses the link, they are logged into your site and are directed to change their password. Page 3

4 How Members are Created The Content Management Software (CMS) allows new members to be created in two ways: First, a new member record can be created manually by entering the individual into the member database. Second, anyone who wants to be a member can apply by clicking the Join Now link at the top of the page or the Become a Chapter Member button. The link and button are tied to the built-in online membership application which is a part of the Join Now Feature. Please Note: Only non-members and logged-out members will see the link or button. Once logged in, those features disappear and instead a Logout link is available. Join Now Link / Become a Member Button Once the user clicks either the link or the button, they are directed to the built-in Join Now page. This is the page that you would list the benefits, cost and requirements of membership. The page has an area built-in that provides a link to the application: Become a local member: This leads to the built-in application for the chapter/council Become a SHRM member: This leads to the SHRM.org site Page 4

5 Built-in Application You have the ability to add instruction to the top of the application to provide the potential member with information on the entire process for their membership to be approved. Whether they have to upload a job description/resume, they have to submit payment, the board has to vote, etc. The application comes with the following default fields but it can be modified to add fields/information that you would like to collect: Page 5

6 The Upload Document option allows the member to upload a resume/job description or any other documentation that is required at the time they submit their application. After the Built-in Application Has Been Submitted After the application is submitted, there are several automatic processes that happen. First, after the individual submits the application, they are automatically directed to the built-in confirmation page. This is where you can provide a message to let the individual know that the application was submitted successfully and include any payment instructions or other information. Secondly, the individual is automatically added to your database as a Pending member awaiting your approval. This removes the need to manually add the individuals into the database. Third, there are two s that are automatically sent: The potential member receives an from your chapter/council The chapter/council is sent a notification to alert you that an application has been submitted which contains a link to the member record for you to easily review Approving Members After all the requirements set by your chapter/council have been met, you can easily edit the member record and change their status from Pending to Active. Once you change the status, the system automatically sends the individual a welcome along with a one-time user login link. When the member uses the link, they are logged into your site and are directed to change their password. Mass Change Member Status The software has a tool to allow you to change the status from Pending to Active for multiple records at one time. Mass Change Expiration Date Another tool enables you to mass change the expiration date for every record in the database. Captcha Message Sometimes spammers will try and submit the application. In an attempt to prevent this from happening, all hosted websites come with a built-in Captcha message. Page 6

7 A catpcha message is a challenge-response test most often placed within web forms to determine if the user is human.
