2 1. Introduction ip-pay is our online renewal service for owners of patents, utility models and designs. Our aim is to provide a cost-efficient annuity payment for inventors and small companies. If you have a larger portfolio (e.g. 100 or more patents) then contact PAVIS ( to get a special offer for your renewals. We make renewals easy. Our database system will inform you about the relevant terms and prices. Simply fill out the online forms to proceed. All you need is a computer with internet access. The payment can be simply be made by credit card or PayPal. Our online system is connected to the official EPO database to ensure that your dataentries concerning European Patents are correct. ip-pay is managed and run by PAVIS GmbH, a company of intellectual property specialists. We have been working successfully for more than 35 years in the field of annuity payment and other assorted services. We keep our eyes on high quality, reliability, and providing the best care for our customers. 2. Security notice ip-pay takes your privacy seriously. When you open you are automatically redirected to This site is secured by a 2048 bit encryption layer (SSL = secure socket layer). This action is taken to ensure that your valuable data (patent information or credit card details) are kept private. In addition, our server is secured by a Thawte Server Certificate. 3 3. Order placement ip-pay uses a pull-down menu to navigate through the different functions. Please select payment and choose between "previous case" and "new case". The option "previous case" shows cases which have already been renewed by ip-pay. Thus you do not need to re-enter your patent information every year. In the next step you select the country and the kind of ip right (patent, utility model or design). ip-pay will then display a data-entry form for the selected country. The name of the country and the corresponding flag are displayed in the upper lefthand corner. Please note that there is a special menu option for European Patents. You can pay fees for EP applications or granted EP patents with this option. Please fill out the form. The Inid codes on the left hand of the site shall help you to identify the required data on your patent documents. 4 It is important to fill out the patent number if the patent has been granted. For granted EP patents, the annuity fees will be paid to the national offices for all the selected countries. After you have entered the 7-digit EP patent number, our system will automatically retrieve the filing number, the filing date and the grant date of your patent. This is achieved by our online connection the EPO database. If you do not enter the patent number, then the case will be treated as a pending application and the annuity fee will be paid to the European Patent Office (EPO). After pressing next the system will calculate the due date and the price for the renewal. The price might include a surcharge for late payment if necessary: If everything is correct, then click add to basket to proceed: You can add further items to your basket by clicking on the menu option "payment". Details about an item in the basket can be viewed by a click on the icon. You can remove an item from the basket by clicking on the trash icon. ip-pay manual 2016 page 4

5 Please press the button continue if the basket is complete and if you want to place the order. You can abort at any time using the button cancel. Now, the login screen will appear if you are not logged in yet. Please enter your address and password. At this point, new users can create their account by pressing the button register: Important notice about value added tax (VAT): Customers outside of Germany have to enter their account type (private person or company). Due to German tax law we are obliged to charge all private customers with German VAT no matter where they reside. Business customers inside the European Community have to enter their VAT identification number. Invoices will then be issued without German VAT. Business customers outside the European Community will at first be charged German VAT. These customers can send us a business registration document as PDF to info@ip-pay.com. They will get a refund of the charged VAT after we receive the required document. Further transactions will then automatically handled without VAT. ip-pay manual 2016 page 5

6 The last step is to enter your credit card details and to accept the standard business conditions of ip-pay: Please click on the button submit order to proceed: Important notice: The processing of the payment may take a few moments. Please submit the form only once and wait for the response! You will see the confirmation screen after a successful transaction. 7 4. Order tracking ip-pay keeps you informed about the process of paying the official fee. Please click the tracking option from the pull-down menu to get a list of existing orders: Press view details to get further information about an item. The detail view shows the renewal status: cancelled: active: paid: finished: the order has been cancelled the order is in progress (official fee not paid yet) the official fee has been paid to the patent office the official receipt has been received When the official receipt has been received, the document will be scanned into our electronic document system. You can download this document as a pdf file. In some countries we will only receive group receipts.
